We use SmartRecruiters to locate candidates across the country for our multiple locations. We also use the solution at headquarters for internal staffing and to manage a hiring workflow. This allows us to assist each location with a candidate database and consult in various hiring practices.
  • Easy to use candidate database with filters
  • Integrates with top recruiting sites
  • Provides transparency in hiring workflow
  • Maybe add some validation when exiting to verify that you do not want to move a candidate through another workflow step.
I love that it is web-based and can be accessed from anywhere. I think that it is very easy to navigate and teach to other end users.

It is being used across the whole organization to track new candidates for current open positions. It allows us to track candidates across many different departments and increases communication through the talent acquisition team.
  • Tracking if candidates are applying for more than one position.
  • Allowing recruiters and hiring managers to rate candidates through the review function.
  • Provides assessments for candidates that can be personalized from the market place.
  • I would like to be able to send out a delayed rejection letter.
  • Candidates in the Leads section get lost in the shuffle of the hire process, when we hire someone they should be part of the group that receives the rejection letter.
SmartRecruiters is great for tracking large groups of candidates. I also like that it allows feedback to given between the hiring team. It would be great if it had the option to send the feedback to a third party without adding them to the hiring team. Such as a screenshot option that can be attached to an email showing notes and the hiring process.

Currently, SmartRecruiters is being used mainly by the HR department and hiring managers as a recruitment tool. We are currently in the process of using it as a whole organization and tracking our employee referrals and internal applicants through it. This should be enrolled out within the next month.
  • Customer Service. If you have any issues, the team always responds quickly and works to resolve our issues.
  • New ideas. They are always coming out with new ideas, as well as open to our company's ideas and putting them in place.
  • Strong Database. They are able to pull reports for us to determine the soucre of hire for our candidates and give us the information we need.
  • Reporting. From a user's stand point, I wish we were able to pull the reports we need on our own rather than asking them to pull it for us. They have reporting but it could be improved.
  • Customization. They have a ton of awesome features, but it would be beneficial to be able to customize it to best fit our company.

We use SmartRecruiters across our whole organization here at the Bay Area News Group. It's used as our ATS and a way for the recruitment team to collaborate with our hiring managers. It also integrated nicely with our careers page so we can post our jobs to SmartRecruiters and know it will be posted.

  • Referral's are kinda clunky, the employee needs to be in SmartRecruiters.
  • Tracking candidates through the process can be a bit tiresome.

SmartRecruiters is being used for the recruiting needs of several facets of our organization. As a franchisee company, we use the platform to post job openings for over 150 retail locations across the country. Positions range from sales and front desk support to managers and technicians for our local shops. We also use SmartRecruiters to find quality talent for our corporate office.
  • Allows you to manage the recruiting process all in one platform, including screening applicants, communicating follow-up interviews and declining candidates that are not the right fit for the position.
  • It allows you to place a star rating on your applicants to easily keep track of those you want to remember and potentially consider for future openings.
  • It is mobile friendly. I can check and review the latest applicants from a mobile device.
  • I'm still learning the platform. Currently, can't think of much I'd change now.
I love that it is a one stop shop for placing ads on job posting sites like Indeed and LinkedIn. That makes posting and managing the sources for our applicants very easy. Also, I like that I get an email with a notification of a new applicant to our job postings.

SmartRecruiters is being used across the entire organization. It addresses the business problem of having an applicant tracking system for recruiting. It is there to make sure that all candidates are being viewed through one system. It makes it easier for hiring managers and recruiters to collaborate. It's easy to advertise jobs on job boards and through other social recruiting tools.
  • Good at getting all of the applicant information in one place - emails, ratings from managers, applicant data, etc.
  • Good at continually trying to update the product and providing information to their customers on new features.
  • Good at using modern techniques such as hash tags and @ symbol to track in the tool.
  • Seems to be working more to expand their client base than improve some core features of the product - this is frustrating for current users.
  • You can only change the candidate status in the profile - you cannot do this in bulk for many applicants at once. This means it is very hard to keep accurate metrics of where candidates are in stages. SmartRecruiters talks a lot about candidate analytics and this is a core part of having accurate analytics.
  • No useful search function. There is no way to search the database of candidates that have already applied. This is very frustrating and makes it harder to recruit. Past applicants may be great for future jobs.
SmartRecruiters is well suited for a basic ATS where you don't have a lot of complex functionality. If your organization does not track analytics or recruiting metrics closely then this could work well for you. It seems to be working on making a comprehensive CRM tool. However it is in process now and it will take a few years for it to be where it's useful in that area. If you don't mind a 'work in progress' then it could work well for you.

