Our department uses QB. We use it to generate file numbers, and to keep track of timelines and stats. We also assign those files to various team members and then we use QB to make sure those assignments are equitable across the whole team. We upload documents too.

  • I'd like to be able to customize just a few files instead of our entire catalog of many thousands of files. Instead, when you add a field or delete one, it gets added or deleted from all files.
  • The drop-down menu lists do not appear alphabetically. That means each time you have to run your eye up and down and all around till you finally find the one you want. Slows everything down. Also, the names on our drop-down menus change from time to time but you can never delete one since that will delete that name from older files as well. Eventually this will become totally unwieldy.
We use QB in conjunction with another system for document storage. It would be great if we could combine, but we'd need to be sure it was safe and the storage was here in Canada where privacy is highly protected. We also use our own email system, not QB's. That limits what we can store on QB. But for creating files and keeping contact details for our cases, it's great! We also create weekly, monthly, quarterly and annual stats reports, and QB is great with that as well.

Quickbase is being used by the entire organization. We use it to track all current inventory, to create new orders, follow the orders, check them in, get them to the jobs that require the material, view the process of the job and all related tasks, make sure it's ready to be shipped out, and track it to it's destination.

  • All edits made can be instantly viewed and reflected on
  • It has great control over users access and permissions
  • Great ability to use different applications for different needs in the company
  • Customizable with layout as desired and adding personal code and scripts
  • Some times, it is difficult to search through some tables and applications
  • Grid edit needs to be used in a slightly more integrated way with APIs
  • Speed is a great concern for us, and when Quickbase is slow or the database is dragging along, we're hurting.

Quick Base is currently being used in one department (sales) as a forecasting tool, although we do plan to expand to other departments/uses.

It is a tool for our sales reps to record all upcoming opportunities and create a forecast database, which we then use to determine how much of which product to order and when.
  • I like that I can build apps myself, without requiring a third party to help, as I know the processes of my company the best, and I am easily able to tweak Quick Base to however it will best display the information we need.
  • I like that you can easily link multiple tables together and be able to pass fields and information between them.
  • Quick Base allows me to send automatic reports to my team as well as notifications when a certain action occurs, which automates a lot of tasks that were previously manual.
  • I still am unsure if Quick Base is able to handle a lot of tasks that our current POS system does, such as hierarchies/tiers of customers, discount/special pricing for particular accounts, etc.
It works very well as a customizable database and allows me to create forms to record certain information from my team.

I can then use Quick Base to help me present that information to management in the form of dashboards, reports, charts, etc.

Here we use Quick Base as our main daily use software. Furthermore, we are distributors and implementers of this platform to different industrial sectors in the country. The experience both as a user and as implementers has been magnificent. Clients are very satisfied, and we fully trust the results. I highly recommend the use of Quick Base in any industry.
  • Consolidate all the information in one place, whether it is from human resources, accounting, clients ... there are no limits!
  • Reporting is great: create comprehensive reports for quick decision making.
  • It is easy to use for any position within the organization, simple and user friendly.
  • Language: add Spanish for Latin America.
  • More dynamic filters: actual limit is 5.
I have tried it in the construction, real estate, financial, project management, sales, and accounting industries ... and it works wonderfully in all of them. Currently I can not imagine any scenario in which it is not suitable.

We use Quick Base as a common tool accessible from different parts (PM, associates, researchers) that holds all projects, showing scope, contacts, background information and progress. It actually allows each team member to work together.
  • It explains what the scope of the project is.
  • It can be consulted and updated by different people.
  • It shows the progress of the project.
  • It should be more flexible in organizing the text.
  • It should allow for more notes to be shown in the summary page.
  • It should run more quickly - sometimes pages take forever to load.
I would give a higher score if QB would be quicker/uploading faster.

I create Quick Base applications for businesses to help them operate efficiently, measure how they're doing, and achieve transformation improvements to their business.

Use cases are varied including CRM, Project Management, Scheduling, Inventory Management and more. Many businesses come to Quick Base because they're struggling to run their business off of spreadsheets, off-the-shelf tools that don't work for their business, or across multiple unconnected systems.

