What is QuickBooks Online?

QuickBooks Online is a SaaS verison of the QuickBooks product. It contains all of the features found in the local version, features typical of similarly priced accounting software. The monthly fee for this service starts at $10 and climbs to $30 with the Plus version, which has the richest features. The base level allows for unlimited invoices and estimates, expense tracking, importing from Excel or Quickbooks desktop, data backup, mobile accessibility, and integration with many other applications. The Essentials pricing plan contain more automation, more bill and payment management, as well as inventory and time tracking, and the Plus package contains budgeting and analytic features.

We manage accounting for 7 entities.
The product is supposed to address accounting, but, in my experience, it is continuously problematic at that level.
  • In my experience, change the labels and locations on buttons to make you click on their sales items rather than complete tasks.
  • In my experience, waste huge amounts of screen space with useless information and pop-up advertising
  • In my experience, change the meanings and names within their program of accounting terms that have been in use for over 100 years.
  • In my experience, block users from doing certain accounting transactions because they are smarter than the accountants that use the program.
  • Support - In my opinion, their support staff does not understand accounting, basic logic, and in most cases, the QBO program itself.
  • Terminology - Use the terms "Debit" and "Credit" with or instead of the terms "increase" and "decrease." And stop making up new terms to describe old things.
  • In my opinion, stop trying to make more money off of your customers by forcing them to make extra clicks to accomplish tasks.
QuickBooks Online might work ok for someone who has absolutely NO accounting knowledge. However, that person will eventually need support and will not get it. In my opinion, QuickBooks Online's continuous approach of controlling what you can and can not do, combined with their ever present time wasting ads and button changes, make the program a complete waste for anyone who knows what they are doing and wants to complete their tasks in a reasonable amount of time.

We use QBO to track sales, invoice customers, control inventory, issue POs, and link with bank. I also do accounting work for my daughter's business. As an esthetics spa, they use it to track sales and expenses. In my opinion, the integration with Square, which is used to collect credit card payments and control appointments, is abysmal. My other daughter is a CPA and has to manually do entries from Square to QBO to keep revenues updated in the system. I feel that both platforms are atrocious.

  • Don't ever enter an incorrect date for a bank rec. It is impossible to reverse.

I am stunned that a company that has been around for so long has a product with so many deficiencies. From my experience, issuing POs to suppliers is an embarrassment. In my opinion, not only is the customisable format brutal, they include information totally irrelevant to the supplier (who is receiving the PO) and looks a mess. I feel the inability to use a calculator function in so many fields is hilarious. From my experience, if you enter an incorrect date into the bank reconciliation field? No problem. But there is nowhere to undo this, despite info to the contrary online. The dropdowns indicated in the actions fields don't exist. I feel that the inability to interact with Square for transaction sharing is awful. They have a shared app for doing so and it has the worst rating of any app in the QBO app section. I could go on and on about the frustrations of using this software. I have used Quicken personal software for over 30 years, so am quite familiar with QuickBooks logic. And I feel Quicken has been so much a better product since it left the Intuit fold.

We use QuickBooks Online for our accounting needs including tracking estimates, invoicing, banking, receiving payments, bill payment, and tracking expenses. We are also able to create financial reports to help us predict volume of work trends and let us know how we are performing. Additionally, our accountant has access to QuickBooks Online so that they can retrieve the information and reports they need to prepare our taxes.

If you are a small business owner who does most or all of your accounting, I recommend QuickBooks Online. It is very user friendly, intuitive to navigate, and easy to link up with your accountant. I am an engineer by profession, with no accounting background. This saves time and gives me peace of mind that my books are accurate and up to date. Much of what is done in QuickBooks Online is automated, so it also saves me time.

I've listed four specific issues where this program has made it much, much harder for my accounting processes. Wait times on the phone are ridiculously long, and more often than not, take several phone calls to resolve. Not compatible with all banks, and often duplicates deposits and/or doesn't download all transactions.

As business grew, tracking revenue/invoices and expenses/payables through excel spreadsheets or other offline/manual methods quickly became challenging and a better solution was needed. However, as a small business, a robust and expensive accounting software wasn't what we needed. We were looking for a simple solution that would be easy to use and handle the basics of our accounting and finance needs, along with giving us some room to grow with the platform as our business grew. We used QuickBooks Online to do this, and the platform what used primarily by myself as COO, a part-time bookkeeper, and a tax professional at times.