We use SmartRecruiters for recruiting, screening, and all other aspects of hiring for every position in our small business. It provides a unified location for online applications, cover letters, competency assessments, candidate ratings, offer letters, etc. It prevents allowing applicants to fall through the cracks and assists us with rating and tracking qualified candidates.

  • Sometimes navigation of the home screen to find applicants isn't as clear as it could be.

The recruitment department uses smartrecruiters along with OCC. The main purpose is to use one tool to publish in all our other job boards and this tool communicates directly with our ATS. I think it's easy to use, however you have to login into the smartrecruiters portal to publish a vacancy and the format reflected in the job board isn´t always clear.

SmartRecruiters is used as the primary recruiting tool and communication platform for all of the positions we recruit and hire for. It allows us to store all information about potential candidates in a central location, which allows access and use of the information at any time in the future by our location or any other location in the organization. This saves time and improves accuracy of information and ultimately leads to better hiring decisions.
  • Allows for a record of communications with the candidate that can be reviewed or accessed at any time. When working with multiple candidates it is sometimes difficult to keep communications consistent over a period of time with a candidate, particularly when multiple interviewers or reviewers are involved in the process. SmartRecruiters helps us to effectively manage this process.
  • SmartRecruiters is a very effective centralized database of current candidates, as well as past candidates. This ensures that we maximize the potential candidate pool.
  • SmartRecruiters provides a central resource for job postings to multiple online sites, resulting in consistency of the job posting, time savings and ultimately increased profitability.
  • If you don't use SmartRecruiters on a regular basis it is easy to forget how to navigate through the various functions.
  • Sometimes the various filters can be tricky to use, resulting in unexpected results or no results.
It is less appropriate when the candidate is a personal/local referral where you may not need or want to go through the entire process. It is very appropriate when you are conducting a recruiting campaign and managing many candidates.

SmartRecruiters is great for bulk recruitment activities. Tt's easy to sort large volumes of candidates and send bulk messages to groups, eased by the fact that you can segment them easily by the stage they are in the process. The fall down is the more strategic side - being able to effectively pipeline candidates; effectively search candidate names and then place into talent pools.

SmartRecruiters is being used as an applicant tracking system for the Human Resources department. It is being used by all the recruiters working for Ancestry.com. It is very efficient and much better than Taleo, the applicant tracking system we used previously. There was a small learning curve at first, but once we were used to it, it was great.

  • Easy to use.
  • Had built-in rejection letters to use when necessary.
  • The notification system was way too much and notified you constantly with mostly useless information. It was like a needy, pestering 4 year old constantly tugging at your clothes for attention, trying to interrupt what you were doing. It was very stressful and made it hard to focus on my job until I figured out how to shut all those constant, annoying notifications off. Other than that, it's the best ATS I've ever used.
All the constant notifications every time someone applies for a job is totally useless in a corporate HR environment. It's actually a distracting detriment. On the other hand, for a recruiting agency dealing in contractors, it could be useful, since time is of the essence in that environment. It might not be a bad idea to have 2 versions, one for corporate clients like Ancestry.com without the all constant notifications every time someone applies through the website; and another version designed for recruiting agencies that need the notifications when they get a new applicant.

