We use Atlassian Confluence in every part of our organization from DevOPS to Technical Support tickets. The customizations you can do in Confluence are limitless and you can tailor Confluence to your departments exact needs.

Cons
  • PDF exports only render gadgets as links
  • Need better chat and phone support
  • JIRA Gadgets in Confluence don't function correctly
Great for DevOPS and CloudOPS software development as a repository for code revisions, trouble tickets, collaboration and beta version testing.

Confluence is a no brainer if you want to save time and money

[Atlassian] Confluence is used in two primary ways within Cisco AppDynamics. The first use case is for internal documentation, where we use [Atlassian] Confluence across nearly all departments for documentation surrounding internal services, directories, glossary of terms, high level project planning, reporting and dashboarding, and policies/procedures.

The second use case is for our public facing customer documentation of our software. This saves use the time and headache of building our own solution to provide docs, and since our target customers tend to be in the tech field, most have familiarity with navigating Confluence's UI.
  • Straightforward display of page trees and click paths.
  • Fairly freeform content development that can be used for a variety of use cases.
  • Solid template support to help minimize overhead on repetitive or frequently used actions.
  • Good permission control with self service capabilities.
  • Excellent plugin marketplace with a near infinite set of solutions for any scenario.
Cons
  • Data Center is taking a back seat to Cloud. This leaves companies with internal policies against the usage of cloud apps for storing highly confidential data in a tough place.
  • Search in Data Center is wildly inaccurate.
  • Some "basic" functionality such as page views and document workflows only come with expensive add-ons.
[Atlassian] Confluence is well suited to any team. It is miles easier to configure, build content, and consume content than primary competitors such as SharePoint.

[Atlassian] Confluence makes it much easier to have fancy layouts and consistent documentation through excellent "macros" and templates. The overall system is so intuitive and easy to use, that there is little room to rationally spend time assessing any other solution.

Confluence would be less appropriate for a team that does not require long lived documentation or memorialization of decisions/projects. It would also not make sense for a team that wishes to keep information locked up and away from others, as the tool is more focused on making it easy to share information and be transparent about work and ideas.

We use it to improve communication, document management, and knowledge sharing. Confluence acts as a central repository for all types of information. Teams can create, edit, and organize pages for project documentation, meeting notes, knowledge bases, and FAQs. Confluence enables real-time collaboration on documents. By integrating Confluence with Jira (another Atlassian product), teams can seamlessly link project plans, requirements, and tasks to actionable items.

Cons
  • User Interface (UI) and User Experience (UX).
  • Permissions and Access Control.
  • Mobile App Experience.
Multiple team members can contribute to the document in real time, leaving comments, updating requirements, and making suggestions. Confluence can serve as a comprehensive, searchable knowledge repository that is easily accessible to all employees. Tasks and deadlines can be directly linked to Jira tickets, ensuring everyone knows what actions must be taken and who is responsible.

Atlassian Confluence used for documentation between Engg + Product. In our organization, we use it for RCAs, Tech Specs etc. It helps centralize information streamline communication across teams. Features like page hierarchy, templates, and permission controls make it useful for documentation, while its search functionality for easy access to information. However, Atlassian Confluence has some drawbacks. Performance can be slow, especially with large pages, and its real-time collaboration isn’t as great as Google Docs. The product is a little more complex for new users and Google Docs tends to become a lot more welcoming.
  • Integration with JIRA. Hence, Devs and TPMs rely a lot more on Atlassian Confluence as compared to marketing teams.
  • The AI integration can become actually very powerful where new members of the team can navigate across documents.
  • Templates for regular documentation.
Cons
  • The AI suggestion sometimes goes haywire as of now. I noticed some of the suggestions sent me to unrelated documents.
  • The FTUE is not so great. Especially if you do not know. a feature, it becomes tricky.
  • It would be really helpful to have a diagramming integration as lot of documents need flowcharts.
Great for Long Term Documentation, JIRA integration, Version Control Etc. The integration with Slack too is pretty good. Not So Great for , Real TIme editing, documents having media, integration with email etc. Especially problematic is the real time editing of documents by team members. Google Docs is a lot more versatile when we are capturing feedback from numerous stakeholders at the same time.

Confluence is our central hub, the go-to place for everything. Think of it as our company's collective brain. We're talking about building out internal wikis – everything from company policies and procedures (because who wants to dig through dusty binders?) to best practices, training materials, and those "how-to" guides for all our internal tools. The idea is to empower everyone to find what they need, when they need it, without having to send a million emails or Slack messages. Self-service is the name of the game.
  • Jira Integration
  • Collaboration made very easy with teammates
  • One stop shop for all knowledge of the company
Cons
  • Scope for doing more live collaboration like google docs.
  • Search functionality is tricky to use and often does not yield best results in the fastest way
  • Mobile view is not that great
Where is it suited:
1. Building a comprehensive knowledge base
2. Noting down minutes of meetings
3. Project planning with Jira integration
Where is it not:
1. Where you have large system architecture diagrams
2. Where you need real time collab, or real time dashboards like how you see in Tableau