  • Intuitive interface for most things.
  • Manageable chart of accounts that allows for good customization of products and services.
  • Basic customization of invoices and language to be used in customer facing invoices/emails.
  • All major financial reports are a few clicks away, most can be customized, filtered, saved, exported.
  • Allows for rules to be set for common, recurring revenue and expenses - with some limitations.
  • The budgets feature leaves a lot be desired - difficult and clunky to populate and maintain.
  • Reporting for Budget vs Actual is available but the ability to reforecast based on updated data is not.
  • The rules function to default common types of expenses isn't perfect and will get confused if like amounts or a number of similar items present.
It really is a perfect tool for small businesses that don't have a ton of complexity in their needs. It can easily handle a lot of customers, revenue and product types, etc. along with providing pretty good reporting. Where it will fall short is when you try to build out a more sophisticated account function that will look to more regularly report, budget, forecast.

We use QuickBooks Online to create tuition invoices for parents, to records payments, and to reconcile checking accounts and credit card accounts.

  • I would like a testing feature for customer correspondence, like being able to see what an automated payment reminder would look like to my customers before I set one up and implement it.
QuickBooks has been so user-friendly for our business. I have been able to easily find training videos and answers to questions online. We took our company from manual paper billing and records to online in a matter of months using QuickBooks online. As a result, we have a better handle on what invoices are overdue, who owes what, and we have an easily accessible overview of our finances at all times.

We're a drop-shipping e-commerce store. Our web store is built on Shopify.<br><br>It's pretty easy to use. I like how it syncs automatically with my bank and with Shopify.

QBO is being used by me, the accountant and my boss. I use it for bookkeeping exclusively. It is used for recording and paying bills, tracking expenses, making reports, managing 1 bank account and 2 credit card accounts--three if we count QBO's own charging system. My boss uses it to generate invoices, make deposits, and integrate with proprietary software of his company. No other employees use QBO as there is no need. Since I work from home, it is very easy to communicate what each of us is doing because it appears instantly.
  • QBO Advanced has extremely excellent customer service via the telephone. Agents are knowledgeable, helpful, and usually determined to solve the (user caused) problems. I think that he agents used to be hired to troubleshoot issues but they really have become almost-accountants because this is what is demanded by users.
  • The accountant likes the ability to see in real time any problems that we have. Sometimes it is just a category selection issue--such as which is the proper category to put a particular expense
  • I like the ability to WFH with immediate integration with my boss and his part of the work equation
  • Although there is a steep learning curve for new (never before)users, it is extremely easy to navigate once you accept that QBO must be obeyed. It is difficult to make a mistake as QBO sort of guides your thinking to reach the correct and logical conclusion
  • There are too many self advertisements which pop up. Although it is interesting to note what QBO can offer, I have yet to take advantage of any.
  • QBO has power outages, or whatever they are called when we simply cannot use QBO, which are distressing interruptions to our work.
  • Updates are somewhat frequent and have no warnings
  • It is expensive to maintain and QBO credit card swipe fees are quite uncompetitive
it is the best software for small businesses who want to invest in their business with accurate and competitive bookkeeping, creating and managing invoices, creating and paying bills and keeping track of expenses, managing their own "financial health" and preparing for taxes--including business, payroll and quarterly. I have found the accuracy is spot on. The downloading of checks, credit card charges, and expenses is fast, accurate and convenient.

It is being used to have better control over our finances, as well as financial reporting and integration with our outside accountants. It is allowing us to have clearer insights into our financial position and identify any cash flow issues that may arise because of our case census.

Use QBO as our primary bookkeeping and accounting software. Integrated with our bank account and company credit cards. Our CPA's are also have accountant access so it's a seamless way to do our quarterly reporting and annual reporting with tax filings. We primarily use it for Chart of Account, Balance Sheet and Profit and Loss. We do NOT use AP or AR or other transactional functionality.