We use SmartRecruiters to manage recruiting and hiring for Home Office employees, and we also train our franchisees to use the system so they can hire their teams.The main problem that it addresses is the management of applicants from several different sources. Outside of SmartRecruiters, a sponsored job ad can be individually posted directly to a number of different sites. However, then the applicants would simply respond to the ad and flood the hiring manager's inbox. This is very difficult to manage. SmartRecruiters allows a user to post to a large variety of job sites through one single portal, and then manage all applicants through the process, communicate via email templates, send screening questions, leave notes on applicants for internal review, and basically have a "one-stop" access to easily manage the flow of applicants from new to hired. The system makes it very easy. And after the hiring process is complete, users can view sourcing statistics to identify where the most applicants came from, and then adjust strategy to reduce cost-per-applicant to maximize ROI. The system provides valuable data, and it is intuitive and easy to use throughout all processes.
  • Customer support is excellent. Very responsive, very helpful, always polite.
  • They have made the system very intuitive. It is user-friendly, visually appealing, and easy to learn.
  • The ease of managing a large number of applicants is the main reason we enjoy using it.
  • They use to have a referral feature that interfaced directly with your LinkedIn profile. I don't know where that went, but I wish it would come back!
  • You can purchase ads on Indeed through the portal, and it is frustrating not being able to monitor the clicks on a par-per-click ad. I'd like to be able to see more details on exactly where that money goes.
  • I would like to see the referral feature link with my Facebook friends list to identify people that are in the desired area and industry.
SmartRecruiters is best suited for an entity that may have multiple job openings and a large number of applicants to manage. Our organization typically has nearly 100 opening posted around the country at any given time. Another great feature for larger companies is the retention of all applicants and their contact information. So, industries with higher turnover have a digital rolodex of previous applicants that they can easily access and search in one place. Our organization has a database of close to 20,000 applicants. That would be nearly impossible to manage via the old "we'll keep your resume on file" system of the Dark Ages. Overall I'd say the larger the organization, the more value SmartRecruiters provides.

SmartRecruiters is being used by the HR and Talent Acquisition team at AOL. It is used company wide. It addresses hiring and interview scheduling.
  • Candidates can apply to jobs through the SmartRecruiters Portal.
  • You can see who has been rejected, who has applied, etc.
  • You can see the hiring team and add competency questions to the req.
  • Scheduling functionality...SmartRecruiters is not compatible with the Gmail platform. As a coordinator, my job is scheduling, so I dont use SmartRecruiters to schedule, as it is not compatible with Google calendars.
SmartRecruiters is good for collecting feedback. I would not recommend it for scheduling interviews.

We use smartrecruiters to staff our locations with new technicians, service writers, managers and drivers. It has been a very good resource to build our team with the strongest candidates. This is used at the store and corporate levels with some success. It is a very good resource, that I would recommend to any business that needs additional staffing.

We're using it as our job ad management system and ATS.
  • The UI is pretty user friendly.
  • Job postings are easy to put up.
  • Communication with hiring managers is simple and easy.
  • Resumes don't always upload.
  • I can't customize questions for candidates to answer for each job.
  • I can't schedule rejection letters to go out to candidates.
  • I'd like to be able to give the hiring managers the options to decide which email alerts they want to get from SmartRecruiters.
  • I can't filter the list of open jobs on the mobile app so that I can only see the openings I'm attached to.
It's fine as an ATS, but there are several features that could be implemented. Communications don't always go through (both with candidates and co-workers), which makes my job harder. It manages job postings well. I'd like to be able to use Boolean searches to find candidates that are already in our database.

SmartRecruiters is the cornerstone and foundation of our recruiting function - like any other ATS. Our company is unique in that we manage several brands within our HR world (for example: We are IAC Publishing which oversees and manages Dictionary.com, Ask.com, Investopedia, The Daily Beast, ASKfm, PriceRunner, Smarter.com, ConsumerSearch.com, IAC Publishing Labs, inkd and several more).

We needed a tool that could post our jobs, manage our candidate database, set up interviews but also be the home base for all our branding for multiple companies but where recruiters who hired for multiple brands could come to one place to do all their work. And SmartRecruiters has also gone above and beyond in integrating with our digital onboarding platform, background screening and Tableau BI analytics.

