What is Adobe Workfront?

Workfront is a web-based project-management tool acquired and now supported by Adobe since late 2020. It was designed for both IT and marketing teams, but can be implemented for any kind of project. Workfront offers all the features standard to project management platforms. Editing and updating issues from the project view is styled to work somewhat similarly to a social networking site, bringing team members together in one central location. From the project view screen, issues, documents, and other elements of the project are placed along a tab bar so that they may be addressed with one click directly from the hub.

The platform's Capacity Planner allows a manager to move resources to where they are needed, and has some automation features (e.g. the Set Best Fit option, which attempts to allocate resources optimally within given constraints). Agile project management is supported with features like Gantt charts, an easily viewable and manipulable backlog, and storyboarding. Team members can be managed with the aid of quantitative metrics that show where work would be best allocated.

A free trial is available, after which Workfront comes in four pricing options. The lowest tier is Collaboration for small groups, followed by Work which adds mobile accessibility and time sheets, then Plan which adds additional analytic, planning, and reporting features. Finally, Enterprise Plus offers the highest configurability as well as support and data security.

  • We love the agile capabilities in Workfront. The tool does a great job of combining agile and traditional task management into a single tool.
  • Workfront Request Queues provide an easy way to manage and route requests ensuring that the right people see and act on requests.
  • Workfront reporting allows to automate project status reporting without having to write a separate status report. We enter project updates directly into Workfront and then use scheduled reports to deliver information to stakeholders.
  • We would like an option to create a Kanban style storyboard.
We use Workfront for a wide variety of project types. Everything from creative projects in marketing to application development. Workfront provides a broad set of functionality for project and task management, but each project and project manager can use as much of that functionality as they wish.

  • Staff working with issues are having a hard time easily seeing tasks assigned to them. We use a ticketing system for support using issues, but projects have tasks.
  • Not close my help requests if I don't answer the Support within x-time.
It is great for projects, it gives all users a clear view of where we are in the process. Using it as a ticketing system with dashboards is tedious as you have to create a report, a project etc., just to visually see everything.

  • Keeps everything for a project in one place. This is a strength because we are not relying on someone else to keep track of what happened for future projects that are similar or that repeat. All the specs and the final content is in one place easy for people to access at any time.
  • Visibility to our business units. Workfront provides visibility to our business units so they can see exactly where their project is at. If there is an issue it can be updated right in the project and fixed quickly.
  • Resource management. Workfront has a great resource management system with the ability to do capacity planning. This way you can see very quickly when new requests come in if you have the resources to work on it.
  • Scorecards are wonderful. These are a great way to evaluate the work that comes in to see if it meets a certain set of guidelines that is set out by the company. Then you can see which type of resource you can assign to it, if other jobs needs to be shuffled around or delayed or perhaps the score is low and the request is not approved.
  • I would like to have training videos available on the basics for requestors. Where to find the request form, how to tell when your request has been changed into a project, where to find your documents when they are ready.
  • There are steps showing you how to set up a scorecard but some case studies from different fields on how they use a scorecard would be helpful.
  • I would LOVE it if you could proof Word documents in ProofHQ so that all of the tracked changes are captured in Workfront instead of having to download the document, make the changes in Word and then upload a new version. Much easier if it could be handled within Workfront.
Workfront is well suited for anytime you need to manage something. It is good at outlining all of the steps needed and tracking where things are at automatically. Workfront is not well suited for businesses that use Word documents to create pieces. There is no way to track changes or approvals of the Word files.

  • I love how someone can respond via an Workfront email from me and it is saved in the Workfront project.
  • I love how I can view tasks of various projects in a chronological manner.
  • I utilize the fillable form function to initiate the project process with outside teams.
As someone that loves task lists, I love Workfront. My primary responsibility is event coordinating, so the product allows me to create event templates that apply to my job. I am able to create quick tasks lists that allow me to stay orgainzied. Furthermore, I am able to attach files and streamline communications with outside individuals within a specific Workfront project. Those key areas allow me to jump from project to project with ease.

