Bullhorn ATS & CRM

Bullhorn is only appropriate for staffing/recruiting agencies, or internal corporate recruiters. It is made to track jobs, candidates, placements, and is not well suited for any other scenario. Bullhorn integrates with other, more robust software for sales and leads gen, but itself is not a sales or lead gen tool. Bullhorn works best when you integrate with the other services you're already using, like your background screening vendor, phone service, or other analytics tools.

iCIMS

I've had job openings where I received 10 candidates, and some where I've received over 250. My opinion is that iCIMS is very helpful if you have candidate pools over 25, and especially if your company is under scrutiny with audits or outside governing bodies. iCIMS helps especially with transparency. If you're a small to medium sized company with an informal hiring process, iCIMS might be too much

I have been using it for the last four years and in most of the cases it worked amazingly. There is no scenario where it was less appropriate. I really like reporting and hot list features. It helps me to save a lot of time and effort. Moreover, there are such instances where my company needs to fetch the data of hires and it works amazingly well.

  • Candidate Management- it is very easy to track and search your candidates. Candidates are the heart of your ATS in staffing and Bullhorn does a great job of making those candidates accessible.
  • Job Order Management-Being able to keep your job orders managed in a way that keeps you closest to money is a one of the best parts of the system. You can filter your lists, schedule your followups and keep on top of the orders that are the most urgent.
  • Configuration- the ability to configure the tool to the look and feel that matches your business.
  • Bullhorn CRM allows Account Managers to do their prospecting without cluttering the Company and Contact List with Company and Contacts that are not buyers or individuals that do not using staffing, not decision makers, etc. Leads allows AM's to pursue those individual within a different entity until they are vetted as buyers. The opportunities allow you to track those longer range opportunities versus storing them in a notebook or on an excel document. They become company IP for down the road.
  • Configuration of the CRM is huge asset. We have changed and configured our workflow several times over the past few years until we have decided on the workflow we want to move forward with. The tool allowed us to make these changes as we saw fit and without the time and cost of having to go through a PS channel.
  • The Lead and Opportunity dashboards help to keep you on track in a visual way so you can see the time cycle of your leads and opportunities.

  • JobDiva has excellent integration with outside tools. For example it syncs with Outlook and Google Calendar. We also use a text messaging tool called TextUs and it is totally seamless and painless to set up.
  • JobDiva continuously adds new features to help our organization. Even small changes can make a world of difference! For example, it indicates for us when a candidate has "opened" one of our email merges! So we know when a candidate has read our email but has not replied or responded to our communications. It allows us to create Hotlists so we can build better pipelines of candidates.
  • Templates are also easy to create in JobDiva! We can customize messages and communications that we send out to candidates and workers.

  • If there is a chain of commands that need signatures, it would be nice to be able to push the document through instead of a hard copy.
  • Sometimes the drop-down functions don't match exact scenarios, it would be nice to be able to edit OTHER with an explanation.
  • It would be nice to connect the Recruitment side, to match when a candidate is added to the database by another recruiter but is actually a skill match for a requirement that you have been assigned to as the primary recruiter.
  • Being able to assign who is the Primary Recruiter, especially if working on a team of Recruiters

  • Conditional Logic; This is the biggest opportunity for improvement for iCIMS. Not having this functionality becomes an issue when we want to prevent users from doing something based on a set of other - sometimes unrelated - conditions. Conditional logic would allow us to set up a more prescriptive process which would reduce user error and help maintain compliance. They have JUST released some promising new functionality in this area and I hope to see similar types of improvements around conditional logic elsewhere in the platform soon.
  • Onboarding; Okay, we all know the purpose of an Applicant Tracking Systems is (at least historically) to track APPLICANTS. But if you've been involved in attempting to design a streamlined onboarding process, you know it's a beast all it's own. The capabilities of the Onboard module in iCIMS are . . . acceptable. It's functional, but it's not great. For the company with less complexity, I think the Onboard module would be a wholly sufficient. However, for more complex organizations, what's lacking becomes a bit more obvious (conditional logic would also be a huge win if applied to the onboarding module!)
  • As with almost everything in iCIMS, you do have the ability to configure the content of the onboarding portal(s) to your liking. However, the user-interface itself leaves a lot to be desired and isn't nearly as sleek as the rest of the platform. They've recently released an update with some improved functionality and it seems like they are beginning to dedicate more resources to this area, so that's exciting. We've had over 15k new hires funnel through our onboarding process in iCIMS this year so by no means is this a deal breaker but I do hope for some functional and aesthetic improvements in the coming year.

