We use Atlassian Confluence across [the] whole organization and it's a standard tool for project documentation storing. One of the biggest values of which Atlassian Confluence brings to our company is that you can manage all access and edit rights to your documents from a single console or even grant access for customers if needed. The other big advantage is that Atlassian Confluence [has] deep integration with other tool[s] like Jira and Miro so you can easily share content between them.
  • Sharing documents and data with your team
  • Rights management
  • Integration with other collaboration tools
  • Improved user interface
  • Visualisation of existing projects
  • Possibility to create project boards
Atlassian Confluence [is] best suit[ed] for teams that already use some collaboration tools and requires shared working space that can track changes done by team members but still need more advanced collaboration space. Or for those teams which already use some of Atlassian products and requirers ease of integration.

Atlassian Confluence is the central repository of knowledge. Everything from scripts for new employee setup, to Team organization, and even project progress are all in one place. Personal notes and tips and tricks are also common to find. Because it is the central repository it has been broken up into sections for different parts of the company. This has issues because many of the sections are difficult to figure out what they were called, but beneficial because it is easy to link across departments.
  • Maintain historical links even if pages move
  • Responsive
  • Good Plugin infrastructure
  • In my opinion, permissions model is unpleasant
  • In my opinion, automation with anything that isn't an Atlassian product extraordinarily difficult
  • In my experience, it doesn't support current standards very well (Markdown, importing HTML)
  • In my opinion, search is almost useless
In my opinion, Atlassian Confluence is a decent Wiki, but there are a lot of good wikis in the world and for the cost Atlassian Confluence doesn't really have a compelling features other than their tight integration with the other Atlassian tools. Both in my work life and my open source endeavors I have significantly diverse tools, therefore the tight integration is a negative for my interactions. If you have bought into the Atlassian ecosystem Atlassian Confluence is a great choice, otherwise I really don't recommend it.

We use Confluence as our main source of documentation. We use it from creating documents that contain tables of data. We use it for creating design documentation. We use it for creating operational documentation. It has good search capabilities and it's easy to create simple to use navigation. It also has capabilities that allow you to be notified of changes to the documentation.
  • easy to create new documents
  • easy to search documenation
  • easy to setup simple navigationb
  • easy to setup notifications for changes to the documents
  • make it easier for new users to create new documents - simplify the interface for that
1. Good for setting up rules for documents that change often in terms of notifying users.
2. Good at restricting visibility to documents.
3. Good for search.
4. Good for easy navigating from one document to another document.
5. Good at setting up essentially a table of contents for your documentation.

We at our organization use confluence for managing all the research documentation, designs, page updates, development updates, calculations on the topics, developed code histories, quarter plans and multiple time to time handover records.
It addresses the local documentation, access issues.Easy sharing documents with team filters, login safety, data privacy.
Its interface gives the option to Auto select title content, standard headings in the paragraph options. Status highlight options.
Its a part of the documentation life in the organzation.
  • The page design support and the interfaces are commendable
  • Data Privacy and 2 step verification login.
  • Easy direct share with the team members, send the direct mail to the shared person.
  • Tag someone easily, comment option in the page end for reference tagging.
  • Some more interface options, like color options or text highlight options
  • Column and Row align options.
  • More options in the Table. when added a table, options like strike thorugh.
It has a comment option on the page, where you can tag other teammates tagging them. it sends the mail notification. Comment at the page end is pretty good for referring to other stakeholders and future references of the topic on the page. Creating the highlights of the discussions, and meeting held points with highlighted tagging. Easy shortcuts such as to add a date just type "//". The interface is cool and has easy shortcuts for quick page making.