As a ticket tracker it is cumbersome because it is so granular. If you are looking for a quick and easy way for users to put in tickets this isn't it.

This would be helpful if you had to be very detailed in your assessment of any task.

  • Allows for collaboration - multiple users can work on tasks for a project, you can tag people in updates whether they've worked on a project or not, etc.
  • Easy tracking of timeline - and easy to adjust timeline if something changes.
  • Document storage - easy to upload, view, download documents associated with a project.
  • Lack of naming conventions - you have to determine this yourself, to keep projects and documents organized
  • Some weird issues - you can make comments on documents but these aren't part of the "updates" section and tend to get lost. This is especially annoying when it comes to reviewing documents in the system.
Well-suited for management of complex projects that involve multiple people. Much easier and more dynamic than creating a Gantt chart. It works well when one person owns a project and is doing/assigning discrete tasks to others. It isn't well-suited for projects that are "group-owned" or where group creation and/or editing is necessary.

  • The time logging function is a useful tool to show how busy you are with projects. It helps you show the requestor as well as your boss what bandwidth you have.
  • We can keep an archive of past projects to draw from if a project arises in the future that would benefit from taking materials or direction from what we did in the past.
  • The ease of creating new forms is a benefit to our administrators who can now digitize processes that used to be handled manually.
  • Developing forms can be a little challenging. The fact that a form needs to be created as an issue, task and project is something that I find confusing to this day. I never know which version of the form should be updated first.
  • You need to @ tag a user for them to receive an alert about a comment even if they were associated with the project or involved in the prior comment. This has led to some people not receiving alerts when a comment was intended for them to see.
  • It would be great to have the ability to respond to email alerts through email and have them automatically added to the project instead of having to log in to the system to make a comment.
Workfront is a great tool for large organizations with the need to assign projects to a large group of fulfillers who might not know each other or each other's roles. Our organization is small enough that there is generally only one or two people who handle each role. We never have to "find" someone to fulfill a task; it's always pretty clear who it should be assigned to. Therefore, we don't take full advantage of the project management features. The system works well from the requestor side and is intuitive. The backend fulfillment of the requests can sometimes be a little complicated.

  • Workfront reporting works very well at pulling appropriate information from the system to help in managing work.
  • The drag and drop functionality on the task view of projects is helpful, but when the page lags it tends to drag and reorder things unintentionally and there isn't an option to undo recent changes. This occasionally makes it very difficult to fix a project that was unintentionally reordered.
  • Resource management works well for small to medium sized companies, but is not robust enough for enterprise work.
Workfront works very well as a high level project management solution. Resource management is somewhat lacking for enterprise solutions, but is fine for small to medium sized companies.

  • The primary strength of Workfront is the feature that most IT professionals dread and that is its ability to do all things related to process and projects. The usual jack of all trades approach is often one of master of none but in the case of Workfront, given some time for customization to make the tool your own with the help of the Workfront team, those requirements for an all-encompassing application achieve the goal well. Not just functional but more concretely in providing real assistance in getting through workflows and processes with minimal effort.
  • Multiple APIs allow need integration into the legacy systems and peripheral packages that all companies use for Microsoft products to smaller more niche applications. A very helpful attribute of the application.
  • As with many service industries, time reporting is a huge resource drain when the tool for doing so is slow, complex or limited in scope. Workfront allows for access to all project data from within time management as well as simplified approval processes and review capabilities for managers of time and resources.
  • While it seems like a minor feature, integrated search throughout the application makes life and time management much simpler with the ability to select data points from drop downs drilling down into every aspect of the app. Reporting, likewise, is extremely adaptable to the needs of various business functions with easy customization and granular capabilities requiring little in the way of training or skillset.
  • In terms of what Workfront could do differently or improve, the poser of the search features is in their ability to gather any type of data within the application. Results can occasionally be dense and could use the ability of applying a second level of filtering. Adding in constraints of variables such as date or job could be very helpful in reducing results and saving time.
  • Constantly adding to the available APIs is helpful but perhaps focus groups to figure out some of the emerging application and technologies for which APIs should be added would perhaps be useful. Of course, this could already be taking place without my knowledge...
  • Certain features such as projects specific data might benefit from the ability to take them offline in small quantities .
Pros and cons shift inevitably based on what functions you perform. My own is that of support and as such my hammer and nail often revolves around issues and my ability to both deal with them in a time effective manner as well as automating what can be automated both on the front end in work flow as well as output in terms of process. The application functions well for the majority of level 1 and some level two issues surrounding almost all organizations but can be unwieldy when it comes to things like merging issues or creating global tickets. These are functions fairly unique to support applications but in that venue they are extremely important for both results and clarity.

