What is Adobe Workfront?

Workfront is a web-based project-management tool acquired and now supported by Adobe since late 2020. It was designed for both IT and marketing teams, but can be implemented for any kind of project. Workfront offers all the features standard to project management platforms. Editing and updating issues from the project view is styled to work somewhat similarly to a social networking site, bringing team members together in one central location. From the project view screen, issues, documents, and other elements of the project are placed along a tab bar so that they may be addressed with one click directly from the hub.

The platform's Capacity Planner allows a manager to move resources to where they are needed, and has some automation features (e.g. the Set Best Fit option, which attempts to allocate resources optimally within given constraints). Agile project management is supported with features like Gantt charts, an easily viewable and manipulable backlog, and storyboarding. Team members can be managed with the aid of quantitative metrics that show where work would be best allocated.

A free trial is available, after which Workfront comes in four pricing options. The lowest tier is Collaboration for small groups, followed by Work which adds mobile accessibility and time sheets, then Plan which adds additional analytic, planning, and reporting features. Finally, Enterprise Plus offers the highest configurability as well as support and data security.

  • Communication: Workfront provides multiple team communication tools including email integration.
  • Ease of Use: The Workfront platform, although rich in features, is very easy to navigate and users will find its layout highly intuitive.
  • Instant messaging and IM systems integration such as Skype would be an excellent addition.

  • Multi systems alerts for "All Hands on Deck" type situations regarding project management.
I work on a team where each of us is separated individually from the United States. Workfront enables us to collectively collaborate on a common project setting individual goals. Project managers can invite users, send out updates and set goals to be marked as complete by individual users. Definitely an AAA+ option for global team project collaborations. Smaller projects with fewer working participants would most likely not benefit from the ROI for this product, however, if these smaller tasks are building to a larger project or your teams have multiple small projects running simultaneously then Workfront is for you as well.

To store open art files of our marketing assets. We purchased the DAM to store our assets as opposed to having them stored with various agencies. We wanted to reduce risk and reduce cost.
  • Upload and download files
  • Easy to navigate without too much training
  • Stores what you need in one place
  • The UI is a little clunky
  • We are missing the functionality to quickly add metadata to the contents of a whole folder at once
  • The search function can be a little hit or miss
It seems to suit our purpose well - ie storing of artwork, brand livery, collateral, documentation, and images.

  • Ability to create & customize columns in a project - for example: issues. I'd like to create a new column where I can add in what phase the issue was discovered. I know there are custom forms but you only see that when you create a new issue. I want to see it in the view.
  • Ability to set due dates at each phase of an approval process.
  • Ability to add notes to new versions of documents and search previous versions. If I have a weekly meeting I take meeting notes on...I upload a new version. After so long, I may have 30 versions of a document. If I want to review my meeting notes from a certain date....how do I know which version is for that meeting? I may look at the date and find a few versions close to it, but I'd like to add a note: meeting minutes for this date....and maybe a note on an important issue that was discussed that week.
Well suited for a traditional, waterfall project with dedicated resources. Not suited if multiple projects share resources; it is difficult to see resource allocations or job role allocations across projects for a given time frame.

  • The timeline is a great feature. It allows you to break the project plan out by tasks and subtasks and assign one or many people to each while also allowing you to assign days and hours.
  • The reporting is also a great feature. You are able to pull reports on anything from hours to ROI to resource allocation. It's a great way to keep track of who is available from a resourcing standpoint and also compare our planned vs. spent hours.
  • We love the proofing tool, the content, creative, and account teams are all able to work together seamlessly using the proofing tool.
  • Workfront could improve on the proofing tool to allow Excel documents to be marked up. Also inside of proofing, it would be great to be able to tag people in the comments other than those who are approvers.
  • I also think the issue tracking functionality could use improvement. It would be great to have an easier more simple way to track tasks.
The one area we do not use Workfront for is our financial end of things. It would be nice to see ROI and financial aspects beyond just reporting hourly cost and hours. Many people on our leadership team would like a way to be able to use it for that aspect instead of having to use another piece of software.

Workfront does do a great job of keeping the creative/content/digital departments on track and helps organize projects.

  • One strength is the Legacy Capacity Planning tool. I am actually upset this is being removed, because it has been a tool I use every single day.
  • Being able to set predecessors is extremely helpful to plan out a whole project.
  • Timelines - creating timelines from workfront with accurate dates is a very easy process.
  • One very small but irritating thing about Workfront is that when a project has more than 100 tasks, you have to open the button at the bottom to load all tasks. I wish there was a way to default the setting to show all tasks.
  • The speed of workfront could be improved. Sometimes, it just stops loading altogether and I have to wait an hour to try again to update my project.
  • I believe the scheduling tool is not very helpful and there would be much better ways we could use a tool for scheduling things.
Workfront is well suited for waterfall projects. Trying to create an agile project in workfront does not work very well, so we have not been able to use this feature very much. It is also not really well suited for unconventional projects where we need to come up with custom plans because it is much more difficult to set up if we aren't using a template.

  • It's easy to personalize reports and dashboards. It's a built-in solution. There's no need to pay for extra development.
  • Information can be easily exported to Excel for a deeper analysis.
  • Since many custom forms can be added to a project, each management office can build their forms with valuable input fields for their area.
  • The calculated field tool needs to be improved, Its not that easy to configure.
  • The report filter needs to be improved. Each time I select a group of conditions using "AND" or "OR" I have to manually input all the previous conditions when one one needs to be changed. I would be easier to copy clusters of conditions.
  • When creating a report, Workfront should ask where to save the report (folder). I believe all reports are created as "unclassified" The report classification into a folder happens a step later.
I've only used Workfront for project management tracking time and resources, not money. Workfront is perfect for that purpose.