It is well suited for all businesses for the core accounting needs. It is deeply rooted in accounting principles so any business can keep their books and corporate financials organized and properly recorded, regardless of size. Obviously there are complexities in each industry and QBO may not be able to handle all the upstream needs of a specific industry but as a system of financial record, it is excellent. I would advise smaller companies and sole proprietorships to consider if QBO is too much for them despite its simplicity of use. It takes commitment to set up QBO properly and consistently use it.

Accounting, bookkeeping and invoicing are the major functions that we use. Their Payroll and merchant services are just overpriced, We are a smaller sized business with 11 employees that bills clients via Bank ACH, Invoice and Credit Card. We use the live bookkeeping service from QBO. We have two users with access. The "Bookkeeping Live" service is a plus but with the basic software broken it is almost pointless. I have to upload manual bank accounting transaction and credit card accounts.

For the last few months, we have run into a problem that QB's customer support and technical teams can not seem to fix. Our bank feeds only work for some of our accounts when they have been working normally for years. This is our 6th and probably the final year of using QBO. We are currently looking to get rid of the product all due to their crappy, horrible, non-responsive, and disorganized lack of support.

  • Very fluid chart of accounts.
  • Good dashboard where I can see my important financial concerns.
  • Customer service is nil.
  • Tech support is very difficult and time consuming to work with.
  • Cases and case numbers get lost or are not entered properly meaning start all over.
  • Automatic matching is very unreliable and if not closely watched your finances may be wrong.
Product is generally good with some exceptions like the automatic matching which is very rudimentary and if not carefully watched can cause your reporting to be wrong.

If you are not accounting savvy you need a bookkeeper. The program is not designed for a parttime user.

The "Bookkeeping Live" service that they offer is good and priced decently.

Before the bank feeds crapped out (and their support can't fix) the system was good.

QuickBooks Online is used across the whole organization. We use it for reporting purposes as well as accounting purposes. We also use it to send and receive payments. It is an extremely helpful tool, you can send a payment instantly via card or bank account. We keep track of all revenues via QuickBooks Online as well.

  • I think some of the reports that you can generate are designed for as if you are an accountant or have a background in finance. It would be nice for them to be a little more straightforward or the terminology more simple and straightforward.
  • It sometimes takes days and days to receive the money that you are sent, meaning that sending payments through your bank could likely be quicker and easier.
It is simple to set up clients and send invoices as well as invoice reminders using QuickBooks Online. I think where it gets complicated is reporting. Overall, I think for someone like me who has no background in accounting or finance it is simple to use, other than generating reports because I don't understand much of that accounting terminology. I usually obtain the information I seek from clicking on a client and going from there.

My whole organization uses QuickBooks. It makes daily bookkeeping tasks very simple and allows me to streamline quarterly billing processes for my clients. It also creates a secure way for me to share information with my bookkeeper and provides immediate access to reports such as P&L, Balance Sheet, Overdue Invoices, etc.
  • Streamline quarterly billing. By creating a recurring sales receipt that goes out to my clients, it saves me time each quarter by not having to manually push them through.
  • The secure portal (attachments) enables me to quickly upload monthly credit card and bank account statements to my bookkeeper for reconciliation purposes.
  • Mobile access seems confusing at times due to a slightly different interface on the mobile app compared to the online version.
  • ACH and credit card process fees, while norm for the industry, seem like they should be reduced given the overall size of the QuickBooks organization.
QuickBooks is great for a small business looking for an efficient bookkeeping platform. I push through about 50 recurring invoices each quarter and it provides an easy way to automatically generate those and update them, if needed. It also makes it easy to receive ACH payments if I choose to do so. I do not think it would be a great platform for a large organization that requires advanced bookkeeping and/or accounting.

Our organization uses Quickbooks Online to track and reconcile credit card charges, debit card charges, and checks written. The dashboard quickly shows us our expenses, income, and profit to date - as well as the ability to quickly compare it to previous years. Last but certainly not least we are able to give our accountant in another state login credentials and she can file our taxes easily.

