What is Ascentis (discontinued)?

Ascentis was an a-la carte full suite workforce management (WFM) technology platform and human capital solutions. Ascentis WFM provided time and attendance solutions that provided clients with scheduling, compliance, complex calculations, and time collection options. The HCM suite, included a fully a-la carte solution.

Ascentis was acquired by UKG in March of 2022. The service will be discontinued.

We use Ascentis HR by the entire organization. There are 3 administrators, and all employees use Employee Self Service. Employees use ESS to view/change benefits and personal information. They also view pay stubs there. Prior to downsizing, we used it for open enrollment. As an administrator, I use it for reporting and research.
  • Ascentis HR was invaluable when we conducted layoffs. The database provided us with necessary information to make appropriate severance decisions.
  • Ascentis HR is very useful in providing information for verification of employment requests.
  • Ascentis HR is useful in providing census information for annual open enrollment.
  • We experienced difficulty with Carrier Connect feeding properly.
  • COBRA reporting seemed cumbersome.
  • Benefit deduction tables are cumbersome when using age rates. The employer portion is not available to include in the total when a participant chooses family coverage - we must do manual calculations and hard input into payroll.

Well suited for larger companies.

Less appropriate for small companies such as those with age rated benefits. The open enrollment setup is more labor intensive than necessary when you have a small group.

We use Ascentis across the entire organization for HR, time management, and payroll. I like that it's a 'one-stop' shop for HR/Payroll.
  • Ascentis is very responsive to our questions.
  • Onboarding was easy. They guided us through to ensure the transition went smooth.
  • Schedule Q&A session for year end payroll training for the first year we were on Ascentis to ensure we have everything covered.
I've already recommended your software to several colleagues, one of which implemented your software. I think Ascentis is ideal for companies under 1k employees

It is being utilized by the HR department only. It is used to keep all confidential information, training, and all personnel information.
  • Customization is great. You can add a tab if there is information that you want to include in a personnel file.
  • Attachment, for scanning in documents
  • Reporting is fairly easy to create.
  • Benefits are lacking. The information being supplied to Carrier Connect is incorrect.
Being able to customize is very nice. But the problems that we have had with the benefits, makes it difficult for our billing. Not sure if the problem lies in the benefits screen or with the fields that are being pulled from carrier connect. Cobra notification also has to be supplied manually to our Cobra provider.

Ascentis HR (as well as Ascentis payroll, self service, talent management) is being used across the whole organization. We use it to as personnel files, requesting time off, processing payroll, attaching documents, and helping us go paperless. Our restaurants are scattered throughout two states and no matter where we are we all have access to the same information on our employees.
  • Customized tabs to track any data that is applicable to your company and be able to create reports from this data.
  • Easily creating any necessary HR report without having to coordinate with IT or a programmer to get them done.
  • Being able to have everyone in the company be able to access the necessary HR and payroll data no matter where they are. The home page has become our communication tool for everything.
  • We are a 7 days, 20 hours a day business and Ascentis could improve by providing companies like mine more support on the weekends.
Ascentis HR is web-based so it can be accessed from anywhere on a computer, tablet or phone. Ascentis HR has completely changed how we approach HR, personnel files, and training into a 24/7 access to relevant data world.

Cannot stress more that an integrated system is needed. They are working toward getting information on the web, but right now it is necessary to sign on to their platform to use the system. Sign on to payroll separately. Movement between HR and payroll is not always what is expected. Very bulky. Ascentis also does not have the bells and whistles that other HR/Payroll systems have.

Currently, we only use Ascentis HR within our HR department. We have opened up the self-service portal to allow employees to make benefit selections for open enrollment as well as make changes to their personal information.

In the future, we will allow all managers access to the systems to conduct performance reviews and learning management. We also plan on implementing the Ascentis HR recruiting module and embed the candidate portal in our organization's career page. We will give access to this section of Ascentis to specific hiring managers who will need to screen and interview individuals who apply for jobs at our organization.

Overall, once we've completed implementing all parts of Ascentis HR, we hope that it will greatly reduce the amount general HR Administration for our team to allow us to focus on more project-based work.
  • I like the amount of customization that can be created within the HCM. Being able to create custom tabs for extra information specific to our organization helps us stay organized.
  • Although we haven't finished implementing yet, I like how the ATS/recruiting module will seamlessly transfer newly hired employee's information into the HCM.
  • I like the quick and timely responses from the Ascentis support teams. They are much more helpful than our previous provider.
  • I don't like having multiple log-ins and passwords for Ascentis HR.
  • The Remote Desktop has shown to be problematic for my colleagues using an Apple computer rather than a Windows PC.
  • The recruiting modules lack the customization we would like, limiting us to develop a candidate experience that is not ideal.
Ascentis, like all HRIS, has pros and cons. For those looking for an HCM with lots of customization opportunity and great client support, Ascentis is a great option. On the other hand, until Ascentis changes to a web-based design over the current remote desktop version, those with Apple computers will experience some technical issues. Lastly, we have yet to fully integrate and use their ATS/recruitment module, but so far we feel the software features don't meet our expectations.

