Xactly Incent for a medium sized organization
We used Xactly Incent and Analytics to manage sales incentives (quotas, stretch goals, base and kicker commissions, cross-sells, and other forms of incentives) within our organization. We had 4 business arms and the largest one within the US incorporates about 100 people and half of them were in our sales teams. With 2 managers having about 40 DRs with multiple “plans” within Xactly with attainment logics.
- Calculating group plans for managers who didn’t get quotas but received revenue as a percentage of their DRs earnings
- Using logic to differentiate different commission structures by product
- Nullifying product commissions even if they generate revenue for those that do not qualify for commissions
- Having proper org charts and detailed information on license types
- It could have better ways to edit plans
- Breaking quotas requires a monthly calculation instead of the system automatically pre-populating it after receiving the annual quota amount
- Breaking the system between analytics and Incent

Xactly Incent is a Very Good Product
My company switched to Xactly Incent after running into contractual issues with our previous compensation software. They have been rolling out our implementation in phases. They were able to start our initial implementation very quickly, allowing us to avoid the need to manually calculate commissions when our previous software was shut off at the end of 2020. We currently use it for commissions and bonuses for our sales teams and are working towards expanding functionality to include bonuses for technical resources and sales SPIFs.
- The team we have been working with at Xactly Incent has been fantastic. They have been able to efficiently translate our needs into functional design in Xactly and have been very quick to fix any issues that we have uncovered. Additionally, they have been very responsive to feedback and suggestions.
- The analytics module offers a lot of flexibility for building out additional reporting and complements Xactly Incent very well. It is relatively easy for someone with moderate technical ability to pick up.
- Xactly Incent does what we need in terms of commissions and bonuses. Results are accurate and are able to be processed daily in a reasonable amount of time.
- Xactly Incent offers a wide variety of training on all of their different modules, including incent, analytics, and connect, allowing a high degree of flexibility if a business wants greater control over their configuration.
- Xactly Incent was built with monthly and quarterly periods in mind. A business that uses a weekly or bi-weekly cadence for commissions requires a more customized implementation and will need to use analytics reports to supplement the built-in reporting.
- Maintaining it can be clunky. There are many places where it feels like it could be more streamlined. For example:
- *We needed to create copies of all compensation plans for 2022 even when there was no change to the plan configuration.
- *When working with the hierarchy, there is no way to upload a small set of records to add to an existing version. Either the full hierarchy needs to be re-uploaded, or each record needs to be added manually.
We have been continuing to work on expanding our ability to calculate compensation so we have not been able to work on this sort of analysis.

Xactly what we needed!
Xactly Incent was onboarded in 2016. Prior to 2016 commissions were completed using a home-grown database and many, many spreadsheets. Xactly was able to integrate the home-grown database into their program and eliminate most of the manual processes that were in place. Today Xactly Incent is working great with our new updated systems (Dynamics, Salesforce)
- Prior to 2020, we paid commissions on when an order shipped. This could be a year or more after booking the order. Xactly has the ability to look backward at quota attainment, rate, and comp plan details.
- The new year comp plan set up is pretty easy and once it's set, you can trust it to work
- I really enjoy their training classes. I've always learned exactly what I needed to and they give you a good baseline to understand how to figure some things out for yourself.
- Xactly offers some free training and certificates, which is great.
- I don't care for the "buckets" used for reporting. It would be nice if I can get all info in one report i.e. contract #, customer info, product info, item amount, attainment info, rate, calculation, payment, etc. This would eliminate the need to vlookup multiple reports.
- Add a "select all" option on the download report icon. This would eliminate me having to delete one report at a time, which wouldn't be so horrible if it was just one click but it's not.
- Updating the layouts of the exported reports and onscreen reports is not that user-friendly and is very time-consuming.
Having the ability to label each type of commission and bonus allows for senior management to evaluate the cost of the programs and then determine the effectiveness of the program. This has really helped to streamline the companies priorities and utilize our resources where we see tangible benefits.