Larger scale items which I do not see as part of this type of package would include integration with more technical tools such as network discovery or heartbeat ability while not necessarily a normal consideration in an Enterprise application of this nature, would make it extremely attractive to those who have to support its use over its lifespan.

On the upside and along these lines, Workfront can boast a large suite of APIs making the integration of packages outside of its borders such as legacy application from whom the org cannot disassociate easy and, with the help of Workfront personnel when needed, fairly straightforward. The management of resources and workflows is another of the strong suites of Workfront contributing to the smooth fulfillment of daily operations.

  • Templates are cool. From the implementation process, we identified many different types of projects and workflows, then created each of those as a template. When a user has a new project, they have strong, vetted templates to start from. Templates save time and frustration.
  • Updates keep email boxes clean. When we communicate within Workfront, things can move much faster. I'm not bothered by seeing a few emails hit my inbox from Workfront updates...it merely reminds me to open the system, and dig in.
  • Changing on the fly. Workfront projects are easy to edit, whether at the project level or task level. I like knowing that the tool can be as flexible as we need it to be.
  • I've thought since day one that when tasks are 100% complete they should fold up and out of the way. I think from a UX perspective, and for efficiency, that would be a simple improvement that would users would greatly appreciate.
  • Search. That seems like a cheap shot, but with so many digital files and different structures from one system to the next, when a tool has a robust search function it just makes everyone's work a bit faster and less frustrating. The current search in Workfront is pretty good, but looking across the tool, maybe from a Dashboard point, would be primo!
If your organization is looking to streamline workflows and bring transparency and efficiency to the top, Workfront is a great solution. Don't expect a plug-and-play type of thing - because of the capabilities of Workfront, a good bit of up-front implementation will be needed (and well worth it). I have to say, too, that Workfront offers a great selection of continued training so that your workforce can reap all of the benefits Workfront can offer. I know in my organization, we see more and more potential from the tool each month.

  • The customization of reporting features is robust and easy to configure.
  • Notifications: I can customize how I want to be notified and for what reason. I tend to turn off most everything that will notify me through email, preferring to use the notification button in WorkFront.
  • The search capabilities are somewhat elementary. I used to be able to search by status. Not that feature was taken away. We put a ton of jobs through WorkFront and it is important that I can find projects and files easily.
  • Quite simply...there needs to be a big button to push on the project level for approval of the entire job. I find myself having to communicate extra with the other team members to find out if a job is done. It would be nice for this to happen for people who have reviewer status.
  • Communication through WorkFront is easy but sometimes there are too many places to send a note, which can be confusing.
WorkFront is well suited in regards to scheduling and reporting. It keeps everyone in the know. The visibility of projects for team members is a great boost to our productivity and efficiency. Other simple processes like the search functionality are less intuitive. We spend more time looking up previous job numbers because some of the categories to search have been taken away.

  • Time recording to projects. In order to plan and estimate the workload on a typical project, we went back 4 years ago on a similar project and were able to get a precise time estimate per function in order to plan this particular project. The effort needed was then planned according to this in a few hours.
  • Personalized reporting. There is a good level of personalization possible for us to create our own reports.
  • Time planification. Once a task is created and planned, it's hard to adjust. For example, if a task was planned for 50 hours and after spending 30 hours we see that another 50 is still required, the resource grid is not dynamic enough to re-plan and see at what date we are now able to complete this task.
For reporting purpose on a large scale organization, when we have teams in several sites, we can get accurate data on work content and how our time is used.

