What is Zoom Workplace?

Zoom Workplace brings communication, employee engagement, spaces, and productivity solutions together on a single platform with Zoom AI Companion capabilities woven throughout. It is designed to streamline communications with AI-powered tools that work together through solutions like Meetings, Team Chat, Phone, Mail & Calendar, and Scheduler. A chat can be elevated to a meeting or phone call to get to a resolution faster, and the solution drives productivity with products that are built for modern work through solutions like Whiteboard, Clips, Notes, Surveys, and Docs.

We use Zoom across our company; some users have the free version, some users have the paid version. If we have people who go on long online meetings, we get them a paid account so they won't be kicked out of their session after 45 minutes. Zoom is used for remote client meetings, which require screen sharing, passing the control of screen, and recording the online meeting.
  • Connecting and testing sound (microphone test included) are super simple unlike its competitors; where you can't test a mic and will find out after connecting that people can't hear you.
  • The screensharing and passing the control to someone else is super simple.
  • Zoom is great for recording meetings. I've worked with other platforms where the recorded material is either in a non-generic format, or it has to be recorded on the cloud and you'll run out of space sooner rather than later. Zoom gives you some options: sound only, with video. Then you can choose to record it on your laptop or keep it in the cloud. I've had meetings for an hour and was able to easily send sound only ma4 files via email to participants who couldn't attend. It's very user-friendly.
  • If you aren't logged into your account and you are hosting a meeting, when you follow the link to join the meeting, the system says: wait for the host to start the meeting. A simple link that says "if you are the host, login here" would save a lot of hassle and panic if you're late to your own meeting.
Zoom can be used for any business meeting, including internal meetings where a presentation needs to be saved to be viewed later. It is also great since the free account also allows meetings up to 45 min if you will be done quickly.

Zoom is being used across the organization of around 20 people. Our team and clients are often distributed across the country/world and we run a lot of meetings on the phone. If possible we like to do meetings face-to-face so Zoom allows us to do that when we can't physically be there.
  • I like the way that Zoom allows you to see the faces of all the people in tiles during the call and you have the flexibility to minimize them and change the view.
  • As well as video you can also share the screen which is particularly helpful to remote meetings where you are presenting with a slide deck.
  • Setting up a meeting in Zoom is self-explanatory, so it makes it easy for new team members to get started in the tool
  • You have to download a program to start using Zoom which is a little annoying if I am using a different computer and I don't factor this in before trying to start a meeting.
  • It's hard to use on a phone if you haven't downloaded the app and got everything set up properly.
  • I wish they offered an option where you didn't have a conference meeting ID the way uber conference does, it would make dial in much faster.
Zoom is well suited to organizations where you have a remote team or do a lot of client meetings with people in different locations. It's not good if you are a mobile user as the mobile functionality is clunky and hard to do in a pinch. It is also not good if you are using different computers regularly as you have to download it for each machine before you can use the software.

