NetSuite in a small e-commerce company

We use NetSuite in several capacities across our entire organization, specifically for our ERP system, our CRM and also for our e-commerce website which is hosted on an older e-commerce tool called Site Builder. NetSuite is used by virtually everyone in our organization. We are a distributor of products, primarily drop shipped from manufacturers to the customer, but we also maintain some inventory. So, NetSuite handles e-commerce, order processing, inventory management, accounting and some marketing.
  • The fully integrated aspect of NetSuite is really what makes it an effective tool for us.
  • Having the entire order process accessible by everyone has equipped us to be able to help customers in a way that differentiates us from our competitors. Anyone on our sales or customer service team has the entire customer record available to them, enabling them to address customer issues quickly.
  • NetSuite's high level of customization is it's best strength as well as it's biggest hurdle. We've significantly customized NetSuite with workflows and automation around customer communication and supply chain management.
Cons
  • We are using an older version of the e-commerce platform and it is not particularly user friendly. However, the pricing model & implementation process for NetSuite can be cost prohibitive for small businesses to upgrade.
  • The high level of customization requires a lot of maintenance and a very specific skillset, so it has been difficult for us to find developers that can help us with maintenance and improvement on a cost effective basis. NetSuite customization is not for the faint of heart, but it's super powerful.
  • The overall pricing model can be cost prohibitive, especially for smaller organizations that don't have an exceptionally sophisticated business model.
  • Support is cumbersome and not particularly user friendly for non-technical business people.
For manufacturing and distribution business, NetSuite is a very capable and robust system. For e-commerce, I think that the ideal customer is some company with substantial volume from multiple vendors/sources. For a company to effectively use NetSuite, there needs to be an element of size and complexity to make the investment, customization and learning curve worthwhile. For a sophisticated business though, NetSuite can be a fully integrated solution for the entire business so you don't need separate accounting, operations, HR and marketing applications. It can pretty much handle everything.

NetSuite vs. SAP Business One and Dynamics NAV

We are using NetSuite for ERP and CRM functionality.

We chose NetSuite over SAP Business One and Microsoft Dynamics NAV due to the dashboard reporting and its ease of use in editing one and creating one. We are a start up company which I expect our revenues to hit $5 million in year one so to get the basic functionality with shortcuts for the standard AR/AP, GL we could get with the competition. We're a small company and didn't want to have a close to full time IT analyst with us so we invested in having the extra functionality with having a cloud solution.

  • Building dashboards
  • Ease of finding things with its search capabilities
  • Ease of use with its web interface
Cons
  • The OneWorld consolidation feature considering how much we paid for it doesn't handle multi-company, multi-currency very well in that it makes you do the inter company journal entries anyways instead of recording it through the modules.
  • I wish NetSuite had process costing as part of its manufacturing modules but it doesn't.
NetSuite is more suited for a mid-market e-commerce, consulting services, or assembly build type of customer with fairly straight forward requirements both public and private companies.

CIO's view of NS CRM+

Rating: 8 out of 10

  • Real-time access to business data.
  • Real-time inventory information and easy to use.
  • Advanced e-commerce integration built-in.
Cons
  • Painful to clean data.
  • Migration scripts not well documented.
  • Not well rounded tools for testing end to end before enterprise launch.
Migration plan. - Migration scripts to take the legacy business data and ensure it is correctly defined in the data model of NS was missing.
There was no concept of data warehousing, data marts and ETL was available to facilitate this migration.
Ingestion of the old data into NS was painful. Scripts would fail multiple times and we had to re run in the middle of the nights/weekend to babysit them with NS consultants

Testing plans and training impact.

Testing plans, testing strategy, environments validation necessary to ensure no further changes were made prior to Go Live - we had to move our GO Live 5 times. Not well experienced team to formulate the correct BUT/UAT first time correctly.

Why NetSuite should be considered for an ERP solution.

We use Netsuite across our entire organization for financials, inventory, order processing, manufacturing, CRM and our e-commerce site. I like having everything integrated and the real time reporting and dashboard KPI's has made a major difference in decision making.
  • Financials - A/P, A/R, GL. Netsuite started as a financial package so I feel it is still the software's core strength.
  • Integration of information - all modules work seamlessly and there are no module updates that need to be made for accurate reporting.
  • Kitting & manufacturing - most of our products are combinations and assortments of other items that we carry and Netsuite handles inventory tracking through all phases very well, utilizes multiple unit types and updates from sales or work order builds. Inventory allocation for these items is very accurate.
Cons
  • E-commerce module could have more modern features that come standard with other carts such as automatic eBay/Amazon listings, blog integration and SEM integrations.
  • Saved searches and custom reports could be made easier for people that do not have computer science or programming backgrounds.
  • Sales orders should be able to be sorted by warehouse location.
  • Order processing could be made simpler by adding a Bill/Print Invoice button on the order fullfillment screen.
  • A simple POS store option should available without purchasing a very expensive separate module designed for companies with multiple locations.
I love how adaptable Netsuite is to many different industries and it is a great solution for any business that has outgrown QuickBooks.

If you need multicurrency, don't use this program!

This program is being used across our business. For financial reporting, CRM, shipping, retail website and e commerce etc. We needed something that would take care of our financial reporting, shipping, eCommerce and customer service needs. This software looked like it could do the job.
  • You can drill down into most reports.
  • It's cloud based.
  • Customer service is readily available.
Cons
  • Multicurency should be avoided. Some transactions are recorded with the fx as of the date of recording, not the transaction date, like anything recorded off a bank reconciliation. Others like credit notes will have the fx calculated as of the date of the invoice or return authorization instead of the date created. I have seen invoices affected as well.
  • Some currency revaluations, like those related to credit notes are not picked up correctly by aging reports. So, they will show balances for accounts denominated in anything other than home currency, when there is a zero balance. The aging report will not match the trial balance.
  • Support will give work arounds that do not actually solve the error. For example, deleting transactions and recording them a second time sometimes in a different fashion, like deleting a cheque transaction from a bank reconciliation and recording a journal entry. Adding work and time.
  • Multi currency cannot be turned off once it is on. Since it is done so badly one has any idea if individual accounts are over or understated due to errors in f/x applied to underlying transactions.
Do not use multi currency.