Xactly - delivers almost exactly what's needed
Xactly is used to issue commission plans and calculate credits and commission against those issued plans. Plan types are varied ~35 versions across ~800 users. Xactly gives end-user access to statements and transparency to commission calculations which can be tied back to source system data, allowing reps to spend less time reconciling data and more time selling.
- Processing large quantities of data in a short space of time against a set of specific rules.
- Ensuring accuracy and consistency of data across large volumes of calculations.
- Giving end user visibility as soon as data is processed.
- Allowing users to raise queries directly in the system.
- Give advance notice of roadmap deliverables. eg expected in 6-12 months.
- Provide ability for users to append screenshots to queries made via the application.
As year on year data becomes available, a larger source data set is established. Assessing the achievement against the specific terms of the commission plan each year allows management to identify the elements that really incentivize - it's not always the items that are expected that bring the best results!

Xactly gets the job done with the right admin experience
We use it for sales, sale engineer, SDR, PS, and CS commissions. Our comp plans can be complicated and there are several components to keep track of for each. We're solving for paying commissions accurately and providing visibility into how commissions are calculated. We also have spiffs added in the middle of the year.
We do monte carlo analysis every year to make sure we arent coming up with any crazy incentives and stick to industry benchmarks for overall commission rates. The majority of the work goes into the account executives as that is where the largest quantity is and where the biggest risks are.

The right tool for dealing with complex compensation plans
Xactly Incent offers many programmable options required to design complicated and unique commission plans and calculate commissions automatically. The customer service team responds promptly to inquiries, and the case portal used to contact their team helps you track any issue from beginning to resolution. It is time-saving and helps us to reduce manual calculations for commission bonuses and other incentives. With Xactly Incent our team can be more productive and mitigate any risks or human error. Xactly Incent also helps sales reps to have visibility of their monthly commissions earned through their incentive statement.

Xactly - excellent system if you are willing to make the investment
- Our organization uses Xactly incent to calculate and communicate incentive payouts for over 100 different roles across multiple business units. - We pull data from multiple finances, HR, and sales platforms to perform these calculations on a monthly, quarterly, and annual basis. - Commission payouts are communicated to individual employees and management through the Xactly Incent statement function - We also provide reports for management through the Analytics module that helps summarize key findings on commission expense.
- Handles a wide variety of incentive types (commission, target-based bonus, bounty, kicker)
- Integrates data from multiple platforms to perform calculations
- Refreshes key data overnight so employees can track their earnings progress daily
- Allows for sending and archiving of incentive plan documentation, including electronic signature acknowledgment
- Xactly Incent requires a significant amount of programmer support to maintain.
- Employee statements are not particularly customizable, which can make it hard to communicate certain types of incentive calculations
- Xactly Incent does not provide management with an easy way to view aggregate commission payouts
We regularly use data from Xactly Incent to monitor compensation expenses across a wide variety of metrics. Xactly Incent proved very useful to us in identifying business units that were overpaying employees and reducing profitability. It also allows us to easily calculate average payouts for individual roles/job bands, etc.

Beats Spreadsheets!
We currently use Xactly for our whole Sales organization. We have just launched the system at the beginning of our fiscal year and we have successfully added 3 out of our 7 Sales departments into the tool. It's been the best thing to happen to our organization regarding compensation. Our success rate is high and our Sales teams love the interface. Previously, I was calculating commissions out of a Google spreadsheet; and while working on numbers manually can be easier to adjust, it was costing me my time to work on other tasks. Xactly helped me better my time management and prevented mistakes that I would make on a spreadsheet. I would always recommend Xactly to anyone who is dealing with complex compensation models. It's no wonder they are a top leader in their field.
- Provides a detailed drilldown of the deals Sales reps close and their commissions for deals
- Provides clean dashboards and reports from the Analytics section that provide us real time data
- Syncs with our Salesforce instance to automatically load orders without us having to add anything manually
- Interface seems a little outdated
- Many tabs that can be reduced since many of them point in the same direction
- Adjustments to orders can be a little complex (should be as easy as manually adjusting an order in a spreadsheet)
We are constantly analyzing the trends on payments released and sending this data to stakeholders to better improve our sales organization. If we notice payments are usually higher in one team compared to others, it gives us an idea on how we can improve on these areas for future months and quarters.

