We use it as an informal CRM - currently, we use Salesforce as our main CRM across both the CS and Sales departments, but Airtable has made it easy to pull core customer details from Salesforce, while allowing our CS team have visibility on priorities and action items when it comes to the customer lifecycle.

  • Data fitting into each cell nicely for visibility (you'll have to expand certain fields to see all of the information).
Really great for any cross-departmental project planning/management. With its multiple view capabilities, it allows a lot of freedom as to how you want to see our data and what makes the most sense for your team. If your team is heavy on document editing, I wouldn't necessarily see it as a good use case (i.e. internal knowledge base/content management).

I find that Airtable is a ton more flexible and more intuitive in nature. If you're looking for a tool that is mainly focused in time-tracking, monday.com might be marginally better there, but in terms of customization and permissioning, Airtable seems to be a lot better on that front.

We love Airtable for how we use it and we know there are probably tons of other ways we can implement it for other departments. We just haven't gotten there yet (due to bandwith) Customer Support is also super helpful and overall ease of use is fantastic.

Product Usability was probably one of the highest considerations, given that our previous challenge was getting users to use our management tool properly and consistently. This includes making sure there was ample amount of resources and product support from the vendor.
Nothing that I can think of at the moment. There were a ton of resources right from the sales process that allowed us to see how others were using the tool and how to consider using it for use cases that may not have been top of mind from the start.

We first worked on mapping out the ideal set up of how our team would be using Airtable and assessing the integrations that would need to be implemented. We brainstormed a couple of drafts that best fit the usability and ease of use of our team, then we slowly worked on the data transfer (mostly manual)
Change management was a big part of the implementation and was well-handled
As with any new tool, working to change our processes team was difficult, but with the help of the Airtable team and their trainings/resources, it definitely went better than expected. It also helped that our team was excited to use a new (and easier) tool.

I would say it was one of the better implementation experiences I had thus far. There was a fully backed support team from Airtable's side to ensure that implementation went smoothly as possible, and that any questions/concerned were covered before we went live.

Recorded trainings were provided by the Airtable team. Great as an evergreen resources to new team members and for anyone that wants to refresh their Airtable knowledge.
As someone that used Airtable personally, I think the learning experience took longer than guided training BUT do-able. A lot of self guided resources online, as well as the online community, makes it SO easy to get what you need and learn all about Airtable if you are motivated to do so.
I feel like the configurability is VERY extensive/complex, but only if you need it to be. If your use case is simple and direct, Airtable is fairly simple, but it's learning of the depth of configuration that is available to you and translating that to your needs more often requires some support.
Start simple before further leveraging any of the advanced features. You'll feel a lot more confident in using the automations/advanced features once you're grounded in the basic functionalities that is available to you first.

Response and support was very timely. The support and customer success team made sure that we were aware of the progress of the issue, making sure that we didn't feel like our concerns weren't important.
Onboarding was one of the best - not only were we given ample amount of resources to ensure our team was well acclimated to the tool, but we were also provided with a great training experience and with a lot of patience as well.
The setup is probably the most challenging, along with the initial learning curve, as with any other tool out in the market. But once users have the chance to play around with it, they found it easier to use than other tools we currently use (and previous tools we used before)

Not as well as the desktop app!! A ton of functionality is limited, although it has gotten a lot better.
There are TONS of opportunity to scale, but I think it's a matter if you have the time and resources to do so because the initial setup can be fairly time consuming and prioritized dedication.
I have rarely experience downtime, compared to other tools, and given how much time we spend on the tool. Even if there were to be, their updates on it are very timely, and our support team are able to provide any questions regarding.
I never had any issues with load time, even with the integrations that we use today (google sheets) However, I'm curious if adding additional layers of integrations would slow down performance. We do carry quite a bit of data in Airtable, but, again, no impact on overall performance.

Very easy! Love that it only takes a couple of clicks and there are ton of resources to help configure and provide best practices on.
Think about the tech stack that's most important to your team! For example what you use every day. More often than not, there is a native integration already baked in so that your team has less back and forth they need to do, and they can do most of their work in Airtable.
Super knowledgable and helpful sales (and support team) They really know their stuff and really added to the confidence I was looking for when purchasing any new tool for our team.
Love working with our customer success team AND support. I see our relationship as a partnership vs. just a vendor, as they're able to provide a lot of great tips and best practices on how we can further leverage Airtable.