QuickBooks Online is our primary bookkeeping platform and our primary platform for invoicing and tracking our business financials. The only users at our organization are myself and the other owner. We both log in daily to stay on top of money going out and coming in and get a general sense of outstanding invoices and other related items.
  • Large list of features. There is a lot of functionality packed into QuickBooks Online. It can fill the role of multiple other tools.
  • Being the industry standard. Need an app to interface with QuickBooks Online? It will. Need to connect an accountant? They all know how to use it.
  • Constant innovation. New features get added constantly and improved constantly.
  • Sluggish platform. The interface itself is slick, but slower than it needs to be. A lot of time is wasted waiting for loading.
  • Service unavailability. At times certain parts of the QuickBooks Online platform go down. It's more frequent than it should be.
QuickBooks Online is the industry standard. It does a whole lot of things and works with a whole lot of other tools. If you bring in someone new, chances are that they're familiar with it. It's a good fit in almost any role it has a tool for, and competing products often lack the same maturity of features, or you'd need to use 5 different tools in place of QuickBooks Online.

We are a small company, so only two of us have access to QuickBooks Online. The way we use it: My Director of Operations is in charge of Accounts Receivable, Accounts Payable and Cash Flow. We use QuickBooks Online integration with Bill.com for our Accounts Payable. For Cash Flow we use the QuickBooks Online integration with Float.

I use QuickBooks Online to generate P&L reports and reconcile all of our bank accounts and credit cards.
  • Integrations with different services, such as Bill.com and Float.
  • Our P&L is really clean now. We transitioned from Cash to Accrual in 2017 and QBO has helped tremendously.
  • Customizing invoices using a template was something we took advantage of, since our old customers were used to an existing format.
  • The user management has been broken at times. I had a support ticket out for nearly a year before my issue was resolved.
  • They've increased the price recently and I wasn't expecting it. Although, it's still a value for us.
  • The Mac app has been unstable in the past. Fortunately you can still use the website in the rare case that the desktop app fails to load.
If you need a high level and detailed view of your finances QuickBooks Online does a great job. It excels at the details, where you can create your own custom "product" lists and then run reports against them. But you can also zoom out a bit and see the overall profit and loss.

We are a small office and only I and our outside accountant use QuickBooks Online. It has allowed me to work on our finances remotely.
  • I like to create my own reports and can quickly access them and easily change them as needed.
  • This is our second year of implementing our budget into the software; it is a great feature to add to my reports and helps to keep us on track.
  • Recording expenses from our credit card is a great tool and saves me a lot of time.
  • The invoicing function lacks customization options.
  • The software does not allow you to have multiple screens open at one time.
  • Setting up the reoccurring payments feature is difficult.
The software allows data importation from integrated applications like PayPal, American Express and Square. Functionality is limited on mobile devices.

We use Quickbooks Online for our entire organization. We have around 120 clients, and Quickbooks helps us keep their accounts up-to-date and accurate. We really like the payments feature, and that it automatically logs the payment when someone pays online via their invoice. I feel that having this feature helps us get more payments on time, as well as saves us some time and effort.
  • The user interface is clean and things are easy to find. This saves us time from having to look for things we need. If we can't find something, the Help and Search features are easy to use.
  • There is a bar graph at the top of my Customers page that shows a breakdown of overdue invoices, open invoices, and those that have been paid in the last 30 days. This is nice because I can see all this information quickly when I need it.
  • We can customize invoices as much as we need to and it is very user-friendly. We can email individual invoices or in bulk to save time. We can send invoice reminders and statements in a flash as well. All of these things help us get paid on time.
  • I've had a hard time linking Quickbooks with my bank account and then categorizing my income/expenses. I'm not sure why, but I wish there was someone who could help with this.
  • I wish that I could make the emailed invoices come from my own email address so they have less of a chance of going to clients' spam inboxes.
  • It's a little annoying that they really try to push the Online version versus the software version. I asked a sales rep on the online chat about it once and he really tried to discourage me, saying that they don't offer ANY support if you have the software. I suppose they make more money with online subscriptions.
Quickbooks Online is great for small/medium-sized businesses with a large client base. If you only have a few clients, you may not need something this complex. Quickbooks Online has many features to help your business, including accounting for tax purposes, and payroll features if needed. It can definitely suit a wide range of business sizes and models. There is a lot of customization available, so it can get the job done for many types of businesses. If you are the sole employee of your business and have less than 10 clients, you might try something like Paypal for invoicing and accounting to save money. Quickbooks does a better job though when you have many clients, we have around 120. If you have employees and need to print them checks, Quickbooks is great. We have around 25 employees and print checks every month. It is very easy to go back and find a check that was printed if needed.