  • Finding Junior Candidates. It becomes a tough task when we get the requisitions from client that are of lower level.
  • The JobDiva harvests resumes after 1-2 days they are uploaded on the job portal. I personally experienced it when I was using Careerbuilder simultaneously and saw a few candidates which appeared on the portal which came 1-2 days later into JobDiva's database.
  • There is no option to look for resumes at two different Zip Codes simultaneously. For example, if a job accepts candidates from local to two particular cities (in different states), there needs to be an option to enter the zip code of the respective cities.

We have about 2 years left on our current contract; It would take a major change in the ATS marketplace for us to strongly consider opting out of renewal given the time and effort we have dedicated to building our our Bullhorn system. I will take the time to revisit with some of the competition down the road, but Bullhorn acquired our runner up, MaxHire, about a year back and continues to offer a solid product suite for our current and future needs.

I would say that we are very likely to renew with iCIMS. They seem to continuously be improving their product based on the feedback from their clients. In addition, the thought have having to go through another implementation of this level is daunting and as long as the software continues to meet the business needs of the company and provides the appropriate level of support we will most likely stay. Costs regarding future renewals will also impact this decision and if necessary we will go to market to evaluate other options.

It isn't the best ATS out there. It lacks on both the recruitment and sales side. There is no way to differentiate between prospects, candidates, and clients. There isn't a way to merge accounts and names, so there are many duplicates. Too may paid add ons. I had a much longer review written up and the page just deleted it, but I wouldn't recommend Bullhorn first or even third. It feels like it hasn't been fully realized yet. There are certainly some good things about the product, but more areas where they can improve.

Its easy to use for me. but a few of my recruiters having difficulty using it. They have problems with mail merge, opting out from mail merge. They are also unable to find other options like applicants, doing some basic settings, sending mail merge again and again for the same job, avoiding sending emails to uninterested candidates etc.

Over all I think JobDiva works well. It has some issues from time to time, but the support staff seems to handle it quickly. The major issue is the email merges getting black listed as spam. That takes away a very important JobDiva feature. That is our major functionality complaint these days

They are almost 100% useless. This is not hyperbole. I am not one to go online and trash anyone but I am so fed up with trying to get Bullhorn to help us with our issues that I had to say something. If you like Bullhorn out of the box and you just need a place to search your client and candidate records, you'll be fine. If you want to actually get the technology to work for you so you can get more done, RUN FOR THE HILLS!!!

It helps in keeping a track of the company's performances by generating reports categorically Active, Rehired, Terminated, On-Bench, etc. They also provide a reminder if someone's assignment is approaching an end or you can get the alerts about birthdays and anniversaries. They also keep an inventory of the data wherein you can update the expiration of various important documents and set an alarm for the same. It assists in maintaining the date of our clients, vendors, suppliers, and contractors as well as internal employees. There is so much to offer for all departments. The payroll team can collect timesheets and generate financial reports using the 'Back Office' tools.

I would say I believe iCims online training is very good. It's informative, visually appealing, and simple in explaining all the different aspects of iCims. I also really like the new candidate onboarding, and all the other training curricula you have up to be able to inform or send out to the candidate. I like you can attach a URL link for videos as well so you can really customize the training. I feel that overall, I would like to see more. Perhaps, more robust options with the training, if that's something iCims is expanding on in the future.

Bullhorn has a complete integrated feature where it speaks with Outlook; makes parsing candidates who submit their data and resume simple. This is effective when you are running a 360 desk as it saves time and helps you focus on prospecting for clients and candidates. Often times when the software is hard to navigate through or requires many steps to complete one entry, it becomes discouraging and you're less eager to enter the data properly.

iCIMs is better in terms of reporting and tracking data. They also have great built-in reports that you can use to track progress. However, Greenhouse excels in every other way: better user experience, integrates with calendar invites for interviews, tracks feedback for every interview that goes down. There are also interview templates you can bake into the role. I also love that you can add prospects to a job for people you meet that are great but aren't the right fit at the moment. Greenhouse has fantastic tools you can integrate with e.g. coderpad where engineers can tech out other engineers in interviews.

Prior to JD we used a system called Resumate, which was very outdated to the point we could not edit a note after making it. although a small feature having the ability on JD really helps. We also could not submit candidates via resumate, receive notifications or list job requisitions

  • iCIMS has overall great customer service.
  • My organization owns this a bit; We struggled in the initial implementation process. My advice to iCIMS would be to be very detailed and upfront to new customers the importance of the implementation aspect. Have multiple calls and conversations with all individuals involved so that they can customize what they exactly want. If you don't you will be behind the 8 ball from the start and potentially never get to where you want.
  • From an ROI perspective, it cost my organization significantly because we did not have it implemented correctly from the start and given the needs in other areas for my organization (more mobile/social capabilities) caused us to make an ATS change after only 2 years.