Zoom is being used across the organization both internal facing and external facing conversations to conduct collaborative meetings. It solves problems of sharing presentations and recorded meetings, collaborative ideation, company updates and allows our sales teams to conduct demonstrations with high definition Audio/Video. We reduce the reliance upon projectors and it allows for multiple tools and processes to be consolidated under Zoom.
  • Zoom can activate at the click of a button or upon entering a conference room. This relives some of the frustrations of calling through conference phones and simulaneously use of multiple screens and projectors. It is all in one upon launch.
  • You can create internal meetings on the fly using the room selector or join meetings in progress that are scheduled. Again eliminates issues with calendaring and allows for more participation as you do not have to search your inbox and open up multiple screens.
  • From a client or customer or prospect facing perspective you can share screens, demo, and record presentations all with a few clicks. Very intuitive.
  • It enforces participation and attention to detail as you can see who is not paying attention or body language when you have the video/webcam/conf room camera open.
  • Launch with Video On Default. When you are presenting to external clients or customers and if they are not aware of Zoom, default settings launch Video. Creates some confusion at the onset of calls/meetings. A Message within the Meeting Invite - Join Conf Call. Join Conf Call and Video Links could solve some of this and still allow for attendees to join screen shares or presentations through a redundant step.
  • Echo and Microphone Feedback and Reverberation. Plain and simple.
  • Pushing down updates through the admin with how to's for distributed teams and remote offices. When you have an admin 3000 miles away off hours and the equipment needs an update and the hardware needs to be reset, a further level of communication needs to happen by both Zoom to Account Admin to remote or field and redundant from Zoom to remote or field users. Keeps everything working and reduces resources and helpdesk calls and improves customer satisfaction. Expecting something to just work downstream . and putting it on an Admin to re-communicate updates, could jeopardize a half day of conference calls.
  • Launching computer audio vs dial in or web based teleconferencing equipment. Computer Audio aka Laptop Mics and Speakers have terrible audio profiles. When you want high def audio in a home theater, you do not rely on the TVs speakers. You buy Bose, Sonos, etc. It needs to be communicated that some defaults use the computer audio which is sub-par for the others participating in a conference or meeting. Helping users of Zoom to use preferred or dedicated conference equipment lessens the impact of poor audio due to a laptops speakers or microphone. If you have to use a computer speaker and audio, it is what it is.
It is well suited for internal meetings and face time calls with internal remote and field staff. It also performs well with external conference calls, customer meetings, and demos.

I have dozens of clients, each with their own preferences for conference tools. Zoom is just one more nameless entrant in this very full space. When clients send me Zoom invites I use it. Otherwise it is not even on my radar.
  • Zoom meets minimum expectations for video conferencing.
  • Zoom isn't annoying, so it's much better than Skype!
  • There is nothing notable or interesting about Zoom.
  • There is no obvious value of using Zoom over Hangouts, Webex, Skype, or just a phone call.
It's one of many with nothing distinguishing it. Coming up with pros or cons for Zoom is a bit like evaluating a Toyota Corolla. It works. It's not annoying. It's nobody's first choice because it's got so little mindshare. However, for the few clients I have who prefer it, they strongly prefer it. But hey, everyone prefers using what they are used to using, right?

My team uses Zoom for all our online meetings now. We very often have meetings with clients online, and were looking for a simple, effective, professional system to use that would deliver high quality calls (both voice and video) and was easy to use for our clients, so they could get set up quickly on the meetings.

It's perfect for businesses who have lots of one-to-one meetings or demos for their products/platforms. We never however had a meeting with more than 3 different people connecting from different places, so for meetings with more people, so it would need to be tested if that is what you need it for.

Zoom was being used for several reasons. Mainly as our inter-office communication tool, team communication tool and also as our mass "one-to-many" training we gave customers. We would have anywhere from 1 - 5 presenters presenting to as many as 300+ persons in a training session at one time. It was used throughout our organizations and many of our partners and vendors wanted to utilize it, so much so that we brought most training in house and would host them on our Zoom platform.
  • The immediate chat to video call was used heavily in times when a chat needed to be something more. I think during budgeting where a routine question becomes a cross departmental discussion is a perfect example of how quickly and seamlessly that could be spun-up.
  • The Zoom Webinar platform is so robust that we started to use it to replace our regional training, saved time and effort and saved customer their travel budget by hosting day-long training with multiple break-out sessions intermingled with general sessions, all on one platform.
  • As an administrator it was easy to manage users, see realtime data on usage, capture issues, and ensure policies were being followed.
  • We had a technical glitch during a meeting where we were booted out of the conference room. IT was a fairly important meeting to have that happen in. We got technical support but it took weeks to find the issue, and required our telecom tech support as well. It was never fully resolved and while it never happened again, it did lesson some leaders belief in Zooms reliability. The glitch never happened again though.
  • Account rep kept pushing the Zoom Room and we made it clear we did not want to go in that direction, that became annoying.
I think Zoom is well suited for almost any application. Any size of business, especially small business that wants flexibility. It is great for sales because I can so easily convert from a conference to a video call seamlessly. If you are looking to scale back on web/video call then Zoom is not the best tool because of how they do their account admin by person it becomes hard to share a line within a department.