For my small business clients, Quick Base is typically used across their entire organization. Larger companies tend to use Quick Base at a departmental level.
  • Can be completely customized to the needs of your business.
  • Can be implemented at a fraction of the time and cost of a custom coded solution.
  • Can easily scale with the changing needs of businesses.
  • Has limited "in-the-box" integration options.
  • Automated workflows aren't very comprehensive.
  • BUT will be rolling out a new tool called "Pipelines" to improve on automation & integration.
Quick Base is great for companies struggling to run their business off of spreadsheets. It's also perfect for companies who operate in niche industries or have complex requirements that can't be met by an off the shelf solutions.

Most use cases are for business who intend to use the app internally to improve business processes. Creating applications that are intended to be used primarily by customers wouldn't be the best fit.

QB is a database for housing all of our properties. Corporate and Site Level staff have access to enter data within various apps. It is also used as a ticketing system for marketing/website requests.

  • Different apps allow for diverse functions.
  • Connection between apps gets finicky.
Appropriate for smaller companies as an information database. Larger companies have too much information, especially if attempting to store files over several years' time. Apps run out of attachment space fairly quickly, and there doesn't seem to be a workaround other than dumping the historical data into a different app.

Our organization has a lot of uses for it; my department uses it for a variety of functions. The main areas are for tracking creative projects and web development projects, and managing content (assignment, approval, channel, etc.). We also use it to track budgets, ad performance, and contacts. We also have a separate app for tracking our student intern program.
  • It's immensely flexible and customizable, within each app and across different apps. The ways that you can use it are limited only by your ability to think about what you need. I haven't got much into script building, but have had some developers do that for us and that has extended its customization.
  • Reporting and notification. Again, customizable to the nth degree. If you can ask a question about the data in your app, you can build a report, notification, etc.
  • Reliability -- it's always working. Always up.
  • The email function. When you email reports and records to people, it bccs people so no one can see who else is getting it.
  • The search. It's almost too powerful and so when it returns records, it brings back so much that it's hard to go through. Granted, there's the advanced search, but it would be nice to have a down and dirty search that returns based on one or two main fields and returns results from newest to oldest. (We've built a report that does just that).
Quickbase is teriffic for any kind of tracking function - budgets, projects, content, contacts, you name it. It's also great if you have different levels of your organization that need to use the app differently. With roles and permissions, you can customize it so that it feels like that even with one app, you can have multiple uses. And, if you have the aptitude and need, it's pretty easy to build multiple apps that talk to each other.

QuickBase is used across the whole organization. Used mostly to track employee capacity/productivity, I think. Possibly also for client activity reports. I am not privy to other management uses. I am a foot soldier in this situation (and also an independent contractor, so not actually an employee of Butin).
  • Can track time spent on a project down to the minute, but no one here uses it that way, as far as I can tell.
  • Provides ample room to describe activities performed on assigned tasks.
  • Allows simple emailing of time sheets to client.
  • Does not permit accurate time recording when entering a start-stop time span that crosses the midnight hour. The total logged time on QuickBase then goes into negative numbers. That's bizarre and throws off the amount of time worked on a project.
  • The log of time-punches changes every Sunday night at midnight, and not sure that's entirely a good thing.
QuickBase is well suited for accurate time-reporting, down to the minute.

Quick Base is used in multiple departments across my company's organization including manufacturing, supply chain, engineering, and field service. Some small groups with as few as five people use it to keep track of tasks. Large groups use it to provide always current informational dashboards with digital access across a multitude of devices (laptops, tablets, and smartphones). Easy access was key to getting user engagement and adoption.
  • Quick Base has a in incredible customer support system that provides reliably quick response times for all sorts of questions from basic user instructions to more complicated account management.
  • The ability to add users is easy, intuitive, and doesn't require complicated software installation.
  • Quick Base is a very flexible platform that allows users to dream up very personalized solutions and program them without a computer science degree.
  • The challenging part about adopting Quick Base for new users or app builders is the instruction. Every app is different so maybe Quick Base could start an online webinar or course work that walks users step by step on its capabilities and functions.
  • Quick Base should add customization feature for background color schemes and layouts so that users can get the tables and graphics to better match their own corporate standards. For example, not everything matches Quick Base's purple and white.
  • They could add for admins a user engagement graphic so that those who manage the realm can easily determine which apps are active and which are abandoned.
Quick Base is a great addition to companies of all sizes. Its ability to be customized by the user without major software programming experience makes its adoption easy. Cloud computing and storage ensure cross-platform sharing (iPad, laptop, smartphone, etc.) and reduces the risk of data loss.
Where Quick Base might not be as useful is in larger companies with heavy investments in dated software architecture and are unwilling to adapt and change.

