We have well over 12,000 contacts that we were managing in several customer relationship managers and list serves. We are bringing them all into Salesforce to streamline our user experience across the department and also bring our event registration over to Salesforce rather than having it in separate softwares. We are using it in higher education communications and marketing.

I have used many different HRIS systems and UKG Ready is a fairly robust tool. What sets UKG apart for us is their core values align with our own. We love their employee culture and know that trickles down to how we are supported as users of their software. We also appreciate the constant upgrade and really taking user feedback into account.

Pros

Salesforce

  • Salesforce.com is extremely customizable. I would not consider it an out-of-the-box solution, although its standard fields allow for fundamental CRM activities and reporting.
  • Salesforce.com is able to integrate with 100s of third-party softwares—often times creating efficiencies in processes.
  • Reports within Salesforce.com have the ability to be simple as a standard Account report, or you can get very granular with your report filtering to segment a very specific result, eg. Accounts in California who are active clients and fall within the pharmaceutical industry and have a specified market capitalization.

UKG Ready

  • Streamlines the process between HR and payroll. Each team can quickly see and share information.
  • Our entire hospital team can use the system and it's easy to provide trouble shooting support to our teams.
  • Appearance -The system is easy to use and attractive for users.
  • The payroll process specifically is very well laid out.
  • Communication! UKG has really stepped up on communication and training especially around tax related deadlines.

Cons

Salesforce

  • Costs vs. ROI: The initial cost to BUILD whatever instance your SF sales rep presents to you and sells; the COST associate to get to that build is NEVER explained or discussed.
  • The Salesforce sales rep's job is to sell you on an idea and hope, rather than practical application, implementation, and realistic expectations of the egregiously cantankerous and universally overpriced CRM.
  • They do not vet, manage or hold accountable their 'implementation partners'. Again, the sales rep for Salesforce; their job is to sell you the platform, not what you they showed you the platform can do. There is extreme neglect in discussing the actual cost to get their CRM platform to do WHAT they have showcased to you. Not to mention the time it takes to get there. Not to mention the partners they refer to you are random. These 3rd party companies do ALL the work and make ALL the money on behalf of Salesforce, for themselves. You get stuck in contracts with mediocre service or lackluster results and there is NO recourse for you as the consumer against these 'partners'.
  • If I want to sell GM cars, GM has standards and minimums they require in order for me to represent their brand. If I do shady dealings, rip customers off or am just a terrible business to be in business with, GM would strip me of my dealership title for their brand. SalesForce does no such thing. I could start a company to implement salesforce, have you sign a contract and deliver a garbage product. If you go to SF to complain about that; "Our hands our tied" as I have been told.
  • Salesforce does not care about your user experience, they just want you to buy more. It is a Sales organization, not a software company. Again, they do not care about your business, the negative impact of their CRM rollout, or how terrible their 3rd party support partners are. They. Dont. Care. They just want your money.
  • SF is aware they are the biggest player on the block. They have all the cards. You, the consumer, as an individual business, have no power or say.
Kurt Johansen | TrustRadius Reviewer

UKG Ready

  • It's pretty complex and if one thing is missing it can quickly throw something off. Something as simple as a new position or a pay code can throw off everything if entered incorrectly. There are so many steps associated with these things it can easily be missed.
  • The HR processes seem to be pretty lengthy.

While it's not perfect and can be overly complicated at times, there is not another solution out there that can do what it does. To get the same functionality you would need numerous disparate tools to match the amount of functionality Salesforce has. Having it all aggregated on one platform makes the complicated parts far more bearable

Somethings are very easy to do, however somethings are very clunky. For many things such as time change requests and approvals it would be nice to see the timesheet as you are making the request rather than having to remember what was on there. It does require a general technical base that some of our bus and custodial staff do not have.

The system seems very stable. Being hosted in the cloud, we are vulnerable to internet speeds and busy times. The system has been down a couple times over the 3 months we have been live, but Kronos resolved the issues very quickly. To have access from a desktop, tablet, time clock, or phone app is one of the best features....users have almost NO REASON they can't clock in.

