- Where to start: the ability to communicate with a candidate who has applied to multiple jobs on a per job basis. You can only communicate with a candidate one job at a time. The "Leads" category is basically useless.
- The ability to create professionally crafted email templates is challenging as very few fields are available to insert in to the email templates.
- The workflow is anti-productive. Very few things you can do enmasse, like changing a status for multiple candidates.
- Navigation between candidates and requisitions is cumbersome and in some cases, impossible. When you have to use a "back button" to get to where you where you want to go or if you have to return to the "home page" to navigate to area that's not available on your current page, or if it takes 5 plus clicks to navigate quickly, you know that navigation is not well thought out.
- Search capability is very limited and the results are very poor, gotten to point that I don't use it to search for skills. Even searching names can be challenging. The ability filter on multiple categories of data is limited.
- Analytics are very poor. Requisitions that have been filled still show as "open"
- The ability to pull up a closed requisition and see an overview of the candidate process is not an option. You can't see how many candidates were applied, screened, interviewed, hired. All you can see who is hired and who is rejected. You have to leave the candidate in the final status and not reject them to keep them in the last stage that the candidate went through. If you reject them, then they are categorized as rejected and you are unable to see at what stage the candidate was rejected without going to the candidate's record and reviewing the notes. This is pretty standard capability in most ATS I've used over the years.
- I could spend all day on this... but this is enough.
SmartRecruiters in review.
- It is very easy to track candidates and move them from job to job.
- Usability is fabulous. The interface is easy to understand and simple to learn.
- Inputing and posting jobs are very easy and not complicated or time consuming.
- I would like more catagories to place candidates in when they are going through the job process. Perhaps sub-categories. If a candidate is in New I would like keep them there if I am requesting a resume from them or other information. Moving them to Reviewed to me means sending to the client but perhaps I am only requesting a resume. I would like to move them to a placeholder so I am not looking at them every time I look at new candidates.
- I would like to be able to see resumes with formats that are not currently supported.
- I would like to duplicate a job and open a new one while in a job.
- I would like to add candidates to job reqs while in the job and not having to go out and click on add candidates.
SmartRecruiters for Your Recruiting Needs
So far, like every other software out there, there are pros and cons with SR. It really depends on what your company needs. The SR team was very good in trying to keep up with our demands and requirements. There were and are hiccups here and there, but in my experience, it is expected because our industry is quite specific and our internal workflow is also very specific. However, I have to give it to the SR team for doing their best to try to meet our demands.
Now moving on the specifics. It has been a few months of using SR and we are getting the hang of it.
- It has a LinkedIn/Facebook type of interface. Internally, you can "rate" candidates, leave comments and reviews on their profiles which can be seen by everyone who is in charge in all of our locations. This eliminates feedback getting lost in emails or candidates falling through the cracks.
- You can connect Outlook to SR. Messages that you write to candidates through SR go through your Outlook and conversations can be continued through Outlook and recorded in SR. In that sense, it's very transparent as anyone who has access to internal SR info can view your conversations with the candidates.
- Scheduling interviews is super easy. Interviews scheduled through SR are sent to Outlook directly as a normal calendar entry in Outlook. You can invite multiple people through outlook scheduling and send an interview invite to candidates directly in SR as you are scheduling. Candidates will also get an invite in their emails and they can "accept" the invitation and we will be notifed once they "accept".
- You can include screening questions for applicants, so when they apply from our website, depending on which job they apply for, the correct screening questions will be asked while they are doing their application.
- You can also import resumes easily to create new profiles.
- The site is user friendly.
- The candidate search functions are great, ie: the SR tagging system
- Job search functions are great, ie: if you have multiple recruiters, multiple departments, multiple locations, and hundreds of job listings.
- Candidate organization is also great. Different statuses allow for better candidate organization ie: New, Review by recruiter, Review by hiring manager, interviewing, on hold, etc. When a candidate's status has been changed, the candidate will automatically be moved to the relevant list within the specific pool.
- Iphone/Andoird SR app is useful if you are on the go and you want to review candidates quickly or if you want to quickly put in interview feedback right after an interview.
- The main con about reviewing candidates is that there are no clickable links in the SR phone app. In our industry, viewing demo reels is a main thing. Any youtube links, or vimeo links that are within the candidate's profile are not clickable. I hope they fix this soon, otherwise you are not able to view demo reels using the phone app. If you are on a web browser on your computer, if there is a demo reel link in the candidate's profile as well, it is also unclickable. Candidates can only include one link as an "attachment". If they have multiple websites or multiple demo reels, they can include them in the main body of their profile, but we have to copy and paste the links one by one to the web browser to view them.
- When you create a new profile by importing a word or pdf file, sometimes the information is not extracted properly.
