I have been test driving Insightly for a while, preparatory to a product launch. We will be rolling it out to our organization.
  • It integrates well with email, without any fuss.
  • The interface is extremely simple and intuitive, so it is easy to use even intermittently, and pick up where you left off.
  • Upgrade path is fairly painless and logical.
  • When I edit a task, it is easy to forget to set a time for the next action (phone call etc.), so it might be a good idea if the system prompted you when you make an edit to a task, that you should update the due date.
  • it would be handy if overdue tasks (or any of the task windows) would have the option of ordering by name, or by company name, not just the one default by date.
  • In tasks, I use the free form description to keep track of contacts and/or attempts, with comments, it works, but this could be made easier, perhaps in line with prompting for the change in due date.
I don't see any obvious limitations, and in general I do like the "light touch," which is far preferable to some over-engineered systems I've experienced in the past.

I use Insightly to write the reports of all my students after each lesson and have the relevant contact details for each student and potential student that contacted me, such as level, time zone, etc.

I personally use Insightly to manage my sales prospects and maintain contact records. Insightly helps me keep track of who I've contacted and what our conversation entailed. I've added my business partner as a user as well, so we can each see who we've contacted throughout the sales cycle. I use the Organizations and Tags features to categorise the types of sales prospects I'm contacting, which helps keep my activity aligned with my goals.

  • Keeps track of email conversations and associates them with the Contact and/or Organisation
  • Allows the addition of notes and other project-related details
  • The interface and styles are a bit outdated
  • Sometimes it seems there are too many clicks required to accomplish a task
  • The relationship between Contacts and Leads, and the relative benefits of each, is a bit difficult to understand.
I think it's well suited for use within a business of any size with a need to manage a sales pipeline.

Insightly is currently being used across our organization to record opportunities, related contacts (CRM), resulting projects, and the tasks to completion. The use of Insightly allows us to see the conversion rate of opportunities to projects, to assign work, and view the progress of tasks on projects to completion. Additionally, Insightly allows us to build, record, and analyze our workflows.
  • Insightly is easy to use. Most functionality is logical, intuitive. It jut works.
  • When you do need assistance, the documentation, tutorials, and Help files are well thought out, and easy to follow.
  • Insightly provides wonderful feature sets at every level.
  • So far, I honestly have not found any functionality lacking in Insightly.
For a small business that needs CRM, project management, or process management, on a tight budget, Insightly fits the bill. The initial functionality of the free version provides all the basics, including some very rudimentary reporting.

Various departments use Insightly and track metrics accordingly. I use it for lead generation and tracking sales. It's convenient because I can create topics/tabs on the fly and the tool is useful even if you have limited information about your prospect. Salesforce, which I used to use, had almost too much functionality to be useful. Having a tool that is simple to use and doesn't require a specialist internally is preferable in a small, less than 50-person sized organization.

In our office, Insightly is used to manage and correspond with contacts, keep notes, manage file attachments, track tasks and so much more. As a client progresses, their file grows from being just a contact, to an opportunity, to a project, and every step along the way is tracked and managed by multiple departments using a single application. Beyond the surface level, there are reporting tools that can be used to export and analyze anything from productivity to quality levels, to internal service levels.

Insightly is suited for situations in which a project has multiple stages, is touched multiple times, needs for notes to be entered each time it is touched and requires follow up. I use Insightly to manage contacts and organisation details, log opportunities, assign tasks, and project manage projects. Insightly makes running my business possible. Without Insightly I would have to use multiple applications but instead I can access CRM and PM functionality from one application. As Insightly integrates with Google Apps for Work and Google Drive and Gmail, the process of managing communications and logging tasks and opportunities takes seconds and is less disruptive to getting work done. With clients I have enabled businesses to share business knowledge with their organisations. No longer having to forward on archived emails means staff can access emails related to an organisation or contact from Insightly. Past and present data is available. As Insightly is intuitive to use the learning curve is shallow but the pay back is huge. All startups should start using Insightly to enable the business to grow quicker and that growth to be controlled. The only issue I have with Insightly is that they do not have a re-seller partner program. Which is odd as the business model of SaaS is the reseller partner program. I have raised this issue with Google and they are just as frustrated as I am with Insightly dragging their heels on bring a reseller program about as promised. It is a great product which will have a positive effect on your business. Go for it.