We have a few apps and integrations. We use QuickBase to manage case orders, billing, and quotes/invoices. We also use it to manage pricing and customer profiles and histories. We have a CRM app that links to our case management app, so we have a really good map of our business. We also sync data with Google Data Studio to get better reports and analytics.
  • Reports load very quickly

  • Ease of integration with 3rd-party apps
  • Form builder UX is outdated.
  • Reports are fairly static. Real-time edits on reports would make more competitive to Google Data Studio.
  • "Live" updates to data would make more competitive to Google Sheets.
It depends on the use-case scenario. QuickBase doesn't solve all problems, and there is still a learning curve. There are a lot of clicks required to do most actions and navigate most forms, which turns a lot of people off. It's geared towards the power user and may not be suitable for everyone. That being said, I get a lot of benefit out of it and would recommend to people who would take the time to learn.

QuickBase is used only in my department, Digital Solutions, to support project workflow. We use QuickBase to manage the project from the beginning, during the complete offer and purchase flow, and for the tracking of the production; we use it for the tracking orders and invoicing. It is used as a document repository as well.

QuickBase is good for Project workflows, document management, and document versioning, project collaboration, financial project management, easy database-management, integrations. Not so good for: customizing reports and data presentation and customizing dashboard. Difficult to integrate users from other environments.

We create custom Quick Base applications to optimize our client's workflow, provide better control, and improve security. Uses include the replication of existing manual workflows, the capture of additional data for business intelligence purposes, integration, and improvement of approval processes as well as applications to integrate HR, production, inventory, field services, job costing, and more.

Quick Base allows us to do all this with minimal disruption and very high reliability.
  • Reliability. We build apps, they work well and kept working flawlessly for 10 years.
  • New features are being released all the time.
  • Flexibility in building and modifying apps
  • English only, I would like french language support or at least French accents.
  • More flexibility to create visually appealing forms
  • Calculated fields aren't updated dynamically when editing a form with detailed records (ie: line items in an invoice form)
QuickBase is well suited to improve processes, manage approvals and create custom applications that integrate all aspects of a department. Great for incremental development that can be adjusted as it progresses based on user feedback.

Less appropriate for accounting and invoicing--it's best to connect QuickBase to a commercial app that does the core of the job well.

We have rolled it out to three departments, all using it for different functions. My two departments use it for a workload manager, trending, and a database to store non-PHI data. The other department has used it to store contracts and a workload manager. This has allowed the three departments to work together in routing claims, documenting exceptions for audit purposes and avoid lost emails.

I will use our processing department, the use of Quick Base has allowed us to reduce our staffing by 20% and improved our quality. This was a win for the company are we grow.

We built over 50 applications to support our business and partners. From basic apps that are on the site to complex apps linking partners, patients including PHI. We eliminate 100s of Access or SQL apps as QuickBase is very easy to convert them and share data across the apps and profiles with granular level security. We have an enterprise version so very strong on security and use MFA.

  • Cost model as we want to go to 1000 users but too expensive
  • Should allow subdivision, like at the top is company "a" and below are all my other compaines to share data between without having to have a different domain.
  • QuickBase should allow companies to build apps in QuickBase that clients can buy without being a QuickBase client so I can start small businesses and sell cool web apps. There is no way for a startup to create an app and sell it to the public.
I rate QuickBase a "9" as they are losing ground to Zoho and others that provide more apps and integrations and at lower cost. QuickBase does have a better product, but I don't see the marketing or sales team doing a good job to demonstrate why QuickBase is better. They need to provide a cost model for small business (5-20 employees) as this could double sales as too expensive for them since they need the enterprise features but the costs is too high to get onboard for small firms.