  • Easy to start/schedule and log on/dial into a meeting.
  • When external users click on link, they are quickly added to meeting. Time is saved by not waiting to download software or, even worse, unable to join the presentation.
  • Screen sharing and changing presenters is very intuitive and seamless to avoid unnecessary pauses and delays in the meeting.
  • Nothing comes to mind at the moment. Very easy to use and use it several times a day.
Very well suited for formal meetings and presentations.

Zoom has made it easier for our organization to interact with the outside world. It works across all major platforms and is very user-friendly. The latter is particularly important to us. Many of our challenges were related to people outside of the organization using our video conferencing platform and having technical difficulties.
  • Audio control is great. We can quickly and easily ensure that participants are not talking over one another. We can also take care of rogue microphones much more quickly.
  • The user interface is very clean and intuitive. Someone using it for the first time can easily navigate it with little or no assistance.
  • Zoom runs on all major platforms (including Android, iOS, and Linux). Having a solution that does not exclude users based on their OS or device type is a requirement.
  • I have occasionally had an issue with the Zoom plug-in for Microsoft Outlook. It's a great feature; very useful for scheduling video chats. However, it has occasionally needed to be disabled. This was a while ago, so they may have already fixed this issue.
We find it useful for early rounds of interviews; it saves time and costs related to bringing every individual onsite, particularly when some of the people involved in the interview process may also be offsite. Very efficient.

We use Zoom for webinars and other events where we connect media with research institutions. We also use it to keep our international remote team connected. It is being used across the whole organization in different departments. We wanted to offer webinars and bring people together, and Zoom is a great tool.
  • Excellent customer service. Their team is always responsive and attentive.
  • Very easy to use and aims to think ahead offering different ways to join the meeting (phone, smartphone, PC, tablet).
  • Very intuitive and non-tech people friendly.
  • We would like to have a report of all the hours per account
  • Ability to add the personal Zoom room as a contact and be able to join in one click in the same room
  • Having the opportunity to add or remove sounds from alerts in the chat
Zoom is an excellent tool for organizations who wish to host webinars, keep their teams close together, collaborate with colleagues. It might not be the best option when you have a lot of other 'heavy' software running as it tends to slow down the computer. We have to always have it on and I had to delete a few other programs.

Zoom is used for all of our web meetings both customer facing and internally to connect our East and West teams. Zoom is lightweight and always works. The cost is cheaper than using WebEx or GoToMeeting.

We use Zoom for group meetings, especially monthly staff meetings which involve staff all around the globe. We have around 200 core employees spread over 5 continents. It enables us to interact in a more visual manner with remote staff and is also lighter than WebEx from a broadband perspective.

Our entire organization uses Zoom for web conferencing, both internally and with clients. Many departments use Zoom for regular internal meetings where there are remote employees. It is also used with the video conferencing system in our meeting rooms for larger group meetings. We needed a more reliable web conferencing platform so we could integrate with other tools/systems and provide both VoIP and phone audio options to users.
  • The user interface is easy to use and work with.
  • The scheduling feature is simple and easily syncs with your preferred calendar tool.
  • Multiple audio options and video quality is great.
  • Integrating with Marketo to host webinars is a pain.
  • Some of the default settings are unexpected and may cause some on-boarding issues.
Zoom is a great tool for organizations that require a simple yet powerful video conferencing platform for remote teams. Its fast and easy to host and join meetings, along with screen sharing and chat. The only drawback with using Zoom for client meetings is that many do not already have the software installed, so it may take longer for users to log in to their first meeting.