I'm familiar with CRM systems, and at first, as a web cloud [solution] we used to have salesforce (Insightly previously). In my opinion, it is the best web based cloud CRM system available.

Our entire office uses and loves InSightly. We cannot live without the organization the task list provides and being able to add contact info that everyone can access is a big, hairy deal. And wonderful!

The product is used across the company as a CRM, and for document management and task management.
  • Integration with Gmail makes it very easy to use
  • Linking mechanism makes it intuitive
  • Drag and drop document management works well
  • Search functionality is very primitive. Would love the ability to use Google search functionality.
  • The product needs a proper backup solution. There is no way to backup documents stored on the system. It's possible to backup static data but not their links. And there it's obviously no restore option.
  • The mobile app is not fully functional and cannot really be used as a replacement to the web solution when on the go. There are no sorting options. There is no reporting. The home page that shows recent activity has not been implemented. And worse of all sometimes some attachments are not shown for some reason.
Insightly is very easy to use especially for Google App users. It lacks some basic enterprise facilities (backup option).

I use Insightly to keep track of the business development activity for my company. The main requirements are: prompt follow up phone calls, emails etc, and to keep records of previous interactions. Cross-linking tasks to organisations and projects is also useful. We are too small to have departments!
  • It is very easy to set up contacts, tasks, projects, organisations, etc., and to set up cross-links between them.
  • The task list provides me with a convenient list of jobs to do each day, and it is very easy to tick them as I do them.
  • Emails related to particular contacts or tasks can easily be saved with them - even if sent from outside Insightly.
  • It would be better if similar actions always worked the same way. For example if you edit a field, sometimes you have to save by clicking an adjacent tick box, sometimes a Save button [appears] at the top of the page, and possibly sometimes nothing.
  • Sometimes if you go to the detail on a list (say the contacts list), when you return you go back to the top. You should go back to where you were.
Insightly is a simple, pretty intuitive and mostly user-friendly way to keep track of multiple activities happening concurrently. Although I use it for business development, anyone who finds they have long lists of actions whose dates and priorities move around - such as project managers - could find this useful. It is ideal for a small business, especially as the free version does all I need.

We use insightly to track all activity in the sales pipeline from lead to project completion and payment. As a very small organization with several relatively small projects running at the same time, insightly helps to keep track of all of our clients and the work we are delivering to them. With insightly, opportunities don't get lost, they get followed up on; projects don't stagnate, they get done; and most importantly payments don't get forgotten, they get paid.
  • Insightly is great for pushing your opportunities and projects from one stage in the pipeline to the next.
  • We like keeping track of opportunity related tasks on our mobile devices, and also having a full overview of opportunities when not at the desk.
  • Using the reporting features is key. Daily and weekly checkups of where we stand help drive us into action.
  • I would like a more highly automated and integrated system of handling emails. Gmail is king, insightly shouldn't try to replicate it or draw a user away from it. I know Gmail isn't conducive to team sharing, but I don't want to be using two systems at the same time.
Insightly seems to be a completely acceptable way to manage sales opportunities, contacts, and project flow at a lower price than what you'd pay for the bigger brand solutions. Why pay for more than what you actually need? More complexity will probably cost you even more in lost time anyway. But I can't really speak for larger organizations with more specialized needs - nor do I know how well Insightly can be customized for such applications.