We are currently using Airtable within our business unit marketing department to help organize our yearly media (direct and non-direct advertising) plan - including the media schedules, creative brand assets, and UTM links tracking details. This tool is used between our company and marketing agency partner. Within our marketing department, we have approximately five users at any given time. We love that data can be easily shared across teams and edit in real-time. This is an extremely affordable solution that helped us transition from Microsoft Excel spreadsheets shared via email to a comprehensive dashboard-like tool. Sorting data by brand, division, dates, advertising creative, and media publishing outlet truly helped us streamline many processes and become efficient between company and marketing agency partner.

Airtable is great for team collaboration, especially when more than one person is inputting or managing the data. Real-time data editing makes it easy to share information and quickly. Using this tool as a content calendar is very ideal. One feature I wish Airtable included is the ability to embed video content from Vimeo, YouTube, and other social media channels.

Airtable was the most comprehensive, economical, and easy to use in direct comparison to GatherContent, Asana, Smartsheet, and CoSchedule. The solution that sticks out to me the most is Smartsheet. Through our team's evaluation, we quickly recognized how much more flexible, modern and easy to navigate Airtable was over Smartsheet. Airtable helped us follow our existing media process while avoiding redundant tasks (i.e. needing to update multiple spreadsheets with the same information). Keeping data accurate was also important, so we needed "protected" or "locked" grids to avoid accidentally editing by team members who only view content. We found GatherContent was a tool better suited for website/blog-type content reviews and workflows. And Asana was better suited for project management. We did some testing on the format/template that best fit our needs and we came to a general format that we think will work best within Airtable.
We implemented Airtable about five months ago and have not had any major issues that required support from Airtable. It has come to be a trustworthy tool across our teams and has worked how we expected the tool to work (referring back to our vetting process). Airtable support seems available, should we need it in the future.

Airtable is very user friendly and accessible by a wide variety of individuals with varying digital experience. Furthermore, deciding to use Airtable is part of our company's effort to digitally transform our business - we shifted from paper printouts to a versatile, interactive tool to support many areas of our marketing efforts.

In a way, we replace Microsoft Excel spreadsheets for these reasons:
  1. Excel spreadsheets typically can only be edited in real-time by one user.
  2. Excel spreadsheets corrupt when many, many users are editing, saving, and emailing - especially when users have different versions of the software.
  3. Exporting PDFs of data from Excel spreadsheets was difficult and often impossible to print large content calendars of information.

Although we had not used Airtable previously or consulted other users for their review, we were confident in the product features and ease of use. And the price was right - very affordable for us to try with a smaller group within our large organization. Now that we have used Airtable for five months, we have confidence.
If we had to do it again, we may have expanded our evaluation process to compare Airtable with additional products and tested with additional teams beyond marketing, such as sales. We may have placed more emphasis on the ability to integrate with additional tools we use company-wide, such as Microsoft SharePoint, TapClicks, and Adobe website products.

Yes, we did implement Airtable in phases with our marketing agency partner, which included the following:
  • Brainstormed a long list of "must-have" features to help the committee of researchers find Airtable.
  • We then made a list of all products for consideration, which included Airtable, GatherContent, Asana, Smartsheet, and CoSchedule.
  • Once Airtable was chosen, we partnered with our external marketing agency to set-up our first content calendar and provide training to our corporate marketing team.
  • Our marketing agency now populates the data and shared between teams.
Change management was a big part of the implementation and was well-handled
Implementing Airtable was certainly a departure from using Microsoft Excel spreadsheets for years. Many individuals were involved to get this project off the ground. Change management was well-handled both internally and externally, so this new tool could be used efficiently. For our external marketing agency, this is a different tool from what the agency uses for other clients. A process had to be developed and adopted by both parties.

Training all users was an important part of the implementation, which did take considerable time and effort. At first glance without training, the content calendar can be overwhelming because of the amount of data. We are an NGO which matches adult volunteers with children living in orphanages in Slovakia, Europe. One year ago, we chose Microsoft Sharepoint as our complex information system tailor made for our purposes. It was slow, inflexible and the team was frustrated by being unable to adjust it completely to our needs. We wanted to cover every process in our NGO starting with CRM for our volunteers, children in the program, donors and partners, through the selection process of each volunteer, quality and impact measurement, ending with importing all the received donations and controlling of retention and costs.

