What is Adobe Workfront?

Workfront is a web-based project-management tool acquired and now supported by Adobe since late 2020. It was designed for both IT and marketing teams, but can be implemented for any kind of project. Workfront offers all the features standard to project management platforms. Editing and updating issues from the project view is styled to work somewhat similarly to a social networking site, bringing team members together in one central location. From the project view screen, issues, documents, and other elements of the project are placed along a tab bar so that they may be addressed with one click directly from the hub.

The platform's Capacity Planner allows a manager to move resources to where they are needed, and has some automation features (e.g. the Set Best Fit option, which attempts to allocate resources optimally within given constraints). Agile project management is supported with features like Gantt charts, an easily viewable and manipulable backlog, and storyboarding. Team members can be managed with the aid of quantitative metrics that show where work would be best allocated.

A free trial is available, after which Workfront comes in four pricing options. The lowest tier is Collaboration for small groups, followed by Work which adds mobile accessibility and time sheets, then Plan which adds additional analytic, planning, and reporting features. Finally, Enterprise Plus offers the highest configurability as well as support and data security.

  • This software is a culture change. It doesn't complete the tasks for you. The change needs to start at the top. If you get everyone using the system it may feel like a step backwards because you can actually see what everyone is working on. Output may slow down because people are now held accountable. Some employees may have a hard time with this culture change. Management needs to become better at resourcing and prioritization as a result. Overall, it's worth going through temporary pain to long term gain.

  • Workfront has increased our production. No one has to wait until someone assigns the next task, it just moves forward automatically.
  • Workfront allows us to manage the work of all the employees and see when things are taking longer than planned or when someone has a lot of work and another person is idle.
  • The Gantt allows us to fill out assignments quickly and in one place. We can assign all of the tasks and know that the project will move along the necessary stages until completion.

  • We are early on in our experience with Workfront but so far we have seen the value of presenting the work requests for review. By making people document what actually needs to be done you force the issue of 'does this really need to be done' as well as finding the root business problem to be solved.
  • Workfront is also forcing enhanced collaboration between the business and IT. By bridging that gap where things used to just get 'thrown over the wall' we are actively cutting down on re-work.

  • All in all Workfront bridged a gap for us organizationally and helped us to understand what we really wanted from a tool.
  • ROI hard truth is that this was a failure for us. We're transitioning to a new platform now that is much cheaper, and much stronger.

  • In tracking our External Stakeholder Inspections and Reporting process it has made it possible for us to quantify these processes across three different departments and given ownership visibility on the resources we expend to met these requests. Now that we have a baseline for the first year, we are well on our way to our goal of 99% On Time and Accurate reporting submissions and inspection responses.
  • Workfront has given managers greater insight into the workload balance between staff members, and has improved their ability to adjust assignments accordingly. With a goal to double our apartment unit count in the next 10 years, we will be able to increase and allocate staff as our numbers grow.

  • We are not far enough along in our implementation and use of Workfront to be able to successfully assess this aspect; however, my early thoughts are that this will provide a positive impact based upon less manual work, less overhead, greater organization, and better reporting and portfolio management capabilities.

  • We are still looking to have Workfront make a dent in our productivity. We are building Workfront into our routines but it is still hit or miss. The jury is still out if Workfront is the solution we are looking for. I see the potential, but the change management side is a struggle.

  • Workfront really just mirrors process that already exists in an organization. If the process is not well defined, it will be revealed when trying to build it into workfront.
  • The ability to track planned effort with actual effort via time logging is a great way for employees to explain to their superiors what they've been working on vs. what they had planned to work on.
  • In creating request queues for project requests, we have been able to estimate internal cost and outsourced cost for each project request and justify additional internal resources if they are needed to accomplish approved initiatives.