Insightly is being used by our marketing department as the database for our ongoing media outreach program. We use it to store all of our media contact information as well as notes on when contact was last made and what projects are ongoing with that particular person. We also use the built in email facility as it allows us to store emails directly within the contact record and also monitor if they have been read and attachments opened. The reporting functionality is used to manage each individual campaign. All contacts that are part of that campaign are tagged and included in a report which is then used to track marketing activities and results. After analyzing many similar tools, we chose Insightly because it allows us to associate multiple organizations with a single contact. This is particularly useful when working with freelance journalists because they're often associated with more than one publication. We couldn't find any other CRM that allowed us to do this.
  • Allows association of multiple organizations with a single contact. No other CRM we found was able to do this.
  • Allows tagging of contacts and organizations. Tags are a quick and flexible way to group contacts together and enable reporting.
  • Integrated email facility is very easy to configure and allows the user to monitor if emails have been read and attachments opened. Extremely useful for marketing campaigns!
  • Search facility is the best I have found in any CRM. A search on any part of a company or contact name will show results which for me is essential.
  • Interface is simple and easy to use.
  • It would be great if the Emails tab could be enhanced so that emails that have been opened are highlighted in a different color. This would allow the user to see at a glance what proportion of emails have been ignored. Currently I need to click on each email individually and its difficult to get an overall picture of how the campaign is going.
  • One of the problems I have is remembering to link an new contact and organization together after they have both been entered. It would be a good improvement if I could enter the organization and then click on a button to create a new contact and automatically link them together. This is just a nice to have that would prevent user error and potential un-linked entities.
I would definitely recommend insightly as a CRM for any project. One limitation with the free version is that limited custom fields are available (2 per category) but considering the product is free I think this kind of limitation is to be expected. The reporting tab is also slightly restricted in that not all fields between linked tables are available so if a project requires extensive detailed reporting it may be less suitable.

We use Insightly in our sales team. It helps us organize all our work as well as store all the necessary information about previous communication. Furthermore, it helps us organize and archive all the legal information with every sales case.
  • Organize work (tasks). We have more than 1,000 active clients and no human being would be able to remember them all. We use Insightly Tasks in such a way that no client can ever be forgotten.
  • Store information (files). We publish more than 40 advertising campaigns every month. Each campaign requires its own legal documents. We use the Files system within Opportunities to not only store these documents but to organize them perfectly.
  • Supervision: Reports allow the manager to track any kind of activity within the system.
  • We have many opportunities linked to a single client and it is difficult to find the one we are looking for. It would be very helpful if there was a way to sort them by "forecast close date" or other criteria to be able to find the right one more quickly.
  • People make mistakes. A very common one is marking a task as "finished" and not creating a subsequent one. Then there is a project or and opportunity without a following task. This makes it very easy to forget about the opportunity. It would be nice if there was a simple way to filter open opportunities without any open tasks.
Insightly is perfect for situations where there are many clients and many tasks dedicated to each one. It helps organize any amount of work.

  • I believe that Insightly is extremely cost effective and has simple pricing structures for our team.
  • It is very easy to use and does not require training for most users. There are no difficult plugins.

  • The IOS app seems a bit slow. I don't use it that much myself, but I imagine others do.

We use Insightly across the company as a tool to track our leads and opportunities. This allows us to see what is happening with all new clients and discuss in our weekly meetings. We can track the progress and where we are in talking with the customer and what level we are at. It allows us to track the closing of business and all the revenue.
  • We are able to move prospects to different level on the closing process.
  • We track the wins and loses of our clients.
  • We can project the revenue of each account closed.
  • I think they could do away with the extra step to place a "Note" on a contact. You click on the note, then you have to click New Note. Not sure why when I picked the note tab to begin with.
This has been a great tool to keep track of all my clients. I like the email feature. It links to the contact I have emailed.