  • Posting jobs to both free boards and paid job boards.
  • Modern career pages, easy apply with social networks (like LinkedIn) and an interface both on company and applicant side that makes sense for today's technical world (not like other 10+ year old ATS that are part of a suite that look like software from the 90's).
  • Incredible customer service, quick response and a team that cares (never had this level of customer service in any other HR software).
  • Open API - can create any application or integrate with most anything with their ability to have an Open API that other software can post/pull information from (i.e. once we click "hired", it passes it off automatically to background screening and onboarding).
  • Digital offer letters (integrates with DocuSign) so when we say "offer", it automatically generates an offer letter and sends it to the candidate to sign.
  • Office 365 Calendar integration - two way sync
  • LinkedIn Integration - all inmails get synced directly to SmartRecruiters without pushing a button - plus easy instant job postings - and integrates with LinkedIn Referrals
  • Referral portal - easy for employees to send a referral for any job you have posted
  • Internal search function - not the most robust Boolean search ability and often you want to go back to your database to find warm leads for jobs. However - there are many integrated companies that partner with SmartRecruiters that can do it for you, (Entelo, Brilent) so plenty of options!
  • Microsoft Exchange calendar integration is not as good as Office 365. Luckily we migrated and so less problems there but calendar can only get better!
Any company that recruits, hires or post jobs (so ideally EVERY company out there) needs an applicant tracking system. SmartRecruiters is scalable and can be used from a startup to an enterprise and I think they are well suited to replace all the old ATS out there. And it's a platform so being able to add on new features is easy and we look forward to releases every time they come out (used to be monthly, now quarterly).

I selected, implemented and administered SmartRecruiters in a previous role where we had 180 employees in three countries. We used the product in every division in each country. I recently implemented SmartRecruiters at my current company and I have only rolled it out to one team as it is relatively new. SmartRecruiters addresses my problem of leading a very small HR team with few resources. It offers the hiring managers an easy platform to handle their own recruitment administration and interview scheduling which eliminates some of the workload within HR and removes any bottlenecks.
  • User Interface/User Experience - I have never had a manager complain about using SmartRecruiters, and training is minimal. Compared with some other products where I would have to spend as much time training and assisting managers as I would doing the recruitment myself.
  • Referral Functionality - I recently discovered the referral functionality and I'm working on implementing this in conjunction with an employee referral bonus. The fact that you can match your connections (through LinkedIn etc.) with the role is genius; we instantly grow our candidate pool
  • Screening Questions - This is a basic function of the product, but saves me an immense amount of time. I ask simple questions like 'Is the location suitable for you' and 'What are your salary expectations'... this helps me weed out candidates quickly and easily.
  • I ran into some issues where a candidate had applied for more than one position. The terms used ('pass' for example) isn't defined enough for the hiring manager to know what it means. This resulted in one divisional leader rejecting a candidate for a completely different job that he wasn't on the hiring team for. This was a design issue and I made a recommendation for it to be addressed.
I believe that SmartRecruiters is very well suited for small to medium sized businesses. It can handle global usage but would need to add some of the local job boards (which SmartRecruiters can do for you). I haven't used this in a larger/enterprise business but assume it might be a lot of administration depending on the number of resumes received.... something to consider.

With a small company like ours, we do not have our own Applicant Tracking System so SmartRecruiters has been an asset I utilize daily.
  • Activity log if great to have especially while adding team members to review
  • With no cost to our company, job posting to free boards has been useful along with the social media added.
  • User friendly and simplified!
  • Able to delete activity. Sometimes there our qlithes and duplicates are seen. Also, sometimes just busy and added activity/feedback on the wrong candidate.
  • Would like to be able to add entire address, not just the city and state.
  • Would like fields for "Phone" and "email" to not be required for candidate profiles as sometimes that is not always given on resumes while sourcing candidates.
Absolutely wonderful! Not all companies can afford an ATS so this is a great tool to have.

We currently utilize SmartRecruiters at all levels of our organization. Our store managers utilize it to post hourly positions and our multi-unit personnel and vice presidents use it to post management and administrative positions. It has streamlined our recruiting processes and shortened our time to hire.
  • The system is very user friendly with plenty of widgets to help us navigate through the system.
  • Creating job postings and templates has made it easy for us to post multiple positions for multiple locations.
  • Having the job board and aggregators available enables us to have a one-stop shop for blasting our positons.
  • The analytic features are very helpful in analyzing the effectiveness of our recruitment spending.
  • It has been extremely beneficial and a time saver to be able to make all interview appointments from initial contact to the hiring decison all in one platform.
  • We have had some challenges recently with Craigslist postings inside SmartRecruiters vs outside SmartRecruiters, but the SmartRecruiters team has been very responsive to investigating the issue and helping to identify possible resolutions.
SmartRecruiters has been a great platform for our organization as we have grown over the last year and continue to grow and develop new markets. I would recommend it for both large and small organizations.