Confluence for the Cloud cannot handle numbered lists well – it resets the sequence to 1 if you have other items such as a table or certain apps (such as /note) or similar included in the list. This is a major drawback if you have complex procedures to create. Don’t be fooled. Confluence is actually very, very expensive to own. The Marketplace apps are seemingly very cheap - even free, however, if you have a large user base, that £5 per app is automatically multiplied by the number of users, in my case the company has some 500 users, which represents some considerable investment, especially if you want the app to do something pretty basic. The included apps look like a good deal, that is until you start using them. These apps have not all been developed with love and care (or decent supporting documentation) and turn out to be inflexible, and format themselves according to how the developer has designed them. Plus, the apps are really not all that proficient. The styles are limited to what THEY consider you will use - which personally, I don't like. Their spell checker is inaccurate for the UK market. If you've been using the old template they now have a new one and upgrading existing documents may not always work. All requests for enhancements are handled by Developers and if your request falls under a certain number of 'likes' then you can forget having the enhancement - as is the case with the numbered lists (2 years and no improvement). The page layouts are restricted to their idea of what columns of information should look like and there is little flexibility. Changing the column widths is poorly implemented to using their presets which do not always suit. You can't include anything other than videos or photos (graphics) unless you purchase an app - useless for say using Excel Tables are 'clunky' to work with. There is none of the functionality you would expect from a more proficient word processor such as Word - forget such items as search and replace Overall, if I were to choose again, I would not use Confluence for anything more than a form of a notebook.
  • Simple text entry
  • Simple headings
  • Simple connection via links
  • Simple copy from other sites
  • Pretty good search for pages
  • Numbering sequenced lists with other content inserted - awfull
  • Page layouts / columns very poor
  • Styling restricted
  • Expensive apps to do simple operations
  • Word processing functionality next to zero
  • Inflexible design
  • Poorly implemented free apps
  • Free templates poorly executed
  • No search for out of date pages
I have worked in large companies where they have been overwhelmed by the various confluence sites. At the end of the day, document control has to be much better. Give confluence to developers and they run riot with half-completed pages or out-of-date material and very quickly the sites become a nightmare to administer. I would not recommend confluence where you have a serious library of documentation to maintain.

Confluence is a collaboration wiki tool used to help our teams to collaborate and share knowledge efficiently. With confluence, we can capture project requirements, assign tasks to specific users, and manage several calendars at once with the help of [the team] There is a great deal of content in most corporate wikis. Understanding which pages are the ones you need to complete a process or solve a problem is not always apparent. It often takes several searches and parsing through the results to find what you think is the right content. We have always [had] issues for centrally [managing] all wikis and team info along with all required data and collaboration with other automation tools along with we can get the maximum output and confluence having all the required parameters and smooth working while best speed and easy to use approach
  • A single place for all your documentation[.]
  • Break down communication barriers[.]
  • Reduce time-wasting context switching[.]
  • Navigation. Similar to other Atlassian products, users have complained that aspects of Confluence are difficult to learn right away[.]
  • An issue that users can face when using Confluence is attempting to edit a document while someone else is editing. Although users can access the document and save it, they are unable to see the changes happening in [real-time] that other users are implementing until they refresh their page. Some users have also noted that this can result in loss of edits.
  • Another drawback of using Confluence is its specific organizational structure. All information is stored within one page or project, although the page is able to be broken up into sections, some users do not prefer this style. Users can use the ‘page tree’ on each page to organize the different elements of each project.
Integrations Users can integrate applications into Confluence either through templates created by other applications or through other Atlassian products. Users also tend to integrate their Jira software with Confluence for streamlined project management. Integrating applications with Confluence can help users centralize and simplify project planning. [Atlassian] Confluence helps different divisions to maintain and organize information about Software Products we develop or just to create our own reliable source of [information]. It's the best ally when it comes to developing an onboarding process for new hires, it helps to create a comprehensive page that contains all the basics for the new developers.
  • Create, Edit and Organize pages
  • Create Organized Calendars
  • Confluence [is a]easy tool to create polls
  • For those who follow the SCRUM methodology, Confluence has everything you need
  • The user profile can be improved for a most modern looking
  • It has a good search engine by syntax but no by context
Confluence has been a very handy tool for organizing and adding new content to the knowledge base of my team. It works fantastic for an organization that has adopted and matured the SCRUM methodology. Creating pages to inform new employees about what they need to know is what we have done great. Again the tool can work for start-ups but I believe it's stronger for larger companies.