We use Insightly to keep track of sales leads, contacts, and opportunities. Insightly assists with making sure the processes are followed and tracked for all of the accounts we manage.
  • Easy to manage - Insightly allows the users to be easily managed by the administrator which creates efficiency.
  • Ease of use - Insightly is very easy to use and understand how to input customer data.
  • The ability to link companies within Insightly allows for better transparency throughout the data.
  • Tasks - A popup notification for the daily tasks would be great to see when I first log into Insightly.
  • Sometimes the navigation between all of the data (leads, opportunities, contacts, companies, etc) can be cumbersome and difficult.
  • The entry fields do not seem as easy to input data and easily search for it for future use.
Insightly is well suited for smaller companies without hundreds or thousands of entries. I think larger databases would make Insightly slightly less user friendly than other CRM's.

Insightly is being utilized currently to manage our customer information and contact. We mostly have our inside and outside sales personnel using Insightly. To me, problems Insightly addresses are varied from allowing our outside sales team to view all contact and interactions related to their accounts but it also allows our inside support teams to access information from our outside team and be able to provide stellar support. It also provides our sales teams with a variety of variables from scheduling appointments to managing contact names or other pertinent and important information related to the accounts.
  • Tagging emails and other attachments rather effortlessly with the Insightly gadget.
  • Storing important information accessible to everyone in our organization or being able to keep things hidden if necessary.
  • Task set up is great and easy to utilize and pair with various organizations.
  • The gadget not working makes Insightly more complicated to use as we save attachments and emails via the gadget...that happens rather frequently.
  • Syncing Google Calendar with the task calendar has never worked for us...probably operator errors!
  • Pipeline somewhat "complicated" for our industry and use.
  • Tasks are complicated. I would rather it be as simple as adding something in a regular Google Calendar just being able to attach an organization or contact to that calendar event.
  • Insightly gadget for Google Calendar/Tasks...???
I feel our uses are for tracking our interactions mostly. I would like to expand our use to help us establish when we are due to visit an organization and set up reminder tasks from the last note or something along those lines and have it tag to our dashboard so all using it in our organization are able to see. I feel we do a great job of using Insightly in the application of tracking contact and interactions. I would love to be able to integrate into our Insightly customer's product selections and custom pricings without syncing with QuickBooks.

We're rolling out Insightly to the whole organization. It will help solve the problem of not knowing where we stand with the sales pipeline and revenue streams. Up until now, we could track actuals very easily, but didn't have a handle on projections, so weren't planning for down times or up times very well.
  • Import of data will save us a lot of time. We've been tracking projects in another system and didn't want to lose all that data.
  • Contact management that's shared with Google Contacts; although it's only a one-way sync (from Insightly to Google). I'd love to be able to manage my Contacts while in either system.
  • Task management ... and reminders. Although having another to-do list is problematic, we're beginning to transfer tasks to Insightly AND they can be systematic so that any project has the same checklist.
  • Two-way sync with Google Contacts
  • We're very new to Insightly and I haven't been very involved in the setup for our organization. Don't have a lot of suggestions for improvement.
Have already recommended Insightly to others. It's fairly easy to learn and to use. As with any CRM, you need to jump in with both feet ... garbage in is garbage out, so pre-planning and setup is worth some extra time. Try out different scenarios to find what works for your work flow.

  • Manage tasks. Insightly helps keep relevant tasks at hand and is very easy to work with.
  • Syncs with my email and calendar. Allows me to view all my business information together.
  • Helps me manage my customers' timelines appropriately.
  • Opportunity integration, to manage and track opportunities better. This may just be the way we have configured it but it does not work for us at all.
  • Salesforce integration - as I still have to use salesforce as a second crm.
  • Dashboard - love the way it looks I just can't make it work like we would like to.
Its seems to be well suited to decentralised companies with a mobile workforce. As all the information is cloud based it makes it easy to access from a variety of points with little to no computer experience. This allows a company to not need a network manager to help them manage their customer base.