We schedule all of our client meetings and internal meetings using Zoom Software. It is integrated into Gmail (our primary email service) as well as Google calendar. The zoom plugin allows for easy dial in information to be placed in a calendar invite. It's pretty simple!

I used Zoom in my previous position as a freelance social media consultant, and when I moved into my current role, I introduced Zoom to the school where I work. We have used it for parent education webinars and for video conferencing. On the parent ed side, it helps us offer high-quality programming that parents can access from home without the hassle of having to find child care. On the conferencing side, it helps us collaborate with our colleagues on our sister campus 40 miles away.

Our entire organization uses Zoom - mainly for meetings with outside clients, but also for group meetings including remote employees. I have found that out of all of the video conferencing services I've used - Zoom is the easiest for people with no knowledge of it to install and use. It only takes a few minutes to set up - and we have only had a handful of technology-troubled people find issue with it.

Zoom is a smooth and great-working video conference solution for companies that exceed 300 or so employees. Having previously used BlueJeans, I can tell you this is far superior in usability and the ability to have company meetings without the need for IT interception or finagling. Zoom is also embedded into calendars to allow for easy meet scheduling.

Zoom has been used for our inter-departmental meetings. It is a great collaborative tool and helps us interact better when we can see and talk to each of the participants. It has also helped us to take a call at anytime anywhere without having to look for a phone or cell phone. It has immensely helped me during my work from home days when I can easily set-up calls and be part of the discussion.

Zoom is the most recent web meeting product that we've turned to after reviewing/vetting/using three different solutions over the past 2 years, and we've found Zoom to be our favorite. Amongst the other products we either subscribed for or tested were JoinMe and UberConference - and at a previous company, I used GoToMeeting for over a year as well. Overall, we feel Zoom to be the superior product in the web meeting space.

We use Zoom throughout our organization and for different roles; sales, customer success, and marketing all use Zoom (though marketing uses Zoom for their webinar functionality predominantly, and that has served us quite well).
  • Zoom has been the most stable of the solutions we've tested - our sales team operates globally, and with solution like JoinMe and UberConference (smaller companies, to be fair), we've just had major issues. Zoom has been the most stable of the products we've used by far; I feel it is on par if not superior to the reliability/quality of GoToMeeting, and much more established product in the space.
  • Zoom does a superb job of giving control to the presenter - the presenter has numerous options available to them, beyond simply sharing their screen. It's easy to mute someone else's microphone when feedback occurs, or to share control/hosting rights with others. You can even lock a meeting to prevent others from joining prematurely.
  • Lastly, Zoom offers reliable recording, something that UberConference specifically lacked and what caused us to ultimately migrate to Zoom. It's clean, simple, and works exactly as expected.
  • Video on by default - Zoom assumes that by default, you want to connect with your webcam. It assumes that those calling in/using Zoom for the first time want to do so as well. It has created some embarrassing situations for some who weren't aware their cameras were on by default. This has to be turned off by a setting.
  • Heavier footprint - you can't use the Zoom service for screensharing without downloading something. That was one of the best things we found that UberConference had going for it, since it didn't require a download. Occasionally, those we work with are prohibited from downloading new software like this, so we're out of luck to meet with them unless they have their own preferred/approved solution. This is definitely an occasional irritant.
  • Requires Internet/Data Connection - without paying to upgrade for a personal conference line, you must "start" a Zoom meeting in order for participants to be able to call in... there is no bridge that exists that attendees can simply dial into and be good to go, without a host first "starting" a meeting, which requires either an internet connection to do so via a laptop or a data connection to do so via a phone. This has been surprisingly frustrating, and upgrading to a personal conference line was prohibitively expensive.
Zoom would be a very good fit for any/all internal company meetings, and seems to have been designed with this use case firmly in mind. When all attendees already have the Zoom package downloaded and their settings customize to their needs, it would seem to be an effortless solution and very reliable.

Where Zoom can be frustrating is meeting with external parties who may or may not have security policies preventing them from downloading a package like Zoom requires. Still, Zoom is popular/large enough that this is a rare occurrence.