Confluence has been our standard company tool for years to capture, organize, share, and discover knowledge. Confluence is used by the entire company but enjoys high utilization with the technical software engineering teams. Confluence ensures that product architectures, partner integrations, and customer projects are fully and accurately documented. Confluence is also used externally to share common customer documentation, online help, and integration specifications to our product's platform. Confluence is the ideal tool for sharing structured and connected content both inside and outside of the company.
  • Basic wiki features (connected content)
  • Enterprise security and access control.
  • Rich text editing.
  • Support for code snippets and markup.
  • A huge library of plug-ins
  • Support for markdown is sorely missed by the modern software engineer.
  • Better support for searching and discovery.
  • Better support for collaborative editing of pages.
While Confluence may not be perfect, it has long been the gold standard for enterprise wiki software. Its enterprise security model, its support for a wide array of content plug-ins, and its relative ease of use make it a winner for any technical organization. Nothing beats the model of using a wiki to connect and manage your content. And Confluence does a great job of supporting this mission-critical job for most modern organizations.

We currently use Confluence as our primary document collaboration repository - everything from meeting notes, status updates, how-to documentation, business processes, etc are all stored inside Confluence. This allows for anyone in the company to obtain access to meeting information and policies from a central, easy to navigate system. Every team within the company has their own 'space' within Confluence to format and design how their team operates within Confluence. The amount of data we moved from various Word documents and PDFs has been staggering.
  • Document Collaboration
  • Configurable Notifications for Spaces and Pages (when things get updated or comments added)
  • Central resource for all documentation within a company
  • Costs continue to climb for usage - Atlassian has recently announced dropping support of on-prem solutions and forcing people to adopt their cloud solution
  • Segregated support - you may have to bounce between Atlassian support personnel and various plugin developers depending on what aspect of Confluence you need assistance with
  • Limited mobile functionality compared to web-based
If you're looking for a wiki solution that is either internal or shared with trusted parties, Confluence is well designed as an enterprise-level product for that project. It shines best as a company wiki and document collaboration tool - allowing multiple users to edit a page in real-time at the same time (similar to Google Docs). Permissions can be set at the page level or space level to further enhance a user's ability to find content relevant to them.

Ideal for

[Atlassian] Confluence is used across some departments within the company. Its primary purpose is to be a "knowledge hub" for content, information, training, etc for our teams. It's the go to place for resources about the product, metrics or to link out to various other resources (google docs, applications, etc).
  • Enables sharing and insights across different departments. Ability to see content in other departments.
  • Ability for all users to have public access to create their own content.
  • The features to embed different pages or documents makes it easier to remain in confluence and not have to toggle to different applications.
  • At times the tool is not always user friendly and intuitive
  • Building pages can often require a deeper understanding of more technical skillsets like HTML to build pages that display nicely
  • More documentation on building out pages would be helpful when it comes to building more advanced pages
[Atlassian Confluence] is a great place to store resources, documentation and share departmental content and knowledge easily.

Atlassian Confluence is used across the company, within several locations. Atlassian Confluence is an easy tool to use and connects several teams across the whole organisation. It addressed several communication backlogs and created a more convivial area to share quickly and efficiently updates on projects and steps to follow.
  • QUICK How-to Guides that can be generated and share instantly.
  • Automatic Email notifications of new updates in the Confluence area
  • Provides an easy at a glance view of the content similar to a book contents table
  • Formatting text can be a challenge to new users.
When you need fast updates and a one stop area to glance at priorities and new stuff on a project, Atlassian Confluence is a great tool. It is fast and easy to consult and provides many features that are helpful, such as the use of quick templates. Might be more user-friendly and intuitive.

