This is great for small to medium businesses, giving you more freedom to be where you need to be and not always glued to the office. Larger companies can benefit from the fact that they can have multiple office locations all tied to the same system. Businesses that need a more personal touch may not need all the features that the Virtual Office provides.

RingCentral

RingCentral is great if making a large volume of calls or all of its services are useful to a business, such as in our case. For users just wanting a softphone (no webinar, telecon, etc.) there are cheaper options available. However, many competitors charge for call time by the minute, which can easily shoot costs way higher than RingCentral if making a lot of calls (our users make around 40 calls/day).

Pros

  • Conference call feature is great. We have created multiple conference bridges, we even have one tied to our virtual attendant.
  • We like the flexibility of the auto attendant and being able to have more than one profile saved that we can change as needed
  • Having Virtual office was especially great when hurricane Irma came through last year and our office had no power, it allowed us to continue to operate from our cell phones without the customer realizing there was anything different.

  • Each user has their own conference bridge number included with their profile and with unlimited minuted. Other competitors wanted to charge $.03/minute and would charge additionally per month per conference bridge. This feature brings savings and flexibility.
  • They have vast options of compatible IP phones (Polycom, Cisco, YeaLink). They will help you deploy a third party phone if you decide to purchase one outside of their website (only the deployment, no continuing support).
  • Their customer service is fantastic. From getting started with your new phone system to continuing support, they really excel in this area.

Cons

  • The mobile app is good but can be too much at times, almost taking over the phone.
  • It would be nice if there was a way that when a voicemail is sent via email that it could mark it as listened to once the email has been opened.
  • The setup for the auto attendant is very intuitive, granted it works well once set up.
  • It would be nice if a call placed on hold could be picked up by another extension

  • Support documentation is rarely up-to-date. I wouldn't have to harass support so much if their documentation was accurate.
  • Can't copy and paste users and groups. Although they do have a templates option for streamlining user creation, I wish that they had the ability to copy and paste users and groups. Even their support staff have to manually open two browser windows and manually check all the user settings. Even with support staff's help, we've had users and groups created where settings were missed and we didn't discover it until months later.
  • Desk Phones aren't always connected with the phone servers and need to be manually rebooted. This has gotten better over the last few months.
  • Their analog fail-over options are minimal. Ideally, our phone system should be able to fail-over to a fully functional analog environment in the case of our network going down. They do have a few options, but not what we'd like.

We switched to RingCentral for ease of administration, flexibility of integration (fax, web meetings, chat client, mobile app) and competitive price. Although the system has had a few quirks as it's been relying on our network much more heavily and integrating with our next-gen firewall, I can't speak highly enough of what RingCentral has done for our business. I love it and can't wait to renew for a longer period of time at an even more competitive rate.

Alternatives Considered

When we choosing 8x8 we looked at a few alternatives such as Comcast and AT&T. Both of these companies required local equipment or additional cost to host the phone lines. Also, both required a minimum 2yr contract with penalties for canceling early on top of costing more than 8x8. Ultimately we chose 8x8 for the flexibility of being able to move and if it didn't work out there was no penalty for canceling.

Ring Central's management tools are all out of one system instead of multiple. The features offered in their lower lever "tiers" are ones that other providers only offer in their "premium" packages. Most providers have built on new features and management consoles as separate systems over the years and tied them together, while Ring Central scrapped their entire system and rebuilt it as one single system a few years back. You can tell the difference when you simply demo the different products that are out there.Everything is simpler to user, offers more flexibility and control, and actually doesn't break the bank. We assumed that Ring Central would be the most expensive option given the fantastic user interface and comprehensive suite of tools but it ended up being competitive, if not cheaper than much of the competition. I can't speak highly enough of what Ring Central has done for our company. We evaluated phone providers for 4-6 months before settling on Ring Central. They are head and shoulders above the competition and we wouldn't change a thing if we could go back and do it all over again.

Return on Investment

  • There is no cost for the back end system, this makes it much easier to get started.
  • The only downside on cost is that not only do you have a monthly cost from the service, you also need to have a solid Internet connection. Fortunately, most businesses will already have this, and you would need to pay for service anyway
  • Because it is hosted elsewhere it truly kept us in business after hurricane Irma because we were still able to answer calls and service our customers.