Xactly promises made and promises kept!
Xactly is used by our US and International sales team members. We also warehouse bonuses which are calculated externally to have a one source location.
- Easy to upload batches.
- The admin can perform certain processes without waiting until process cycles occur.
- User can easily access the system.
- Setting up calendars so that they appear on the Analytics reporting needs to be improved, There are entirely too many steps in this process and I always have to have the Support team assist with this process.
- Needs to have a method so if one rep in a batch has an error, you do not have to remove, re-upload, and process the entire batch.
- It would be great if actions taken would have immediate updating to the various reports, so you are not waiting on the 2 hour processing to occur to see the results.

Comprehensive Tool to Help with all of our Sales Commissions Needs
Xactly Incent is currently being used by our company to manage our global commissions process. There is one central team that maintains the people records, and a few individual teams across the globe that process the commissions portion. On a monthly basis, these teams upload the company's results and utilize Incent to calculate commission payments for our sales employees. Because of Incent, we are able to customize plans for our individual sales teams, which makes processing these commission payments a lot easier.

Xactly Incent for Internal Use and Customers
We have used and implemented Xactly Incent internally and at customers to calculate and report on sales activity as well as revenue for our sales team, and Professional Services. [Xactly] Incent was used to manage scorecards and rankings for our sales leaders, and project teams. Professional Services and Sales use it to understand their pay requirements, while finance and sales ops use the analytics to drive better decisions for our leadership and customers alike. In most cases sales ops, sales and finance teams all use Xactly Incent because of the sharing of unified data. Customers have gone from inaccurate disjointed spreadsheets to global views providing the insight to better manage their business.

Data insights is by far superior with Xactly Incent as it exposes details for analysis of the Sales plan, what's working or what requires adjustment. Enterprise Class Commissions Tool
Xactly has been a fantastic commission system, with its flexible nature and clear dashboard and reporting. It is the backbone of our commissions and incentive system for both management and for users.

We are leveraging metrics outside of Xactly, and in the future I want to leverage benchmarking within.
Used to track sales incentives across all sales teams. It is providing more visibility to payout for transparency and trust in the commission payments.
- Keep multiple years of historical incentives.
- Detailed line items for targets.
- Monthly summary.
- Ways to see supporting information.
- Simplify the information with smart callouts on what lines are most important.
- Better support for the browser "back" button.
- Way to ask questions of managers about specific numbers or an annotation function for explanations.
- Clearer explanation of number or ways to hide unnecessary data by role.
The calculations are still related back to rolled-up numbers that are evaluated behind the scenes. Having the summary visibility in Xactly is beneficial but more linkage to internal data could provide more visibility and clarity. The calculations based on targets [are] easy to understand within Xactly. More notes and comments would be welcome.

Xactly Incent is Exactly what's needed for VC processing
Our organization uses Xactly Incent to manage the Variable Compensation process. This includes all workflow routing to employees with VC plans, employees accepting/signing those plans, management approval of plans, company communication of results and payouts, etc. Historical tracking with routing and approval dates and timestamps is also provided to employees.
- Easy approvals through on-screen clicks in the proper fields.
- Clear availability of historical tracking information.
- Good on-screen cues for any To Do's.
- In the Document Management List, you have to click on the View icon - the entire row should be clickable for the View action, not just the icon.
- I see no way to select a single item in my Document Management List, and then Download that. Clicking Download only seems to be for All items.
- After performing a Search, that yielded, say, 2 items - I see no way to easily refresh to the full list again. I click the browser refresh and it takes me all the way back to top-level navigation, which is a pain.

Architecture
We use Xactly Incent to extract data and load it into our data warehouse and vice versa. We write code on Incent using Xactly connect features and generate the files and load [them] into the shared drive for further consumption. At the same time, we use a Salesforce connector to read and write from Xactly Incent.

We use the Xactly data to further understand the sales comp analytics as well as some key financial metrics.
Xactly was introduced to Schindler Elevator Corporate in 2018 and we used it as a platform to build the incentive system for the sales team (both New Installations and Existing Installations).
- It is a friendly user interface.
- It is linked to the company database.
- It is a dynamic system.
- When adding more triggers to evaluate the eligibility, it shows that the system has challenges to adapt to the changes.
- For example, if adding the DBA (collection status) as a trigger, the system cannot automate the calculation.
- The system also does not clarify if the sales orders are being paid by the customers or not as a trigger to pay the sales rep. The customer needs to pay 50/50 even if the sales order is being canceled.
Incentives are being calculated manually by Excel.