  • Managing resources and aligning resources for new engagements is a critical example of a capacity that Workfront does particularly well.
  • Workfront is much better suited as a campaign management tool as opposed to a detailed project management tool. Using a 4/40 or 8/80 approach breaks down with larger engagements as the desire in workfront is to be as detailed as possible.
As an internal marketing agency or a small team, Workfront is specifically tailored to providing an excellent experience. As a large marketing consultant agency, it's less effective to be client facing versus other project management solutions. Utilizing this product as an internal team without dedicated professional project management seems to enable highly effective project execution.

  • Creating bulk tasks, recurring tasks or the ability to copy tasks helps to reduce time for management
  • The customization allowed, as well as Work front's continued discussion with customers continuously improves the site.
  • Further customizations, such as not only limiting the amount of notification emails but being able to customize the content of the notification emails when they're sent out.
  • Adding inventory or intake forms, so users can input and track different data within Work front as they receive requests
It is perfect to receive requests, communicate progress or status as well as questions with clients, but it's also great at tracking those projects in real time as they are completed and receive approvals as well as directive from supervisors.

It's not great at more data tracking information, and there are a great number of smaller improvements that still could be made such as setting up a bulk precedent chain for daily reoccurring tasks.

  • Trending of historic project length and accessibility within each account level.
  • Reporting on employee performance, financials of a project, and implementation needs.
  • User interface is a bit messy. For example, when a search is performed there is a delay along with the way it presents the information.
  • All projects associated with any particular account to be found on the account level. I have to search for a particular project number in order to view the details of that project.
  • Reporting is great but getting there can be a trick. Perhaps if there were a reporting tab that could be accessed in order to generated reports.
It works great if you are needing an implementation/project/customization project manager scheduler. Additionally, if you need some monitoring and measuring KPIs with the help of reporting, then WorkFront really does a great job. There is a learning curve that is associated with using the software, but once you are up and running, it really does a fantastic job.

WorkFront's time keeping ability is fairly robust and allows for proper analysis for capital expense versus operating expenses. The reporting aspect is mid tier as it is missing some basic functionality, for example, the ability to click the back button when in a report. I do like the field customization in the reports.

  • The person who bought Workfront was really attracted by the Look & Feel in the demo.
  • The last time I checked, we were still using a time-consuming manual workaround for a bug with email routing with no scheduled fix.
  • I spend a lot of time scrolling past stuff I don't use, and things don't always work the way I think they do. I am sure that is something that could be resolved by training and configuration, or at least mitigated, but the cost of a dedicated Workfront administrator would be considerable.
I suspect Workfront would be a better fit for an ad agency, but I don't think it follows that it would be the best solution in that space.

  • I would say that sometimes the interface was hard to get used to from the getco but after spending more time within it, It became pretty straightforward
Workfront is definitely helpful when teams are co working on a project and want to be able to share things like spreadsheets efficiently. It also is extremely helpful in cutting down time spent on various tasks, which helped us deliver our product swiftly and directly influenced our delivery to our client.

  • Workfront is accessible anywhere (work, home, mobile) since it is a software system.
  • Creating a timeline in Workfront is easy and quick, especially once templates are created.
  • Communicating with resources as well as stakeholders is easy in Workfront, not to mention that all of the communication is centralized and easy to find/recall.
  • When adjusting a timeline, if you happen to mess up, there is not an "undo" feature. Sometimes getting back as step is more difficult than you would think.
  • It would be nice to upload a document into a task, and also have that document go in a folder of the main documents section (as opposed to being loose in there).
  • When closing a project, sometime errors come up that are hard to resolve. Sometimes, you really just want to close a project because you know it is complete.
I have worked with Workfront at an ad agency (~40 employees), and now in the corporate marketing department at a Fortune 500 company. In both workplaces, Workfront was a great solution for communicating with my resources and keeping everyone on track. This is speaking as an account manager and a project manager.