  • Complex dependencies linking helps when dates slip in one project. Clients and internal stakeholders can easily see the impact of delays.
  • Exporting schedules and timelines is fairly easy, allowing project managers to easily keep clients in the loop.
  • Keeping documents all in one place allows us to package projects and save them locally for easy record-keeping.
  • There are some performance issues that occur when the number of tasks reaches past 100.
  • Exporting schedules could use some work in order to customize a bit more.
  • There doesn't seem to be the ability to search without saving a report. Many times I like to do a query without having to save it as a report.
I think there is a lot of opportunity for agile project management, however, with issue tracking and projects with upwards of 400 tasks and issues, the software gets bogged down.

  • Search feature isn't great (i.e. will search for a keyword from a project name and that project won't come up).
  • The app leaves a lot to be desired...to get things done remotely, I often need to login to the web interface on my phone because the app is not robust enough to allow the same control.
  • Would love the ability to clone/copy projects or previous requests (I have some recurring requests that are similar, sometimes identical and it would save me a ton of time if I could just find a previous one, clone it, and update it with the new info).
  • Would love the ability for Workfront to "assign" project codes (not just a number).
  • Notifications sometimes don't work as expected.
I only gave it an 8 because of the areas where I feel it's lacking. Overall, Workfront is the best project management software we tested. I think it's scalable to such an extent that it could work for most any type of scenario.

Enterprise-level work management: Workfront provides a system to manage digital projects and group as you need to for reporting purposes, similar to a Microsoft Project type of tool but web-based and connected to all other work products for your team.   • Reporting. Most reports are configured by trial and error, details on fields would be appreciated.
  • Popup-like function so when a user is blocked, they are given tips on why they could be blocked. Less intervention by admin.
  • Workfront is intimidating to new users, there could be an easier way for them to adopt the product.
Well suited:
- When many cross functional teams are working together
- When different methodologies (agile, waterfall, other) are mixed together. The product is really flexible.
- When people are really used to a work management product
Less appropriate:
- When the product being developed is already technically complicated, adoption is slower
- When people aren't really used to being monitored

  • Easy to transfer files so we don't have to email as much.
  • The tool can be a bit complicated. There are lots of features we don't use, but there is no way to hide those or turn off so it feels a bit cumbersome.
  • You will have to set all timelines for project templates yourself. We would love to see a feature where we can put in our tasks and assign a deadline, and then Workfront would automatically divide the time given amongst the tasks.
We mostly feel that Workfront is too administratively burdensome for our needs. There is a lot of set up involved. It's not just a sign up and go type situation. We were told we need one staff member completely dedicated to being a Workfront admin. We don't have the resources or man power for that, nor were we told this upfront. We were sold on the ease of use and that this would make life easier. Of course, now Workfront has offered us a full time admin for an additional cost. We have paid enough for the system that it should work fine on its own without needing to pay more or hire another person.

  • Communications are easy - I like the tagging feature and I like the email notifications.
  • Templates - It's easy to create a template for new processes.
  • It's easy to enter new requests and start the lifecycle of a task.
  • Lately we changed our process to where approvals to move forward with requirements are made on an issue. Once approved the issue is turned into a task and then we no longer see record of the approval. I'd like to see this fixed because having historical record of the approvals is necessary.
  • Sometimes it's really difficult to find a specific thread on large projects. My clients always complain about this and I also have trouble with it at times because I work on seven different client projects. When I can't find something, I try to use the search feature, which doesn't always work. If it doesn't work I search my email inbox and normally find it that way.
  • It would be better to manage notifications in a better way. I end up having to organize my Workfront notifications in my email inbox. If there was a way to mark notifications as "to do" or label as a certain client that would be awesome because then you could read the update, and then come back later to actually respond.
Workfront fits most of my needs for my job role. One specific thing that I think could be better is developer friendliness. It would be really great if you could tie development branches to specific tasks in Workfront. Right now we have to manually do this in Github. Developers record all defects in Github and thus we are having to use two systems which creates more manual work. This change would be huge to our overall process as a company and if this would be offered, I would be more likely to recommend Workfront.

  • I think Workfront is a great product for using as a project management tool. You can track [just] about anything you want and report on anything you are working on within a project.
  • We tried using Workfront for a help desk request tool. It took a lot of work to create all of the forms and import all of the information we needed to get it to work. It did work but not up to the needs of our help desk and we replaced it with help desk software.
Workfront is definitely configurable to about any needs you want if you want to put the time into setting it up. It is best suited as a project management tool but could be used as a help desk request app with some configuration.

Well suited scenarios include marketing and communications workflow. Though our company doesn't use it as an IT solution currently, I would think the functionality would work well in an IT setting.

A scenario where Workfront is ill suited is a financial reporting tool. There is no easy way to add or upload financial data to get an idea of the project cost.

  • WF enabled us to provide a complete culture shift when tracking marketing and design projects. We now have a place that captures as many details as needed to get a project started and worked through. It's been a great way to know the number of projects we're working on and accountability on all parts to maintain a timeline that respects everyone's needs.
  • We pull reports that are able to show our board of directors the type of work we're doing and how we are doing it.
  • We are able to have transparency between departments to have an understanding of everyone's needs, strengths, and deliverables.
  • I'd like for us to be able to pull reports that are a bit more customized. For example, I want to pull a report that enables me to see what task went past due first to see where and how we can improve. That report currently exists but unfortunately, it pulls in every other task that is past due in the project...instead of me just being able to pinpoint where we start to lose time.
  • I'd like to be able to "pin" documents and Updates within a Portfolio for easy reference when looking at a project as a whole.
It is well suited for all types of project management. It is able to absorb and extract data in many forms.
