Cvent Event Management system has great functions for small-to-medium scale workshops and professional development or professional learning offerings. One-day to one-and-a-half-day conferences can get more cumbersome without proper training and planning. Two-day conferences require team help to accomplish, track, collect payment (especially if offline payments are made), and to foster along the way. Having pre-set marketing themes and pre-created event descriptions is a major help with the load of creating several events for a season. Cvent Event Management is well suited for following attendees along their journey in the system. You can see all touchpoints made with a specific attendee or registrant, and you can monitor trend data for certain institutions that show more interest.

Our industry, orchestral stringed instrument making, presents a particular challenge as one needs a live room with decent acoustics in order to properly evaluate the sound qualities of a given piece. Craftsmanship, appearance and other details are almost impossible to evaluate virtually. Granted this is not something that any virtual format could greatly improve upon so it is no "fault" of Whova in particular just a reality given our circumstances. It is well-suited for commerce as one can present their merchandise, promotional opportunities and discuss ways to help clients best serve their local customers.

  • Registration Design - You can customize each and every detail on the registration website to your liking.
  • Reports - With our clients, reporting is very important and there are many reports to choose from as well as custom reports that can be created.

  • Whova is affordable! Out of all of the solutions we researched, the price for the value was extremely competitive.
  • The Whova management dashboard online was easy to use and able to be managed by multiple people on our team.
  • The app was easy for our attendees to use and they enjoyed interacting with other attendees through the bulletin board and messaging service.
  • The name badges for our attendees were easy to design and print straight from Whova which saved us a lot of time and ensured their names, titles, and companies were consistent with what they typed at registration.
  • Whova's event evaluation integration with SurveyMonkey was seamless and easy to use. We had used SurveyMonkey for our event in the past, and it was great that users could access the evaluation straight from the Whova app.

  • I’d love to see their add-on modules priced differently (flat fees vs. per registration)
  • They’re membership module is only for individual memberships, we have organization based memberships, so we’re not able to use it.

  • Missing functionality: cannot automatically issue CE certificates.
  • Missing functionality: must generate a large report and filter out to see who has viewed which sessions and for how long. Also, the attendees themselves cannot see what they have or haven't viewed so they are continuously requesting this report, which we have to filter each and every time.
  • I worry about the accuracy of the report and when I expressed my issues I was told someone would get back to me, but they never did. I had several attendees who viewed sessions that did not show up on the report.
  • Whova has an "Organizer" app where meeting organizers can ask questions and give each other advice. Once I entered the above info, I was immediately blocked from the organizer app and no longer had any access whatsoever.
  • Also, we have to create a separate CE certificate for each and every attendee. Very time consuming and we are unsure of the attendance report accuracy. Makes us look incompetent.
  • Overall I like Whova but this is currently not a great fit for companies that need to track for continuing education. It is missing key features. We would use it again if we didn't have to track attendees' time and attendance. It falls short on those features and therefore becomes very time consuming. Also, we could not be assured that Whova is working in the direction to have these features in the future.

The overall usability of Cvent Event Management is extraordinary! Anyone taking a couple of minutes to just play around in the site can figure out the functions and successfully utilize the tools. In addition, there is a suite of help topics and videos for additional assistance.

It has extremely limited customization; it is buggy; it sends stray emails you do not know are being sent and that are not customized, leaving your clients/speakers/moderators confused. The Exhibitor and Sponsor sections are considered separate functions but are similarly set up and have different sub charges. Exhibitors can set up their own pages but Sponsors cannot. Neither can see what their page looks like unless you do it for them. There is no need for these areas to be separate--it's not like my sales team has a different sales rep for sponsor banners and exhibits. These areas need to be combined and they need to have a way to preview their setup. Having the Exhibitor be able to set up their own page is a HUGE benefit, but it's only half-baked in its implementation. It is a HUGE disappointment once you figure out the limitations eliminate the benefit.

They are in constant contact with our builders and our admins about new features, trainings, and solutions to issue which arise especially in integrating with other systems or with developing alternative models

It was a great experience. A last minute change for our organization that has a conference every other year. I was disappointed that the conference was not going to happen this year. Then didn't expect much when it was changed to an online conference. What a surprise. It was great! So much more than I expected.

It would have been nice during implementation if we had received more pointers on how to organize our parked report folders, libraries, etc. to avoid the mess we find ourselves in today. If we had known ahead of time the limitations we could have planned better.

I have not used another event planning software and am not able to compare them accurately. I have done most of my event planning manually or as a team. Cvent Event Management helps streamline a lot of the process if you are working on a team because everyone who has access to the account can see what information has already been done and it will not be accidentally duplicated.

Buzz is difficult. I wish we could use Whova for teaching because it is so simple and mobile! I can't even get my classes uploaded easily on the Buzz platform. Can Whova increase its usages to include online teaching for the K-12 levels? That would be amazing!

  • I can't speak to actual ROI, but as a department, we are running much more efficiently and have streamlined event planning processes across 3 business units. This saves time and money. We have nearly doubled the number of events that we manage over the past 5 years and have not added any headcount due to Cvent.
  • Managing over 80 events per year, with multiple invitation lists, was incredibly difficult, inefficient, and impossible to track. Using Cvent has been crucial to know who is being invited, why they decline, why they cancel, and why they attend. The metrics are dynamic.

  • I didn't pay to use the technology; was a recipient as a result of attending a conference. HIGH ROI for me as a made a number of new contacts even though I spent the first full day listening to presentations. Having the app allowed me to do the networking I came to do without having to be seated next to the person I wanted to meet.