Atlassian Confluence was originally used in conjunction with Atlassian's other primary project -JIRA- as a collaborative workspace which fed into JIRA for project management and oversight. It was originally used by our whole organization from creative to dev to PMS etc but we found that the structure and integrations were too limiting to be used so broadly. Primarily it wasn't conducive to a dev workflow with PM oversight. As such we have branched out to using other products as a more collaborative workspace while using Confluence more as knowledge dump as well as various wikis for different departments.
  • Functions great as a wiki
  • Excellent repository for SOPs and attaching frequently referenced technical documents etc.
  • Integration into JIRA if you use that for either project management or change control tracking
  • Over the past 6 years the feature set has not significantly expanded
  • Integrations with 3rd party apps (DropBox, Google Drive, Slack) is either through 3rd party plugins or rudimentary at best
  • Frequent interface upgrades and complicated permissions settings makes getting new employees up to speed fiddly in some cases
Confluence makes an excellent WIKI for internal usage and is especially useful for disseminating SOPs or position specific knowledge bases. In our usage we operate multiple call centers in addition to our dev/marketing focus. Confluence lets supervisors and management build knowledge repositories that is position specific and restrict access based on permissions. For our IT team, Confluence is a useful/easy way to create knowledge dumps, upload and manage technical documents, and even store things like backup decryption keys etc. etc.

Atlassian Confluence is used by entire organization across departments and geographies. Atlassian Confluence primarily acts as a central repository for all the knowledge that exists in the organization. The information is well organized in terms of pages and spaces and Atlassian Confluence acts as the first place to search whenever anyone is looking for the information. So it avoids reinventing the wheel by allowing to check if similar work has been done by some other team in some other geography which can be adapted or used as such.
  • One can subscribe to the pages and spaces and receive updates in the feed on their home page.
  • Searching the documents and content is efficient and one can make it more simple by adding labels to the content or pages.
  • Access to a particular page or space can be managed and only certain people can be allowed to view or edit.
  • The process to create pages and upload content is not that intuitive. It takes sometime for an user to get used to it.
  • Search works well with labels but not able to search within the documents and content accurately.
  • There is no way to export the documents to cloud storage solutions.
Atlassian Confluence is primarily suited for medium to large organizations where departments are replicated across geographies. This makes it difficult and imperative at the same time for teams on one geography to know what work is being done by the teams in other geographies. This avoids doing the same work again and enables collaboration when multiple teams are facing the same problem.

Confluence is being used across all departments of our company: IT, business development, HR. Each of those areas has it's own customised way of dealing with knowledge pages, but at the same time we are able to cross-reference and easily exchange information and details. We are also using a standarised sharing workflow, with the ability to control access on various levels, be it for single staff members, teams, or departments.
  • Integration with JIRA software is crucial for any software department that is also using other tools from Atlassian Suite.
  • Access control via team and team members sharing.
  • Easy control over documentation structure - creating links, embedded documents, folders structure.
  • Documents formatting can be fiddly and problematic. Sometimes we find ourselves in a situation, where we just use basic document formatting to avoid spending extra time trying to get more advanced formatting in place.
  • There is no way of real-time collaboration when editing documents in Confluence. This is a standard feature for Google Drive, and Confluence would heavily benefit of having a similar system in place.
  • General user interface is not exactly the most user-friendly. We had multiple cases of team members complaining about how complicated its interface is, and requesting extra training.
With all its limitations, I would recommend using Confluence to pretty much every organisation that requires a tool for advanced documentation control. By default, it is a software for team collaboration, but it can in fact do way more than just that. With just a little extra effort, you can implement integration with your existing Jira instance, implement documents templates, share and collaborate with your colleagues when creating complex documentation pages.

[Atlassian] Confluence is used in two primary ways within Cisco AppDynamics. The first use case is for internal documentation, where we use [Atlassian] Confluence across nearly all departments for documentation surrounding internal services, directories, glossary of terms, high level project planning, reporting and dashboarding, and policies/procedures.

