Confluence is being used in our organization across marketing, sales, enablement and the executive team. It is currently being used as a data repository for marketing materials and sales enablement materials. It serves as a place where my team members can add in work, comment on documents, and collaborate as a team. When new hires come on board, Confluence provides a history of the projects and the work that has already been done.
  • Collaboration tool - best way for teams to collaborate on upcoming projects or previous projects that have already been done. Great for people that come on board.
  • Shared calendar - lets you see when people have time off scheduled as well as deadlines, and it can all be color coded.
  • Integration - integrates very well with Jira, Google, Slack.
Cons
  • Cost - there are tons of add-ons that are costly and not included in the main package when you purchase the software. like the calendar and other tools which should be native functionality.
  • Updates - are very much behind the times. There is a lacking in the product functionality that is very common with other collaboration tools.
  • customization - this can be very hard if multiple departments are using the same instance. typically you have to run with the same customization across the entire organization.
Finding the actual documents you want can be very challenging. This could be the way we have set up Confluence in our instance but it requires a lot of scrolling; [there's]not much of a search ability and is pretty tedious to get documents and files updated.

We use Confluence to keep track of projects. Each employee can access the project specs for their team, see what their individual duties are, and check them off when done. It shows in real time what has been done and what's left to finish. Each team member can make notes, attach links, or anything related to the project to let others know what they did.
  • Allows team members to track project status
  • Allows team members to track their individual tasks

  • Allows sharing of project status with non-team members
Cons
  • It's not very user friendly, take advantage of the tutorials
It's a great collaboration software if you have multiple team members working at their own pace.

Atlassian Confluence used for documentation between Engg + Product. In our organization, we use it for RCAs, Tech Specs etc. It helps centralize information streamline communication across teams. Features like page hierarchy, templates, and permission controls make it useful for documentation, while its search functionality for easy access to information. However, Atlassian Confluence has some drawbacks. Performance can be slow, especially with large pages, and its real-time collaboration isn’t as great as Google Docs. The product is a little more complex for new users and Google Docs tends to become a lot more welcoming.
  • Integration with JIRA. Hence, Devs and TPMs rely a lot more on Atlassian Confluence as compared to marketing teams.
  • The AI integration can become actually very powerful where new members of the team can navigate across documents.
  • Templates for regular documentation.
Cons
  • The AI suggestion sometimes goes haywire as of now. I noticed some of the suggestions sent me to unrelated documents.
  • The FTUE is not so great. Especially if you do not know. a feature, it becomes tricky.
  • It would be really helpful to have a diagramming integration as lot of documents need flowcharts.
Great for Long Term Documentation, JIRA integration, Version Control Etc. The integration with Slack too is pretty good. Not So Great for , Real TIme editing, documents having media, integration with email etc. Especially problematic is the real time editing of documents by team members. Google Docs is a lot more versatile when we are capturing feedback from numerous stakeholders at the same time.

Confluence has helped our organization more effectively communicate processes, product information, and organizational documentation. We are a global organization and having information in one spot enables us to house all information in a single spot. We can easily update and add content as needed and all our materials can be easily searched. Because our team has many smaller offices around the world, this tool allows us to keep everyone updated on changes and updates on products and processes.
  • Spaces allow teams to house information specific to their team.
  • Search option allows you to easily find relevant information.
  • Templates provide consistent themes.
  • Integration with different systems we use (i.e. JIRA).
Cons
  • Isn't always intuitive.
  • Support is all cloud based documentation.
If you are looking for a single source home for documentation that integrates well with other systems that you use in the course of your business, this is an effective tool. For general users, it is easy to create different sections of documents, intuitive for users to edit and add content and then search to find relevant information. With our organization spread across the world, this allows a quick way for us to share information with all teams. Our Product teams also use it to track their roadmaps and Marketing has built out Hubs to contain all our collateral.

Initially Confluence was adopted by my department to facilitate collaboration, document storage, and have everything centralized. I was rapidly adopted by the department and then other departments were coming to me asking how they could get access. Since I rolled it out to my team, we have had other departments and teams use it. It has really helped us all share information, document meetings, and keep us centralized.
  • It is very intuitive and easy to use and get started. Very little training is needed to support basic usage.
  • Great simple task assignments with dates and tagging people. It also creates tasks reports, so you can see all you have.
  • Great for creating information with multiple people adding content. It tracks versions and you can always roll back if needed.
Cons
  • I believe it is coming soon, but the real time editing and seeing what others are doing like in a Google doc, is an area of improvement.
  • Have more control over the table column and row sizes. Sometimes information isn't presented well and you can't adjust it.
  • Make the "Notify Watchers" on an edited page unchecked by default. This can reduce a lot of spamming that happens. More personalization on notifications.
I think it can help all teams in all types of environments or situations where coordination, collaboration, and sharing of information is necessary.
