What is QuickBooks Online?

QuickBooks Online is a SaaS verison of the QuickBooks product. It contains all of the features found in the local version, features typical of similarly priced accounting software. The monthly fee for this service starts at $10 and climbs to $30 with the Plus version, which has the richest features. The base level allows for unlimited invoices and estimates, expense tracking, importing from Excel or Quickbooks desktop, data backup, mobile accessibility, and integration with many other applications. The Essentials pricing plan contain more automation, more bill and payment management, as well as inventory and time tracking, and the Plus package contains budgeting and analytic features.

I haven't used any other accounting software aside from QuickBooks Online in great enough detail to really compare any of them. Of the brief interactions I've had with competitors, the QuickBooks Online UI is much cleaner and easier to understand especially when it comes to customer invoice management. With QuickBooks Online, I've not had a reason to use another software.

QuickBooks Online is feature rich and easy to use. Overall, I think it’s better than any other alternative right now. Once the competition can match the features of QBO, and provide it at a lower price, I would definitely consider looking at the alternative. For now, though, it’s QBO.

We liked the fresh approach and the clean aesthetics of Wave, Xero and ZipBooks. However they all lacked the ability to customize a invoice template, which is sad to say, but that was the #1 feature for us, since we had existing customers that we didn't want to disrupt; i.e., not get paid as fast due to red-tape bureaucracy. The other apps may have had some of the features we needed such as Cash Flow management and bill pay, but QuickBooks had integrations that solved that also.

It is very easy and straightforward to use. The ability to use it from anywhere is what sold us. The online version is definitely more limited than the desktop version, but with all of the third-party apps available, we are able to make it work for us.

Quickbooks Online has more features than PayPal that I need for my business. I decided to stick with the online subscription service for now so that I receive support and updates regularly, and also because I don't want to drop a chunk of money to purchase the software version. I may switch to the desktop software version in the future to ultimately save on costs, but for now, I am happy.

QuickBooks Online was much easier to use across a non-profit where we needed people in multiple locations working on different servers to access the financial data at once, it also allowed us to connect our bank accounts to the software which was a huge benefit of the program, these were main differentiators between the online product and the desktop version that we trialed. We have also used Wave in the past for accounting and still use it for it's invoicing features because of the nice invoices it creates for our organization at no cost. Microsoft Excel is what we used before Online version so QuickBooks is much more advanced than that.

They are tough competitors. I believe each has their own strengths and weaknesses. Overall, QBO is slightly less expensive than Xero (at the moment, at least), so that is a plus. The real reason that we went with QBO in the beginning is that it was a more mature product, and it is easier to have as many clients as possible on the same platform for a variety of purposes.

Tried Xero briefly but did not like it. Seemed less well organized and used too many terms commonly used outside the US. Xero also lacked payroll processing at the time. We looked a couple lower end products but did not like them. You cannot go wrong with QuickBooks in the US. It's the market standard.

QuickBooks Online is more powerful than FreshBooks from an accounting perspective. FreshBooks specifically says it does not intend to be an accounting package - they do not keep track of the "Balance Sheet" side of things. This causes clients to have a lot of confusion on how they should track things like their owner draws and things such as this. They just do not like being told "Well, FreshBooks just doesn't track that for you - unless you record it as an expense and remember it's not really an expense just a "place holder" for tracking the amount." They want software the does everything they want it to do.

I haven't looked at too many competitors in the past few years. We have a few clients that also use FreshBooks for the invoicing, which seems to work well, but it is definitely not a full accounting package. I still prefer QuickBooks Online's invoicing over FreshBooks'.

QuickBooks Online and Xero offer many similar features. I believe QuickBooks Online is easier to use. Xero offers tax features for companies that operate in other companies that you have to turn off in several locations if you are using it for a US company.