By using Insightly we are able to manage our prospects through to them becoming valued customers. From lead generation through to managing our opportunities, Insightly enables multiple personnel and departments to interface and record vital information about our customers. With Insightly being cloud-based we are able to access our records at all times via Macs, PC's and the Insightly app for mobile devices. I would thoroughly recommend Insightly to other organisations.
  • Quick and easy data entry to input leads and then convert them into separate records; contact, organisation, opportunity, task etc
  • Linking to Dropbox and Onedrive means that all our Insightly users have access to the most up to date customer proposals and project plans
  • Extremely good value for money, there are systems out there at twice the price with half of the features and functionality
  • Sometimes it can be a bit slow
  • When converting a lead to an opportunity, not all data is populated in the new records
  • There is a bug whereby the role field in contacts doesn't always save

Insightly is being used by our business development and marketing groups. Additionally the two founders of our company use Insightly. We use this CRM to keep track of leads, convert leads to contacts, track our sales cycle, for task management associated with sales, and to organize our leads and contacts into specific target groups via use of tags. Additionally we use Insightly to keep track/record key emails and meeting notes. Our marketing group uses leads and contacts in Insightly for specific marketing campaigns. I am a relatively new user to Insightly (having used Salesforce.com in the past) so I know Insightly can do more for our company and I need to set up some time to learn more.
  • East to get started quickly; other CRMSs were harder to learn
  • Keeps track of clients and tasks associated with clients
  • Tracks our sales cycle
  • Too many email notifications when I make changes to a task, or input a task. I see in the user settings how to manage this but I still cannot quite figure out the right boxes to check for the level of notification I want (I only want to be notified when a task is due).
  • I am not sure how to link an email back to insightly when the email comes from a client (I know how to link to insightly when I send the email). With Salesforce.com i just had to "click a button" and the email was added to to a contact.
It's well suited to keeping track of sales leads and helping our company track the lead through the sale cycle to a won opportunity.

Insightly is being used across the organisation. It is my CRM and also links in with my accounting software, Xero. I also use it as my task manager, and for managing my sales pipelines and as a sales reporting tool.
  • Its simplicity is fantastic as this means I can record my data fast.
  • It is very user friendly which means it actually gets used.
  • I love that it connects with my accounting software.
  • I'd love to be able to sync with my email so it recorded contacts.
  • I'd love to be able to scan in business cards.
  • I'd love to be able to attach files.
  • I'd love to report from Xero sales in Insightly.
I think it's exceptionally well suited to small startups like myself. It is easy to set up, easy to use and has very handy features. I'm not sure it would suit large organisations, but then maybe it would.

Insightly is being used across the whole organisation. We manage clients, prospects, workflow delivering products and archive emails/notes.
  • Easy to manage contacts and company dbase/tasks and tagging specifics on companies- contacts
  • Integration with Gmail/Google drive works well
  • Improvement on (auto) backup options of all data added to Inisightly and not only export Insighlty field
  • More options to view data in an overview kind of overview (like Excel)
  • More custom option in listings view (what fields you want to show/etc)
  • A security option so that 1 can not delete unlimited records (first pending or another way to ask administrator)
It does what it does - a CRM for managing relations.

Insightly has provided us with a great way to manage multiple departments using the same platform and has improved our communication between departments. Currently we have our Sales/Marketing, Account Management, Operations and Project Management teams using Insightly. The pipelines and milestones have been exactly what my department has needed for managing internal projects and projects for clients. All our information (including emails) are able to be housed within a project as well as the progress of that project. This saves time and resources for us as previously this was managed between multiple platforms.
  • Houses all information for a project within one convenient location.
  • Easy to understand the program. We had multiple people with limited computer skills and they were able to pick up the platform and understand it quite quickly.
  • We had some difficulties determining how to use Leads vs. Opportunities as our business saw them differently than Insightly, but we're able to determine a way to use this that made sense to our business.
  • Limitation in the reports. The reports section is a little overwhelming and difficult to figure out, however the insightly support page has been amazing for helping to figure things out.
  • Limitation in sorting the information. When opening up the current listings it always sorts as alphabetical, which is hard to work with in a business with several projects on the move.
It's a great product and is great for what I need in operations but other departments/companies might find that Insightly still has a few things to work on and add for their clients.
