Airtable was a more affordable, more mobile, and more versatile platform. The options for future integration were greater for us with Airtable; the mobile opportunities give our Foundation flexibility; and since our team is based in several locations, the sharing and cloud storage options were great for us.

Our needs are broad and general. We needed a trued database solution that would take us beyond spreadsheet management, and also a product that could be used for CRM and project management. Airtable was the only solution we found that could meet all our needs at an affordable price. What it lacks in features for some task-specific applications -- CRM and project management-- it makes up for in ease of use, flexibility, and price. It may not be the best at any one thing, but for our business, it can do more than other products.

We selected Airtable for the Calendar view and the grid view features. We like being able to link tables to one another, and we appreciate how collaborative the platform is. Airtable is able to display our data in a visually appealing and user-friendly way. We wanted to be able to both schedule events and manage the details of the events in many different ways, which only Airtable was able to do.

Salesforce was too sales driven. Being a nonprofit, that did not suit our needs. We simply wanted to create different lists of people, orgs, and properties and then connect them in different ways. Salesforce made this very difficult. We do use Google Drive for our cloud storage needs, but google sheets got too complicated with large datasets and multiple people interacting with them. Airtable is essentially a spreadsheet with more powerful features that allows us to better track our contacts, properties, and interactions in a shared environment.

We've used (and still use in some cases) other Project Management platforms. Trello is fine but limited to Kanban-oriented projects. I personally love Trello but on in certain use cases. Airtable is way more versatile and has a Kanban view. Teamwork and Zoho are really in another league. We've dropped both because our teams found it took more work to use them than the effort saved. Note that both of the teams I use Airtable with are under 20 people and that's where it shines. I've worked in other organizations with soup-to-nuts platforms like Zoho and they seem fine for what they are.

Airtable had all of the functionality we needed from a more robust CRM system like Salesforce but was more simple to use and had public facing views to display. We needed an upgrade from Google Sheets and Google Forms - one that links data together - and this is what Airtable provided.

  • Microsoft Excel
Airtable provides many tutorials to help me learn about the features. I have never been able to figure out how to use Excel to its fullest. With Airtable, I don’t need to figure it out. I just input my data, play around with the different views, and move on to my actual job—teaching.

Podio - From our perspective, Podio was the most familiar product to Airtable, however ultimately we found the user interface of Airtable far more engaging and familiar to work with. Furthermore, Podio really struggled when trying to interact with greater volumes of data, the platform felt clunky and we weren't confident it could expand to accommodate our own internal growth without eventually slowing us down.

Trello - The platform is great for managing tasks but is severely restricted when it comes to managing non-task related data. Furthermore, Trello as a platform, had far less scope to change the way data was displayed from the default Kanban view, which was already provided as a free option in Airtable.

Zoho CRM - Too many of the features basic to our business need were completely hidden behind a pay-wall, plus their pricing was far less competitive than other providers on the market. While Airtable does restrict certain features to paying customers, we felt that the free plan Airtable offered was by far and away the most generous on the market in terms of functionality and space.