We use QuickBooks Online when our bookkeeping customers need a solution that allows access from anywhere and/or by multiple people.
  • Easy to access from any computer. As long as you can check your email for the verification code, you can access your QuickBooks Online file from any computer.
  • Download activity from your bank or credit card account. QuickBooks Online makes it easy to download the activity from most banks and major credit cards and to review and post that activity to the books.
  • Statement reconciliations. The reconciliation function makes it easy to do bank reconciliations or reconcile credit card statements. You can edit from the reconciliation screen, or easily click to edit a transaction if needed.
  • Customizing reports. The Customize screen is clunky. For instance, it is harder than it should be to show a Debit and Credit columns instead of just an Amount. It takes several clicks and dragging.
  • The payroll module is awkward and rigid. There is almost no option for customization or correction. The reports are terrible and almost impossible to convert for use in excel format. Any correction or alteration involves a call to customer service when it should just be a simple fix (as it is in the desktop version of QuickBooks payroll). I avoid using QuickBooks Online payroll if at all possible.
  • Preparing 1099. Working in the Forms 1099 wizard is no good. You cannot easily go back once you click on a link. The filters reset and you have to start over. You cannot scroll or sort by amount, you have to page through sometimes dozens of screens to review the items.
Well suited for a company with straightforward books and very simple, or outsourced, payroll. Good if you want several people to be able to access from different locations.

QuickBooks Online allows me to keep up with all my bookkeeping. We use the check register to enter all checks and merge with our online banking for quick entry.
  • The online banking is very helpful with balancing my accounts. I like the merging of entries.
  • The categories help me budget and plan my income and expense workflow.
  • The merge of credit cards into our account is helpful in tracking.
  • It is sometimes time intensive to label each transaction.
  • I like that it merges the online account into my ledger, but the repeat entries don't always categorize as I like.
  • Great for setting budgets and tracking.
  • Great for seeing the overall picture of your business at any point of time.
  • Great for comparing year to year and month to month.

The majority of our monthly accounting clients are on QuickBooks Online (QBO). It addresses the problem of having to wait for clients to provide bank/credit card statements at the end of a month or quarter before we can begin moving forward with the monthly closing process. It also allows for great collaboration with the clients so that a lot of double work is eliminated. By integrating with other apps available on the QuickBooks Online App Store, it is possible to achieve a great deal of automation with things like sales transaction entry.
  • Sync with online banking and credit card accounts
  • Integration with third-party apps
  • Data is always backed up
  • Data is available anywhere there is an internet connection
  • Inventory tracking for clients with huge turnover, backorders (there are third-party app integrations that work on a smaller level, but we had to go to QuickBooks Enterprise Hosted for one of our large retail clients because of the more robust inventory reporting features).
  • Pricing continues to go up over time.
  • While great for the average business owner, there are a few features that are built-in to virtually all professional accounting systems that I believe they should make available at least in the Accountant version of QBO (things like closing distributions into retained earnings when closing an S Corp's books for the year).
Almost all scenarios are appropriate for QBO. As stated previously, the only time I see a disadvantage is for clients who require extremely robust inventory tracking and order processing features, in which case a "heavy" version of QuickBooks Desktop would be better. Xero is also a strong competitor, but I think the fact that Intuit has a stronger foothold in the US makes it a good choice.

We use QuickBooks Online for our business books as well as a tool to promote other business clients to use the tools. It is used across the whole organization and addresses the ability to keep your business books up to date wherever you are at as long as you have an internet connection.
  • Ease of use
  • Make changes to program more often rather than each year
  • Ability to have access to business financials as long as you have an internet connection
  • Reports look different on QuickBooks Online from QuickBooks PC verison
  • Not able to see AJE report with QuickBooks Online (or at least easily)
QuickBooks Online is not suited at this point for clients who have large inventory items; it needs work on accepting credit card payments with other providers such as Square.