Salesforce performance in general is excellent. "The cloud infrastructure beneath Force.com has been fine-tuned over the past 10 years. It powers nearly 100,000+ businesses running more than 185,000 applications that 3 million users count on every day."
Points per Salesforce -
1) Multitenant kernel - With a multitenant platform, each business that uses the app doesn’t have its own copy. Instead, all businesses share a single copy and then customize it for their specific needs.
2) ISO 27001 certified security - You can’t compromise when it comes to enterprise-level security. Force.com is road-tested and trusted by nearly 100,000+ companies, including many of the world’s most security-conscious organizations, such as banks and health care providers.
3) Proven reliability - All Force.com apps run on world-class data centers with backup, failover, and disaster-recovery facilities. Force.com has had a proven 99.9 percent uptime record for years.
4) Proven, real-time scalability - Force.com is used by many of the world's largest enterprises, including Cisco, Japan Post Network, and Symantec. Applications can automatically scale from a few users to millions of page views, as needed.
5) Real-time query optimizer - You need fast access to your data. The Force.com query optimizer delivers under 300ms response time, at a massive scale.
6) Real-time transparent system status - You can always see real-time system performance, availability, and security information at trust.salesforce.com.
7) Real-time upgrades - Unlike traditional software platforms, our upgrades never break your customizations, code, or integrations. We upgrade the platform for you 3 to 4 times each year. As a result, you’re always on the latest version, with access to the latest features, performance, and security enhancements.
8) Real-time sandbox environments - With a single click, you can create copies of your applications, configuration, and data in separate environments for development, testing, and training.
9) Three global production data centers and disaster recovery - Force.com runs on three geographically dispersed, mirrored data centers with built-in replication, disaster recovery, a redundant network backbone, and no single points of failure

We were always told that Kronos was the best, but there are reports that we got out of ADP and other payroll providers that we cannot get out of Kronos. One example is a report of Productive/Non-productive hours by department. We also need the dollar amount associated with the hours. This is information that is required on our cost report and we were told that that report is unavailable. It is very frustrating when I can't get what I need.

As a Salesforce user, I've worked in large organizations with Salesforce-trained employees. They gave me instructions on how to get in touch with them, and they were addressed in a way that made it easy for me to understand. But they were often overwhelmed with Salesforce. Lots & lots of training available. Timing was wrong for our organization. We had lengthy down time in the beginning while the implementation consultant setup our system. We did online training then. Difficult to train on a generic system setup that isn't your industry and hard to understand what you are learning how to do w/o actually being in your system. Online training was well documented and the instructors were very knowledgeable.

Just from an organizational standpoint - we standardized our data prior to moving to Salesforce. But we essentially standardized it wrong. That's created a big disgusting mess for us know that I'll have to deal with as the Admin. Be sure you think through use cases prior to doing something like that - seek outside opinions on how the data will work best, especially depending on what else you're going to integrate with Salesforce.

Make sure the people who are doing the build have extensive knowledge on employment law and asking the right questions. I would bet that the people who helped with our builds did not read any of our employment contracts or ordinances; and when I asked questions about how other companies handled certain basic dictates from federal employment laws, they didn't have any idea what FMLA, FLSA, etc were.

Alternatives Considered

Salesforce

When evaluating a CRM solution for our company we had a fairly simple decision process. We had to decide to buy vs build an internal solution - which we found for the cost Salesforce would save from development / IT perspective and provide a more robust solution. The closest out of the box competitor we looked at was the Microsoft Dynamics CRM product -and again, we found Salesforce to be a more robust / cost effective solution.

Our organization was a long-time user of UKG Telestaff and we found that the ADT payroll services did not integrate easily for payroll processing and management. The success we experienced with UKG Telestaff (formerly Kronos) made the decision easy to continue with their products when our organization separated from local government and became a stand-alone entity. The integration did not come without issues by any means, however, the build and integration teams (on both sides) were able to cooperate and work through all the problems encountered.

The contract process was arduous. Some of that was because of the purchasing issues with our university, but as mentioned previously, we got a quote for a package and then they also recommended add-on fees. These were things we did not end up going with because we had budgeted based on the originally quoted amount. This has slowed down our implementation phase and meant we were paying for two CRM software for longer than I would have liked.

Return on Investment

Salesforce

  • Companies that either hire consulting expertise or have in-house experts will benefit the most. It can be a powerful tool. Manage it correctly and there will be great benefits.
  • Conversely, if companies don't implement Salesforce.com with a plan, there will be frustration and small if any ROI realized.
Quentin Goin | TrustRadius Reviewer

UKG Ready

  • Positive: We have had better reporting with UKG Ready
  • Negative: We still have no benefit integration with our external benefit administrator after 2 years on the WFR Platform. The first attempt that took 2 years failed and now UKG wants us to pay for a single directional integration. This has cost excessive staff hours for manual intervention.
  • Negative: Any payroll adjustment requirements are not easy and the UKG Process is outdated. We recently had a payroll issue and were forced to issue a 2nd payroll but the payroll was delayed because UKG cannot (will not) process the same day. This is unacceptable and since Kronos and Ultimate Software merged, Ultimate software was able to process same day as are many other payroll companies that do not have as much power as UKG does.
  • Positive: We are able to use position management for better budgeting. There could be some upgrades to this module, but it does do what was promised.
  • Negative: Quarterly and year-end closeouts are 3rd business days which is not always possible. Very inflexible in regards to this. Even when it is done timely we get random notices and charges that it was not done even though we can prove it was.
  • Positive: It appears customer service is getting better. We struggled at first, but lately, it seems better.