As an organization with only one location and a fairly small number of open positions at any given time, we do not like the candidate portal and the use of the "search" function. We would prefer to have more customization in this area.

Our employees use the platform as a tool to review and update benefits and payroll, as well as update family & personal data. Also used during open enrollment. Additionally, staff uses it to request and track PTO. So far, it has not addressed any problems but has actually created more.
  • Provides "one stop" for employees to obtain information on a number of areas 24/7.
  • HR and Payroll have to be logged in to separately which is extremely inconvenient.
  • Reporting is extremely difficult to use.
  • Not intuitive or user-friendly from the administration side.
  • Payroll requires early transfer of data which is sometimes difficult.
  • Response to problems/trouble has been slow and has resulted in a fair amount of anxiety.
I guess this would be better for a larger firm so that at least benefits enrollment data could be transferred to carriers. This was one of the things we were excited about Ascentis offering. During implementation, it was discovered that carriers of groups under 100 do not accept data transfer.

Ascentis is used by all 3 of our companies. It is used by both employees and managers. It has been helpful for managers to document events and conversations with their employees. The employees have come to rely on it for all of their benefits information.
  • Easy for the employees to use. They can access information at any time.
  • Easy for managers to keep documents and conversations recorded
  • HR support is truly lacking. An email or phone call goes into a black hole. This has been my complaint about the product the entire time I have used it. It can be days to a week before I receive a response by email. If I call, I always have to leave a message. I may get a return phone call, if I miss it, the process starts all over. They do not seem to believe in a dedicated support staff for the customer. Oddly enough, they do have dedicated support staff for the payroll product.
  • This program needs some visual updating. It is capable of the same tasks or procedures as other HRIS systems, the current screens appear outdated and clunky. Not as "visually pleasing" as some other systems.
  • The bolt on systems do not communicate well with each other. Recruiting notes do not flow into HR if the applicant is hired. The attachments do, but not the notes. The HT system has a approval process for notes and documents, but any notes made during this process disappear. Why have a place to enter them if they are immediately lost after approval.
  • Need access to all items about an employee from one screen. Can limit access depending on job title.

Seems to keep track of a lot of data, but can not access that data again. Limited and clunky reporting process. Notes made in one area (recruiting, compensation notes) are not retained for future reference.

Again support is very poor.

Smaller companies (we have 200 employees), companies that need an HRIS solution but do not have huge budgets. We are integrating the Applicant Tracking System as well and have been happy with that progress.

  • The implementation team basically pushed off all of the work and were more concerned over wrapping up the project than getting things done right.

  • We were promised a system that was flexible and would suite our needs but it doesn't come close.
  • Performance system is a nightmare. Won't print everything you enter. Users would save their reviews and the info would disappear. They would have to start over.
Might be good for a really small company with 100 people or less. The system can't keep up with our needs. The onboarding system and recruiting modules are great but the Talent Management module falls very short of what companies need.

Ascentis is our full suite HRIS system. Specific to the Ascentis HR, this is being used by HR specifically. We have other services such as TimeKeeper and ESS that is used across the whole organization.

The business problem it addresses is being able to electronic records for all of our employees. Ability to pull reports and have accessibility to data as needed.

Small companies that do not need a robust system. Company that prefers customization vs. plug and play for needs. Manual entry as some things do not flow from the ESS, or Payroll to the system. The flow from one system to the next can be confusing for the users. All aides are videos with very minimal documentation that users can reference.