The second use case is for our public facing customer documentation of our software. This saves use the time and headache of building our own solution to provide docs, and since our target customers tend to be in the tech field, most have familiarity with navigating Confluence's UI.
  • Straightforward display of page trees and click paths.
  • Fairly freeform content development that can be used for a variety of use cases.
  • Solid template support to help minimize overhead on repetitive or frequently used actions.
  • Good permission control with self service capabilities.
  • Excellent plugin marketplace with a near infinite set of solutions for any scenario.
  • Data Center is taking a back seat to Cloud. This leaves companies with internal policies against the usage of cloud apps for storing highly confidential data in a tough place.
  • Search in Data Center is wildly inaccurate.
  • Some "basic" functionality such as page views and document workflows only come with expensive add-ons.
[Atlassian] Confluence is well suited to any team. It is miles easier to configure, build content, and consume content than primary competitors such as SharePoint.

[Atlassian] Confluence makes it much easier to have fancy layouts and consistent documentation through excellent "macros" and templates. The overall system is so intuitive and easy to use, that there is little room to rationally spend time assessing any other solution.

Confluence would be less appropriate for a team that does not require long lived documentation or memorialization of decisions/projects. It would also not make sense for a team that wishes to keep information locked up and away from others, as the tool is more focused on making it easy to share information and be transparent about work and ideas.

We use Atlassian Confluence as documentation/wiki for the entire organization. It addresses our need for a centralized document management system. We call it wiki/intranet.
  • Version control of pages
  • Transparent and easy for users to use with minimal training to non-technical staff

  • Self-hosted so we don't have to share data with anyone

Atlassian Confluence is our central document system for Product Owners and Product Management. It is also our central workspace for team members to collaborate for Product initiatives and research. It is primarily used by our Product team, but is the source of reference for materials and work across the entire organization. It addressed the need of a centralized and organized repository of documentation, meeting notes, and research findings.
  • The template feature for creation of a "page" is really good. Default templates are excellent.
  • The ability to share and for our remote team to collaborate on it is easy to learn and use.
  • The tie-in to Jira and Slack are very helpful for some side-conversations
  • It can be very easy to end up with a disorganized mess if you're not careful with how you structure your setup and how many people you have creating pages in the shared team spaces
  • Sometimes you just can't get formatting for the page to line up nicely. A great example of this is with indentation and line spacing.
  • If you have alerts setup on a page and a person is making multiple changes and publishing each separately, you can get far too many individual alerts sent to your email
  • More technically minded people tend to dislike the user experience
Documenting meeting notes and action items to take away from the meeting. Assigning who is accountable to each action item and sharing those meeting notes with the team is very easy.

After several months of use, if you have not well ordered your meeting notes section and titled the page clearly, it will be a real pain to go back and try to find the details of those meeting notes. Searching in Atlassian Confluence if all you have is a rough idea on the page name or general section and that section contains a few hundred pages....not so nice.

Atlassian Confluence is a collaboration platform that we use in our organization to enhance the way we work and cultivate teamwork and collaboration through improved knowledge sharing. The platform is open and comes with a simple user-interface [that] allows our organization to build collaborative work spaces that allow our staff to work easily on various tasks and projects on time. It's reliable and has helped us grow our portfolio easily.

  • The platform integrates easily with other Atlassian platforms including third-party apps thus improving its reliability.
  • It's affordable and fits well in all organizations allowing them to grow their workflow easily.
  • Some of our less tech-savvy users had a steep learning curve in understanding how to use the platform reliably.
  • Customer support is available in English and this may pose a hindrance to users who communicate in other languages.
Atlassian Confluence is well suited in a scenario where a company aims to build sufficient workspaces and bring collaboration among the staff in order to double their productivity. The platform will organize and streamline the way you work and bring technology into the way you work thus enhancing your workflow and productivity.

Atlassian Confluence is used across the organization for knowledge sharing and collaboration. This is our one-stop tool to document all business-related research and any other info which we want to publish. This info can be easily used by other teams. Team calendars are also easy to manage using Confluence. Basically, for us, this is kind of a knowledge base that is easy to update and share.
  • Easy collaboration-Multiple team members can work on same document.
  • Integration with various tools like JIRA, Gliffy etc.
  • Search option is very good. We can easily find out related pages with few keywords
  • Restricted access option for better security.
  • Page share option is great to notify other stakeholders.
  • sometimes its slow responsive .It will be great if Atlassian can improve the UI response time.
  • More page format options should be there.
  • Not that easy to use for new users.
Confluence is best for sharing team documents with other stakeholders. Easy collaboration tool, multiple persons can work on the same document at a time. Easy integration with the JIRA board.
This is a heavy tool so not appropriate if you are working with limited network bandwidth.
We observed slow responsive UI many times.