We are using Zoom across the organization. It's easy to use and they provide great support if there are any issues. Bonus, they fit your conference rooms with cameras and sound for optimal video calls! It's also easy for our customers!

  • Have to stop sharing your screen to allow someone else to share.
  • Auto set to show video. Not always ideal with external vendors as the default.

Zoom is used to conduct office hours with students and for very large team meetings. It is primarily used by members of the class team but also by marketing to record webinars. It's also used for the monthly team meeting of 30+ attendees.

The class team started using it for students when Google Hangouts failed and the class team will switch to using Zoom for team meetings in the near future.

  • Great that you can share your screen and still have your face visible for attendees.
  • It's very cumbersome that you have to download an app in order to use Zoom.
  • It's hard to switch between multiple Zoom accounts
Zoom works well for large groups. It does not work well for people who have older machines or are not extremely patient with tech.

We are primarily using Zoom for meeting clients and partners outside of the organisation, but all of our internal meetings (which are fewer than our external) are hosted using the Zoom platform.
Zoom makes it simple to have high quality video conferencing on any device, without having to train the end user on how to use the platform – since it is so easy to use.

My organization has development and IT operations staff between 3 different remote offices, as well as several users who work from home. We use the agile methodology with one of the core tenants being that there is a daily standup with all team members attending. Zoom is the communications service of choice that allows for distributed teams to collaborate using open standards protocols on hardware with multiple monitors to show both the attendees, a presentation and still hear audio. For users who don't have a reliable internet connection, phone dial-in for a meeting is also available. Zoom is primarily used by the IT group but is also gaining traction with the executives, HR and legal teams who also sometimes require the use of remote communications.
  • Service quality. If you have a sufficiently fast, reliable internet connection, the Zoom video conference service is rock solid.
  • Ease of use of the "Zoom Rooms". Users just click a button on an IPad mounted on the wall, and the Zoom hardware initiates the call.
  • Use of open-standards based technology. Zoom can be used with Polycom hardware, Zoom Rooms, Cisco, Lifesize hardware, etc.
  • Zoom rooms do not support calling outside of the Zoom network.
  • Unable to disable some services. We don't use the Zoom chat (there are better alternatives out there), but you can't completely disable it.
  • No automatic updates on the Zoom desktop client. You have to remember to go in and check the software for updates.
Zoom is well suited to facilitate meetings between remote locations. All you need is an internet connection (2 meg or more up and down is ideal), a camera and a computer. The client is simple to install within common browsers and in organizations where ADFS or other SSO providers are available, SSO makes provisioning accounts (free or paid) super easy.

Our whole company uses Zoom for meetings, which is especially important since our employees are spread out through the country and across the Atlantic. This addresses the major issue of communication between different departments and offices, and its ease of use makes it well worth it for us. Zoom is the best product of its type that we've used so far.

Zoom is perfect for meetings involving people spread across different offices during scenarios where they need to brainstorm or report new information. The incredible thing about Zoom is that you won't suffer any productivity slowdowns, and it feels as if everyone is sitting in the same room. It is also useful for company wide calls where a small number of people are speaking to a larger group.

I use it to conduct video meetings and training sessions with my clients using the both the remote control functions and video screen sharing functions of the software.
  • Video Meetings, easy to use, lots of options
  • Ability to use custom backdrops via a "green screen"

  • Remote Control of other computers for doing remote support seems like a bit of an afterthought
Video screen sharing, webinars and training sessions is where Zoom really shines. If you want to use Zoom for remote support sessions as a primary function, then look elsewhere.

Zoom is being used in 2 different capacities for NumberCruncher.com. The first is for our daily product demo's of all orders, where new users are able to register and attend any of our 4 different live product demo's. Each demo is of the same software, but focused on a specific industry. The other avenue it's being used for is our weekly training Q & A Webinars, where current users can login with our trainer and ask any questions they may have on the All Orders software