Ascentis HR is used by our entire company. I was originally very excited to be able to have a HRIS that would allow for employee tracking, benefits, recruitment and onboarding to be streamlined. While Ascentis HR does offer many reports, to access the information you need often times multiple reports have to be created and selecting the right report is trial and error. On a positive side, the Employee self service portal allowed employees to take an active roll in maintaining their basic employee information, taxes and direct deposits.
  • Creates a streamlined process, although it is more complicated to navigate through some pieces than necessary and isn't a completely smooth transition from one piece to the next.
  • Employee Self Service portal - easily accessible and allows employees to view their check stubs, W4s, W2s, change tax information, direct deposits and basic employee information. It also provides employees with a tool that they use to see how changes can affect their paycheck prior to making a decision.
  • While many reports are offered, their titles are misleading. It is frustrating to pull a report to find out it isn't what you were needing at all. You can create a custom report; however it may take multiple reports to gather all the infomration you need. All reports are in PDF, although you can export some to Excel. If there is a report you need but can't obtain, they will create it for you, but for a fee. If you have Ascentis payroll the reports are even more frustrating and all are in PDF format ( who needs a report in PDF!).
  • It is presented as a "whole package" program, while in reality it is many databases communicating with each other. This creates multiple logins for the adminstrators and we often experience lag issues where data isn't flowing over.
  • It is also presented that you will have a dedicated support team. You do not! You have a different number to call for different pieces (benefits, ACA, HR, etc). Often times only getting a support voicemail where you leave a message and it may be days before you hear from anyone. We all know when you need assistance that more often than not you don't have days to wait. Lack of communication is a major issue for our company. After the initial implementation of HR and Payroll, we don't feel valued as a client.
  • You are responsible for certain reporting tasks that you were not made aware of during the sales and implementation process and may not have had to do with your old HR provider. Often you only receive an email right before it is due (sometimes after) with little to no guidance on how to complete the task.
  • While webinars can be a great tool to ASSIST in training, they can not replace the human interaction that is often needed. The webinars are often extremely long just for one particular topic. Most HR professionals do not have that kind of time while performing all other duties and the day to day issues that arise. A perfect example is ACA, which was over 4 hours of webinars.
The employee self service portal has gone over well with our employees and Ascentis has done a good job on that aspect of their product. If you only purchase the HR product of Ascentis, then it may be more beneficial that what you currently have, but be prepared to have little to no support when needed.

Ascentis has become our all in one HRIS system. We use multi-platforms allowing all departments in HR to navigate across departments effectively. The usage of an all in one system has allowed us to streamline processes to not only include HR, but benefits, payroll and performance management. The ability to limit and set access has allowed HR to provide ownership to supervisors allowing for a more employee focused tracking system as well as aided in building an effective partnership with management and employees.
  • When building our platforms our implementation specialist Rebecca K. was exceptional. The service, dedication, and support was beyond amazing. She worked with us as if we were her only client, making us feel we were important and our needs and understanding mattered.
  • The team at Ascentis ensured all managers were not only trained on their individual platforms but crossed trained on all platforms available. The training was designed to fit each individual training styles and needs verses fit all training. This allowed each manager to become an expert on their platform and the ability to cross train other managers and train their own staff.
  • The instruction manual could be made simple allowing anyone, even someone who has never used the system the ability to download and complete the task without having to contact Ascentis support.
Benefits/open enrollment features - the ability for our employees to complete their enrollment in ESS allowing for effective real-time tracking of their enrollments into the administrative tab which allowed for responsive and timely ability for corrections to be processed. Additionally, the ability to create reports and monitor ESS allows for effective enrollment trackings.

We are currently trying to encourage frequent access to My Performance and Development - not easy.

  • I like the coffee break trainings. Why did you stop?
  • The ability to be flexible and have input into the product.
  • Webinars - many topics - very relevant
  • The learning curve is steep, and could not find step by step training for easy repetitive tasks
  • The Reports function has a lot to improve. Try and fail to get the result that you need. zero training!
  • Benefits tabs, can't tell when a benefit (i.e. life coverage 2 x salary) changes if it is automatic from a change in compensation. Really hard to re-create amounts and timeline.

Good - Ability to crate tabs specific to our company and industry. Adding 401(k) and ESOP eligibility tabs for Years of Service, notification, Although, why don't these exist ?

Bad - size of the notes boxes and being unable to read what is in them. Cannot expand

Ascentis is used by our Accounting Department to easily track HR requirements and compliance. With the seasonality of industry and the high turnover of temporary employees, accurate and efficient tracking and reporting is particularly vital to us. We still need to make better of use employee reviews and other functions of the program.
  • Reports are easy to build and use.
  • Ascentis is a great way to collect all the pertinent employee data in one place for easy reference when it is needed.
  • Employee self-service seems to work great for everyone.
  • Having to use Remote Desktop and dealing with its technical limitations can be a hassle at times.
  • I would like to see HR integrated with the payroll system as part of the web interface.
  • It would be great to be able to just drag and drop attachments into Ascentis HR.

We use Ascentis HR to help us eliminate the many spreadsheets that were used to track certain information within the HR department. Additionally, we are looking to reduce the amount of information we keep in paper form. It is being used by the entire organization.