- The list of jobs that are posted on our website through SR are not in alphabetical order. They are ordered by the newest posting at the top. As we deal with high volumes of postings, it's quite inconvenient to find a specific posting.
- When messaging a candidate, you are unable to CC another person in the conversation. There is only a BCC option.
- We had to transfer all of the details of our candidates from the previous software that we used to SR and they have not found a way to transport all of the reviews and feedback that we had accumulated in the last 2 years, ie: we have no way of knowing if we had hired a particular candidate in the past. Again, keep in mind that we deal with high volume.
- You are unable to merge two profiles together. For example, if you have a candidate who applied twice with different email addresses, you are not able to marge the two profiles.
- Once you start a conversation with a candidate through SR, when you continue the conversation through outlook afterwards, email addresses are shown as SR email address which is a long combination of letters and numbers. This has been confusing candidates because they think that the email address that they see is incorrect.
A dynamic solution to our extreme growth in hiring needs.
- Easy to scan through, and sort, candidate applications.
- Provides a, one click, tool for notifying candidates of your next steps....i.e., interviewing, declining to interview, etc.
- Email notification of new candidate applications.
- Within the job posting area, formatting or, reformatting text, can be difficult.
- There is no use of the "back" button allowed. If you purposely, or not purposely, hit the "back" botton you will lose all of your work from that session.
- We have encountered a problem with "evergreen" postings. We recruit for the same position title, within a large geographic area. The SmartRecruiters system starts to see multiple positions, with the same title, as spam. This results in the position not being posted. We have worked with Customer Service to resolve this "glitch" and seem to experience less of this at the current time.
- Easy social media sharing leverages the industry networks of our leaders and staff to increase traffic flow to the careers page, which increases direct applicants and referrals.
- Simple, mobile-friendly and visually attractive user experience for candidates decreases the drop-out rate for direct applicants and has tripled the number of hires we have made via direct applicants to our careers page.
- Hiring managers can follow the process very easily to understand the quality of applicants, what sources they are coming from, and what stage of the process the recruiter is up to.
- The candidate search functionality could be improved - it's functional but still basic.
SmartRecruiters is very well suited to an organization who is looking to integrate other vendors and create a "straight-through" process utilizing one platform to optimize the time that recruiters can spend speaking with candidates and hiring managers and cut down on double handling and superfluous admin tasks.
It also handles a geographically dispersed organization very well, as the collaboration tools available greatly increase transparency and knowledge sharing.
I would say any professional services organization would find the capability of SmartRecruiters highly beneficial in being able to find, attract and track sought after professionals in talent-short marketplaces.
You should try SmartRecruiters
- It is mobile friendly with the use of the app.
- It is user friendly, much like social media.
- It is quick, being able to advertise on multiple job boards easily with the click of a couple of buttons.
- Being able to talent pool better.
- Being able to click on multiple people and change the step - ie to "to be rejected."
SmartRecruiters is appropriate for:
1. Recruitment on a daily basis - advertising roles, getting candidate flow
2. Commenting on candidates with hiring managers
3. Sharing candidates
4. Hiring candidates and rejecting them in one easy step
SmartRecruiters is Less Appropriate for:
1. Talent pooling
2. Notes could be better visible when looking through candidates
3. Being able to search for candidates in the database

- It is simple and quick to create roles and post adverts - efficiently is optimised and time saved for recruiters.
- Client support - proactive support to the business by client success managers - timely and highly responsive support to address system issues.
- Intuitive and user friendly - can be used with little or no training by hiring managers and recruiters.
- Reporting and analytics functionality - we rely solely on off system support for all reporting and analytics. Excel spreadsheet is sent to us quickly.
- Candidate management - "leads are confusing" and mix passive applicants with active.
- Candidate mining - can't save searches.
- Recruitment approval process - cannot be initiated by the business because currently requires them to create an "advertisement", therefore relying on a paper trail for audit purposes and management of recruitment approval outside of smartrecruiters.
- Very appropriate advertising administration - very strong in being ale to quickly post and advertise quickly and manage applicant response
- Hiring manager interaction - very easy for managers to review and rate candidates
Difficult to ask managers to self serve on recruitment approval process - no functionality for this
Leads - tricky to explain to managers how to use leads and review applicant response - candidates get missed regularly
Good Ideas but not so effective in certain markets
- Great templates available for posting the job. You do not have to create the position every time you post a job.
- The simplicity of choosing several different sites to post the job from one place.
- Sometimes Navigation on the site is unwieldy.

The Next Era of Talent Acquisition Technology
- The candidate application process is very easy and quick. As a result, our click-through rate has improved considerably.
- The system is easy to configure and reconfigure as business needs change.