QuickBase is being used by our Sales Team to track account interactions, including phone calls, visits, text messages, and emails. It's allowed us to gain insight into the relationship between account visits and successful sales reps. In particular, there is a strong correlation between the sheer number of account visits and rep success which we wouldn't have uncovered without QuickBase, and we've only implemented it 6 months ago. In time, I think it will help us understand what makes reps successful and will help us guide their efforts.
  • Customization - It is fully custom and can accommodate any needs your business requires in every facet of the application from table structure to user roles and access
  • Ease of Use - We have an older sales team that is very behind on technology, but with a 15-minute introduction, we've seen a 100% adoption rate, even in reps who insisted they wanted to keep using their pencil and paper methods.
  • Scaling Setup Difficulty - If you're just trying to do something fairly simple in QuickBase, it's incredibly simple to create. If you're trying to do something a little more complex it's harder to create, but the difficulty scales linearly with the complexity of the design, which is very good design.
  • Reporting - Reporting capability is extremely limited using the canned reporting models given by the system to the point where I simply export the data to Excel to manipulate and analyze it
  • Requires Understanding of Relational Table Database Logic - Although the understanding of the logic is extremely base level, you do need to know how tables work together; this may be a very difficult product to use in a setting where the application design team doesn't have a background in systems or Excel.
In my experience, QuickBase is well suited to simple tasks that you'd like a lot of people to have input for. If there are many people gathering simple, uniform data that you'd like to capture, QuickBase is a great way to do so. Everyone can be given access and have their security restricted to data only relevant to them, and you can easily export it to Excel for analysis.

It is less appropriate when data and analysis becomes more complicated, at least in my experience. As a new QuickBase user with no background in creating systems, only implementing, I find that I don't have the ability to create more complex logic like I can in Excel. That said, it is not a fault of the system, it is a fault of my knowledge. I haven't personally invested enough time to be as good with the system as I have with Excel, as my company's utilization has not expanded past simple tasks.

We are currently using QuickBase in multiple departments. At the moment, we use it track inventory and are also using it to track the status of when orders have arrived and are ready to be picked up or shipped out. We are also planning to use it for sales tracking, prospecting sales, and record keeping. QuickBase has allowed us to track our inventory amounts as well as locations of each Item. It’s also allowed or sales team to easily see status updates of orders without having to call the warehouse or physically go check. They can log in and see the status with very little effort. We are also able to track all custom records, deliveries, and pickups.

QuickBase is used primarily by the sales and lead generation departments to organize leads and maintain/report on communication. It helps to address pipeline management and ownership of said leads.

QuickBase is used across the company for departmental process automation requirements. Moving from spreadsheets to database.
  • Can spin up basic grid and forms
  • Database creation and creating relationships are fairly simple
  • User profile management, security, roles
  • No reporting tool worth a darn. Charting is rudimentary.
  • Need to dip into HTML code way too much. Hacking is required too often and will bite us at some point.
  • Automations can be hard to create and follow. Pipelines may help.
  • Sandboxing is rudimentary.
  • Form designer is not very flexible, requiring compromises in user experience.
If replacing a spreadsheet with simple business rules, roles, and permissions, then QuickBase is fine. For more complex requirements be sure you have a good partner and are prepared to do a lot of coding and hire someone to help build and maintain apps.

We use Quick Base across our whole organization. Our custom-made apps include Manufacturing, Product Data, CRM, eCommerce, drop shipping, and the list is growing. Every organization is unique, and Quick Base makes it easy to develop apps tailored toward your business. It is extremely versatile and scalable. We are thrilled with it and continue integrating it into all our workflows.
  • Create new apps quickly and easily
  • Customize roles for tailored reports and workflows
  • Implement automations quickly and easily
  • Connect and manage your entire business in one place
  • Easy to connect API and import logic
  • Does not do queries like SQL. If you want to run a report across apps that do not have connected tables, you will need to export and use a different program.
  • Cannot list sub-table data in a comma-separated list easily. For example, if you have a table of Car Manufacturers related to a related table of Car Models, you cannot simply list all the car models for a given manufacturer in one comma-separated list field.
There are very few scenarios where QuickBase would not work well. It has so much going for it. It does require some technical expertise to use well. The app is only as good as the team that makes it. If you are not technical, then an out of the box solution would probably be a better fit.

Quick Base can be used to avoid paperwork and in the business areas where low-code applications are in need.