We use Ascentis for general HR, Recruiting and Performance Management. It allows us to scale our HR functions without adding HR staff to support our growing employee base. Additionally, it provides significant improvements in our recruiting and performance management processes.
  • The system does a good job of allowing the employee manage their benefits information.
  • The system's recruiting module is particularly good at parsing candidate resumes into the relevant employee application fields.
  • The recruiting module has good workflow functionality that provides those involved in the recruiting processes with proactive notifications and reminders on steps in the recruiting process.
  • The performance module's user interface needs improvement.
  • The recruiting module could use better search features.
  • There is a fair amount of inconsistency between the UIs of the different modules. This needs to be brought into a single common user interface.

Overall, the recruiting module is fairly strong. The ability to create new requisitions is fairly straight forward once you have your standard job descriptions and related data loaded. The feature that parses resume content into the employment application is excellent. Would like more consistency in the user interface and a more intuitive web-based UI design.

The performance module is OK. The ability for employees and managers to record content during the year is a good feature. The annual performance evaluation process is fairly straight forward - we were able to roll it out to over 60 employees and did not have any issues. The way competencies are set up and managed by job title could be improved and the lack of a total competency score is a deficiency.

Ascentis HR is being used to manage HR files, benefits and ACA compliance.
  • Information Management - keeps information in one place, easy to build additional tabs.
  • Reports- Easy to use and build, refer to and use again.
  • The ability to recognize a series of event to know when to take something to the next process (i.e. person completes XYZ and now can work).
  • System is built for larger companies. Some features not necessary. Would be nice to turn those features off.

This has been a fantastic software that has helped us gather all information and works well with other features of Ascentis (beyond HR), so that the information flows from one program to the next. We are excited to see the potential but have not yet truly seen the entire project come together yet.

This is built for a bigger company. Would love to see some more features available or remove some features to make it small business friendly.

Our company uses Asccentis HR to manage employee information and our employees use it to update personal information and view their paycheck stubs. It has helped us reduce the amount of paper files and communication significantly. It also saves time when needing to update information or pull reports out of the system.
  • Quick retrieval of employee information.
  • Simple new employee onboarding process.
  • Easy for employees to use especially those who do not utilize the computer very often for business or personal use.
  • An easier way to pull specific information from the system for reporting purposes.
  • Technical issues with the remote desktop (although I understand they are currently working on improvements to this).
  • Faster response time from customer service reps.
It is well suited for companies looking for an online solution to keeping employee records. It is probably best for companies with at least 100 employees because of the cost of the product but it pays for itself with the time you will save and the increased level of organization you will be able to have. It is especially useful if you have a small HR staff with a variety of roles.

Corporate HRIS with integrations to AD, BI, and other application infrastructure. We selected Ascentis to be an all-in-one solution to support Recruiting, HR, Payroll, Training, and Timekeeping across sites in the US and overseas. All modules with the exception of Payroll are used overseas.
  • Simple, ergonomic UI.
  • Employee Payroll interface is simple and functional.
  • Custom Fields are very useful for tracking all sorts of employee attributes like IDs and assets.
  • Eliminate the RDP Backend and have a 100% web based UI.
  • Better support for multiple countries, especially when it comes to the handoff of Recruiting to HR (Onboarding).
  • Complete integration of modules. Currently, they operate like separate applications, and in some instances, they are. The integration points are lacking which causes a lot of manual processes to be followed.
Not an "all-in-one" solution as initially advertised. Good for companies with one to two locations in the U.S., but not proving to be as useful for multinational company with diverse departments and clients.

Ascentis HR is used as the HRIS system by the HR department in our organization. It manages all relevant employee information, benefit administration (including COBRA), reporting, and employee self-service. It has significantly cut down maintenance of paper files and enables employees to complete HR-related items on their own with less hand-holding, allowing HR to be more productive with time.
  • Ascentis HR is a user-friendly HRIS. From the ease of customization to fit our needs to utilizing the features already built in, Ascentis helps us to remain organized, reduce errors, and maintain compliance. It also is user-friendly for employees via self-service including distributing updated documents to employees, making changes to personal information, and streamlining benefit enrollments.
  • Ascentis HR offers quality customer support for the HRIS including the Ascentis Community website which offers up-to-date webinars, processes, and educational materials to remain proactive in assisting administrators in using the system.
  • Ascentis HR's reporting feature offers pre-built reports to help maintain compliance which is a time-saver. Another positive is the customized reporting option which is easy to use and can pull any information that is housed in the system into an organized report.
  • We use the applicant tracking, payroll, time keeping and additional modules offered by Ascentis HR. It would be helpful to have less logins to keep track of and offer one single sign-on feature for all systems.
  • Based on our use of Ascentis HR, there aren't a lot of cons or missing functionality. However, the other modules offered (such as the applicant tracking system) can use improvements.
Ascentis HR meets our needs for an HRIS, so I would recommend like companies (similar in size) to evaluate to see if Ascentis HR would be a solution.