We even had Accenture advise us pro bono on how to improve our system. After many meetings and the understanding that what we want is basically impossible in a Microsoft environment, and after long hours of research and discussions, I found Airtable. Just for a try, I imported the most crucial data from Sharepoint to Airtable.

It felt like a miracle - it was easy to use, fast, provided all the features I needed and the user interface was just great. It gives both the table view and form view, and most of all, it is an idiot-proof system that instantly connects records from various "sheets" called tables in Airtable.

Now we use it for Tasks, Manuals, Events integrated with Google Calendar, CRM is integrated with Eventbrite - whenever any of our volunteers want a training we have the name in Airtable instantly, the records are instantly integrated with Mailchimp - different for our donors and different for other contacts, We have all the data from our volunteers using MS SharePoint native app, minutes from our meetings, all the data regarding impact and quality measurement, etc.

I basically made it all by myself and it I am not an IT geek, just a standard manager understanding computers a bit.

I recommend for basically everyone, and will stick with this app for all other projects I run.
  • Easy to link records - If I am at an event, I can link the attendees right on the trainings we organize, including their emails, attach a photo right from the cellphone, link a task I discussed with one teh attendees and set up another meeting with one of their collegues - all linked to this event, so I have all the information in context - the perfect feature is that even I there is no record to link, I can create a new record right away - I do not have to close the current record and look for it in a different database or sheet - everything is very easy and fast to link. This way the data remains structured and where it belongs, however it does not take long to record all the relevant data
  • Adjusting the system is idiot-proof. Whenever our staff gives me an idea how to improve the system, I do it right away - it takes seconds to make a new field, to change the order or to make simple calculations.
  • Blocks are a new feature for reporting purposes - covers basically all we need - it is instantly there and unlike other systems, if I find there is a mistake or need to update a record based on a report I see, I can do it instantly. If I click on a chart column, I see the records from which the column was calculated (the volunteers who are in a certain state of selection process e.g.). This is fabulous.
  • Integrations through Zapier are very easy to set up. I never ever worked with API in my life and I don't even understand what it is. And I do not really need to if I use Zapier. It does not have all the integrations I want, but all the basic needs are covered.
  • For developer who know how to work with API, it is easy to set us integrations with other services. Accenture helped us with integrating a Sharepoint native app with the system and our website developer integrated all volunteer applications right into Airtable. There are even notification alerts if a new record is made. Works like a miracle compared to traditional massive solutions that take weeks to set up.
  • In a base, I need to lock specific tables for specific people in the team. I want to have all the information in one base - I do not want everybody to see the budget and all the donors, however, I want to have one database of donors to be integrated with MailChimp. Either I need to link two bases or I need to set specific access rights fro every table.
  • Iphone app might have a calendar view, and block as well, also missing grouping would be great in a mobile app.
  • In charts, more series would be helpful - not just one line in a line graph, a pie chart would be nice too. Pivot tables might also allow more fields and options.
I think it works great for basically any scenario.

Due to common arrangement of budgets where months are in columns and not in rows, it is not entirely perfect for financial data, however it takes just a little to get used to different approach and works much better than common Excel views.

  • It would cost us EUR 10K to update our former MS SharePoint system to work faster and to have a better UI. Monthly fee of EUR 250 is a joke compared to that. Using a non-profit discount is great too.
  • The better and faster our psychologists can enter and use a wide range of types of data about children, volunteers, donors and partners, the more efficient they are and the less time they spend with the system - the bigger the opportunity to work with the kids and with volunteers - to do what they love and why we exist.
Intuitive, easy to use, fast, great for attachments (uploading in behind other processes - the app actually really works while it finishes uploads)

We stopped making minutes in word - which nobody really ever read :) great and simple innovation.
  • we needed a way how volunteers and the public would commit to attend our trainings - we were exploring the coding of our own mobile app for ios and android - however with airtable we were able to easily integrate eventbrite and create new event in eventbrite with attendees appearing right in airtable - no need for expensive tailor made mobile app anymore - saved tens of thousands of EUR

  • we use airtable for all our processes so pretty much nothing more can be done
compared to other products it is just fabulous.
