Airtable vs. Asana: Asana is for task management; Airtable is for data management. The difference between the two is important. Asana is NOT for long-term data storage. It does have more integrations with other apps, but if you're looking for a pure database, Airtable is the way to go. Airtable does have change history, but it's much more about organizing your data than it is about managing tasks, people, projects, etc.

Airtable vs. Microsoft Access: Airtable has a far superior user interface, is much more intuitive and is much easier to set up. Access does have the upper hand in terms of extensive macros and customization, but for most cases, those advantages lag far behind what Airtable can offer in terms of streamlining and ease of access (no pun intended). Airtable is also less expensive than an Office 360 or SharePoint account but has many of the same backup and mobile features.

It wasn't until I became aware of Airtable that we found a solution that allows us to implement the best features of a collaborative RDBMS with our staff who don't have any training. I had previously used Zoho Creator and found that it was difficult to onboard new users because of a steeper learning curve.

None of the other "art gallery" software programs that I researched (for three days) had the capability of being able to manipulate the database file input like AirTable does. Wix uses third party form generators which do not do the job as well as Airtable and even costs more eventually due to the limited data space.

Podio does not have the same functionality as Airtable. The very basic view when planning a project and viewing all of the tasks assigned to it. Also, Podio tends to "crash" often making you unable to access your projects at times.

Trello - It was hard to print relative fields and hard to export usable data.
Smartsheet - Its still growing but didn't really have documents and jpeg insertion the way I hoped, and less "fun" to work on.
Excel - Good spreadsheets, but not a lot of extras.
Google Sheets - Its great on collaboration but not for hosting pictures and content.

Monday.com was a great product, but it was quite expensive. While Monday.com may have been more visually appealing and user-friendly, it lacks the flexibility and functionality of Airtable.

We do use Social Studio and Sharepoint for other tasks, but for project planning across a wide variety of deliverables, there wasn't enough flexibility all the time. Asana was harder to use and get into and didn't provide an easy way to adjust views/sorts.

I enjoy using Asana for task lists, but I don't love the mobile app and I didn't get the most out of it since my projects are usually not collaborative. Smartsheet has a good gantt chart tool, but the UI is terrible and it isn't as dynamic as I'd have liked. Airtable combines the best of both.

  • LiveImpact, Excel and Microsoft 365
Excel and Microsoft 365 are good for what they do but don't fill the database niche the way that Airtable does.
LiveImpact looks amazing but is currently out of our price range and better suited to medium-large nonprofits. Airtable is the perfect place to start our small org and I keep finding new capabilities in it to help us manage our infrastructure as we grow.

I don't think there is a comparable product. Nothing I have seen is as intuitive to use and at the same time has such broad-reaching potential. I feel confident to onboard who have never seen Airtable only because it is so easy to use. At the same time, I feel we could spend the next year exploring the current functionality. It's probably the most exciting productivity tool I've seen in 18 months - I don't say that with hyperbole. It is going to change the game for our company and anyone else who uses it.

In a shared environment, I would definitely rank Airtable ahead of both Google Docs as well as MS Office both in terms of the learning curve and the ability to design and implement real-world solutions without having to resort to hiring (or being) a programmer. If you tend to make and use a lot of spreadsheets as a management tool, Airtable would be a most worth alternative.

The main thing that Airtable seems to do that Google Sheets and Forms do not is handle relational data. Creating a few linked tables is all I normally need to do with humanities-based research, other than visualize the results in different ways at the end - especially with mapping. Omeka is a larger content management system that focuses on more interoperable metadata schemas and usually operates under the idea that users will create collections of objects, then build exhibits from that collection. This is not dissimilar from filtering or creating new views in Airtable, but it has a more handpicked quality. Ideally, my thought was to use the free version of Airtable for student projects, but because I work in Art History, they fill up the minimum space requirements for storage of images long before they fill the number of rows. It would be great if there was some way to visualize links that are added to airtable without giving them the data directly, but I understand that this likely doesn't work with their business model.