Xactly Incent - no more Excel
Incent is used by our sales organization for sales compensation calculations along with performance metrics. Additionally, we are using Analytics for reporting and accounting accruals. Xactly Incent addresses the automation of commission calculations, along with the ease of accessibility for performance for the sales reps. It also helps managers understand where their sales reps are individually and as a team. We accomplish error free calculations and transparency to
end users.
- Document management is used in our organization to allow sales reps to review and accept their plan documents. It easy to use and key to our organization
- Details and transparency for sales reps - Sales reps love to see where they are against goal, how much they are being paid and where they rank among the troops
- Accurate calculations - Usually never a question
- Easy to understand

- Analytical is not the easiest to use and is not very intuitive. There needs to be an easier way to get at some standard reporting metrics that are needed in every organization like pay and Performance and easily configure stack rankings.

Accurate and User Friendly
We use Xactly Incent to calculate and report on sales commissions for our sales team. We also use it for scorecards and rankings for our sales leaders. The finance, sales ops, and sales teams all use Xactly Incent since it pertains to their areas. Sales uses it to understand their pay and finance and sales ops use the analytics to provide information to our leadership to drive better decisions.

We track types of sales, cost of sales, trends in companies, payouts etc. This year we have really built out the Analytics functionality to better understand trends etc. We also have been able to layer in some of our future sales forecasts to better forecast commission payments - even more relevant during Covid uncertainty.

If utilized for full potential, great product
It is used as the main commission plan for our entire organization (i.e. sales and recruiting). The modules are nice so sales can forecast and predict what they need or where they are at to move into the next category or how well they are doing.
- It's nice to avoid any manual errors in calculating commissions.
- Sales team can see exactly where they are at and how they can forecast for the future.
- The team feels as if they have more data at their hands.
- The modules for recruiting are not as vast as the ones for sales.
- Because it is a plug and chug, any exceptions made or odd circumstances cannot be captured by Xactly and trying to do a work around actually provides to be troublesome sometimes.
- The system is very finicky, in that things have to be done in a specific step by step order or the calculations will be off.
We have changed our comp plans if even slightly yearly. It gives the employees a goal to attain and where they should be focusing their efforts. It's nice for them to have the tool at their hands and see "if I have one more deal at this rate I can move into the next tier."

Incent Review
Incent is used by our Sales team - I do not have visibility across other groups.
- Tracks progress to plan.
- View details of commissions.
- Poor UX.
- Slow update time from Salesforce to Incent.
- Better integration to Salesforce (links to opportunities driving commissions).
We have independent commission calculators that would be nice if we could integrate them into Incent.

Very useful product
It is being used by 2 administrators and about 80-90 end users. I am the commissions analyst and create the plans in Xactly for our sales team and then our sales team looks at the end of the quarter to see their deals and payout. It gives transparency to the sales team and allows us to easily calculate their commissions.
- Easy and straightforward for the sales team to look at their deals and payout.
- There is functionality for every single aspect of a sales plan that your org needs.
- It's very customizable.
- User interface has been improved but could still use some work.
- A little over-complicated at times-- lots of steps to accomplish a small goal.
- Sandbox instance is more trouble than it's worth to use.
We haven't been able to get any Xactly analysis up and running so we usually work in excel out of Xactly downloads and salesforce reports. We use this to inform sales planning and details about how much we are paying per dollar made or how much we are paying certain people, etc.

Xactly Incent for rapid growth software startup
Xactly Incent is being used to integrate with Salesforce, calculate and payout commissions, sales plan approval workflow, commission inquiries, sales performance reporting, and commissions audit. Incent is being used to improve a high-touch process of pulling our sales bookings, sales comp plan approvals through emails, organize sales crediting hierarchy separate from our organizational hierarchy, provide reporting to downstream systems of NetSuite and Xactly CEA, and move away from Excel.

It is being used both to understand how well the sales team collaborate, the impact of our sales enablement program against sales tenure, and the richness of our sales plans by our primary sales plan component.