Confluence is being used as a source of documentation across many areas of our company. I am in the technology department, so I use it mostly with our technology products. It helps share documentation easily across our company.
  • Documentation
  • Integrations of different charts
  • Permissions
  • I think the user experience is not the best. It is not the easiest product to use and doesn't have a great look and feel
I think confluence is good enough at documentation, but I think the user experience can improve. I use it specifically for documenting our technology products and sharing them with different people across the organization. I think it suits well for that purpose.

We use Atlassian Confluence almost like an internal Wikipedia for the entire company. It is a knowledge base and recording center for all information. Every department uses it and we use a lot of features in it. Each business unit gets a "space" to put their pages in. From there is it s directory/folder like structure with each page being a piece of documentation. Attachments are usually avoided in place of just putting the information in the actual page.
  • Markdown Support
  • Organization by document, folder, space
  • Ability to favorite or watch pages
  • Email digests of changes
  • Hard to collaborate/edit at the same time
  • Search is hit or miss
  • Feels SLOW to use
From an organization and read-only point of view it is very useful. From a content generation and user point of view it feels very limited. I would much rather create the document with co-workers in something like google docs and then just copy and paste it over to confluence. Like any knowledge base one of the biggest down falls is actually finding what you are looking for and dealing with "knowledge rot" as documents get QUICKLY out of date.

We are currently using it for all project internal scrum meetings to take notes, action items etc. It has been a great collaboration tool to keep everything centralized and assign tasks to members of the team. Also really like how easy it is to go back and view previous notes from earlier meetings.
  • Tagging
  • Assign Tasks
  • Link to Jira
  • User Experience
  • Ability to choose your Feed
  • Create your own templates
It's great for project teams in software development. Especially when there are members of the team that are already very familiar with Jira. However, when you throw in someone from an outside team there is a bit of a learning curve. But has been great for onboarding new employees to a project if they weren't there at the beginning because it lists everything in an organized fashion.

We used Atlassian Confluence across our whole organization. Our sales team, design and web development team and our client management team. We also used it to store all our systems and processes and communication.

What it helped us do was keep everything in one place and be able to find it easily.
  • They make great templates for everything we needed.
  • Organization of documents was decent
  • Having all their tools connected was a great asset for us
  • Finding our documents was confusing at first.
  • The organization and connection to their other products is confusing. Though they have been improving it slowly.
  • User management across all platforms could be improved.
Our organization was small but growing and we knew we needed something better to create and store all our documents. We originally had them spread throughout Notion, Google Drive, Dropbox and Evernote and we wanted to be able to bring everything together in one place and also be able to connect with other tools we were using.

What we found though as a smaller team it was a lot of work to organize and set up and we spent a lot of time on it when we should have waited until we were a little larger organization.

Atlassian Confluence is being used throughout our entire organization to document tasks, create meeting agendas, integrate with Jira to create tasks from meetings, create how-to articles on workflows and procedures, and much more. It solves many problems for us, though the main one is documenting knowledge of the workings of the organization so that others, including new hires, are onboarded faster.
  • It integrates seamlessly with Jira and other Atlassian tools to speed up workflow.
  • The text editing tools and options for Atlassian Confluence have come a long way from where they started initially.
  • Collaborative editing is fantastic when you have multiple individuals providing knowledge to an article or putting together documents.
  • Version control is a must and Atlassian Confluence does it well.
  • Importing documents from Google Drive would be fantastic. Exporting would be great too! Sometimes you need to share a document with someone outside of the organization and don't want to create a user in Atlassian Confluence for them.
Atlassian Confluence is great for a company looking to document any number of things while providing permission control, and thus access to those documents.