- Access to a very broad range of additional vendors through the marketplace allows our organization to test and trial different ways of recruiting/assessing without signing into long term agreements.
- Pre-Screening functionality is limited - this means that it is difficult to narrow the field of candidates at-a-glance.
- Some of the configuration options are limited. For example: the user type configuration does not have enough flexibility for organizations with decentralized hiring processes.
Recruit Smart with SmartRecruiters
- Very easy to share information with hiring managers
- Can be used to simplify the whole recruitment process by tracking every step of the way
- Easily posts job adverts to multiple sites
- I find it confusing if I want to make changes to a job advert and then having to repost
- We currently do not have integration with SEEK so there is a team doing manual changes behind the scene which leads to mistakes
SmartRecruiters works well if your hiring team is tech savvy and wants to be involved with the screening process, many of my hiring managers rely on me to do this for them but it is an education piece I need to work on.
Once SmartRecruiters is fully integrated with our major job board it will work very well.
The Choice of Christian Brothers Franchisee's
Another strength of the SmartRecruiter tool is the integration with the ads we place for positions and the ability for applicants to apply and upload resumes directly to the tool - thus beginning the process with us. I also have the ability to send correspondence to potential recruits and have all of the activity with the individual tracked and subsequently archived. This also gives us familiarity with people who may apply for a job with us but have been previously rejected for whatever reason. We then have the ability to retain our knowledge of particular individuals and gauge whether they have exhibited any growth since our last interaction with them.
- SmartRecruiters gives us the ability to link and share candidate information with the home office as well as with the other 157 Christian Brothers locations across the country.
- Uploading to specific publications is a snap and the subsequent integration with the tool for uploading resumes is excellent.
- Notifications of new candidates comes through email which enables passive monitoring even wen we do not have an active posting.
- The learning curve for SmartRecruiters can be a little difficult but there are videos and our corporate staff to help us through them.
- Finding candidates in the system can be a little challenging, Not always as intuitive as I would like.
- Getting an existing candidate that you have spoken with in the past integrated into a current posting is difficult. Needs to be easier to add an outsider to the current mix of candidates for a position.
The thing SmartRecruiters does is facilitate sharing of insights on a particular candidate by all members of the team; from corporate partners to individuals at our shop location who are on the hiring team. At Christian Brothers, we all work together to bring forth a particular culture and we rely on each other to help with critical decisions such as staffing. The cost of a bad hire is substantially reduced when using this tool due to the collaboration it affords us.
Some scenarios where this tool would not be as beneficial is if you are part of an organization that does not have a wide array of individuals that need to share and comment on specific candidates or hiring scenarios. However, the case can still be made that the integration gained with job postings and subsequent tracking of candidates is priceless!
SmartRecruiters Review
- SmartRecruiters has great search functionality and filters that really allow you to zero in on the best candidate for you.
- SmartRecruiters' process or workflow of navigating and communicating with a candidate is well lined out and easy to follow.
- SmartRecruiters allows you to work with so many different platforms and companies to find the best candidates.
- I think the step between creating the ad and placing the ad could be more clearly presented. Many people think the work stops with creating the ad.
- I think there can be more help or explaining labels on the Analytics tab.
Easy ATS system
- Very quick and easy to post job openings in multiple locations at one time.
- Very easy for applicants to provide neccessary information.
- Quick and easy to access perspective candidate information.
- Clearly see how many candidates are in what stage of the process at a glance.
- It is not easy to find previously posted jobs by location only.
- "Leads" don't always seem to match position requirements.
- If there is more than one opening for a particular position, it is somewhat cumbersome to manage in SR.
Don't take my word for it.
- As an engineer I'm very critical of the usability of a website, as well as how it is documented. SmartRecruiters is documented very well with a very pleasing aesthetic UI.
- The SAML integration is absolutely key today.
- I actually like how everything is done.

A Good beginner ATS Tool
SmartRecruiters is currently being used by the HR Team largely as an ATS. It helps us track the candidates efficiently and ties up well with the LinkedIn solution. The solution is only used by HR team currently and that does not include other stakeholders that form a part of the organization.

- Sending the link to managers with a profile is a useful feature.
- The user interface is kind off difficult to manage.
- In my opinion switching between the profiles could be made easier and more seamless. Once you are out [of them] you need to start from the beginning.
Powerful ATS!
- Ability to easily share candidates with hiring teams through the ATS.
- Ability to easily create and post jobs out to numerous career sites in just a few minutes.
- Ability to create custom reports through the ATS to measure effectiveness of postings and overall recruitment success.
- The onboarding/initial training for users could be improved. The ATS was a little overwhelming at first since it does have so many capabilities.
