What is Brightpearl?

Brightpearl’s retail operations platform is designed to handle peak trading, integrates with the full retail tech ecosystem, and is omni-channel native. Additionally, the vendor says their solution is the system of record for key trading data, provides real-time trading insights and is automated so users can stay in control and manage by exception.

According to the vendor key differentiators include:
  • Software and Service. Service is an integral part of Brightpearl's offer. The vendor says their retail consultants get users live three times faster than traditional ERP, always for a fixed cost. And the in-house team is available throughout, from tech support to ongoing business consulting.
  • Built for Retail. Brightpearl is built only for the retail sector. This means: configuration not coding, designed for use by merchants not IT staff, every new feature is relevant, and their integrations and ecosystem are 100% retail.
  • Designed to Scale. Whether it’s seasonal peaks, promotions or sustained growth, merchants need an ops platform that can handle the volume. The vendor says they stand by their numbers: orders, SKUs, channels, reporting and financials fit for multi-million dollar merchants.

Furthermore, the software is praised for its ability to simplify inventory management, order processing, and customer service, helping businesses save time and improve shipping efficiency. Some reviewers have mentioned that certain functions are buried within multiple menus or tabs, making it time-consuming to find and access specific tools.

Poor Communication and Updates: Users have experienced issues with poor communication and updates from Brightpearl, resulting in functionality problems and the need for regular retraining. Timely information about system changes or bug fixes has been lacking, causing confusion and frustration among users who rely on accurate and up-to-date software functionality.

Lack of Integration Options: Several users have mentioned that the software has been overpromised in terms of integration with external systems, causing them to seek alternative, untested integrations. Brightpearl details and manages our financial accounts. It keeps track of client and supplier invoices and produces our quarterly VAT returns. Client invoices are stored against the client record and this is used as our CRM on which we also log help desk tickets for our client jobs as they progress. Having the tickets, sales and accounts all in one place makes life easy. Our technicians only see client information and help desk tickets, whereas management staff has access to accounts. This whole business runs through Brightpearl and stops us from misplacing client information.
  • Client record links can be used for help desk tickets, orders/invoices & accounting information.
  • Access from any browser anywhere and get full access to all of the information - useful for when our doing onsite work.
  • Profit and loss reports are clear and simple and show real time information.
  • There is no mobile app and the website is not mobile optimised - would be useful for when working remotely.
  • Integrations with card processing such as SagePay are slow in being changed to paid modules.
  • Recurring monthly client invoices have to be done manually, there is no automatic system that works and no link to GoCardless for monthly direct debit capture.
  • Good for client service invoices.
  • Good for multiple people accessing business accounting information.
  • Less appropriate for service users in the field who need access to records from a mobile device.

Brightpearl is being used by the whole organization as our main ERP and CRM. We integrated Brightpearl with Magento. We use Brightpearl for the complete business process, from selling goods online, to when clients receive their goods in their homes. Brightpearl is our main accountability system.
  • Accountability
  • Differentiate orders in the different stages of an order
  • CRM
  • New versions need to be tested more toughly as they several times include bugs.
  • CUSTOMER SERVICE. It's extremely difficult to contact them through a phone call.
It's an appropriate software for small and middle sized companies. For larger companies (more than 10 million USD a year), there are probably tougher options.

We originally used BrightPearl to monitor stock and track inventory across our retail business. As both a direct to consumer retailer and a wholesaler, it's vital to be able to quickly move stock across different channels and accurately track the contents of many different warehouses across the country. However since our initial purchase we've come to rely on BrightPearl for so much more - from sales and reporting to invoicing and customers services. It has completely changed our business - so much so that we now talk about "pre-BrightPearl" and "post-BrightPearl"!
  • Integration with wide variety of ecommerce platforms, including Shopify
  • Reporting with many different filters and parameters to measure all aspects of the business
  • Immediate, easy to access stock inventory - showing what's on hand, allocated and incoming instantly
  • Occasional glitches with syncing new SKUs between Shopify and BrightPearl
  • Not easy to undo human errors - e.g.: where something has been allocated, it can't be unallocated but the original PO has to be unpicked
Any retailer will benefit enormously from using BrightPearl, but particularly where you have multiple warehouses or channels to monitor.

BrightPearl is used across the board here at my company. Under our previous POS system, we had more than an handful of issues--mainly due to the fact that the POS we were using was not built to accommodate the number of sales we were making. BrightPearl is much more suited for the volume we see here. It helps vastly with organization and planning, on a company-wide scale, in the sense of ordering (on our end), ordering (on the customer's end), and inventory. It also helps quite a bit that all of our programs now talk to each other, which helps to abate the troubles of double orders, unseen changes, etc.
  • Brightpearl tracks order changes and communications very well. It documents all activity in a feed that anyone can see, including status changes, notes made, emails sent, etc.
  • Brightpearl makes it incredibly easy to find orders fitting certain criteria through the use of statuses that you can customize. For example, as a multichannel seller, we can easily create statuses for each channel that we sell from, where our orders will (oftentimes automatically) land in. We also deal often with things like back ordered items; we can also create statuses for certain brands, so that when we expect a shipment in from that company, our back order specialist can easily sort through her orders that are waiting on that shipment.
  • Brightpearl makes it easy to take orders over the phone. Everything I need is right there on one screen; not often do I find myself needing to deviate to other tabs. The steps I take (from "new order" to finish) are straightforward and understandable, and go in steps that make sense.
  • Brightpearl's inventory system is a little harder for me to parse. We have many things in our inventory log that consist of many components (i.e., kits) that are not viewable in the "products" tab; they must be placed into a new order, or printed out.
  • There are communication problems between our website and Brightpearl. Namely, there are issues with payments not being collected automatically from a software called Magento, which means that one of our team has to sit down every day and collect payment manually.
Brightpearl is an excellent choice for companies who deal in large-ticket internet sales, as we do. It handles high volume with relative ease, and does quite an excellent job at making the lives of our customer service reps easier. It tracks inventory easily and allows for our reps to reliably allocate inventory (which was an issue with previous programs). I wouldn't necessarily suggest that someone who deals in mostly an in-house POS business go to Brightpearl, as its strengths are most definitely in virtual business.

We use brightpearl across our organisation to keep all our customer and supplier information in one place. We use it as our primary sales platform. Having brightpearl means that everyone in the organisation is able to quickly and easily pull out or input information that is relevant to their business function.
  • Brightpearl timeline allows all customer/supplier information to be made visible so whomever needs it can find it quickly and easily
  • Brightpearl integrates very well with other software packages
  • Brightpearl has some excellent and highly customisable reporting functions
  • Some changes are clunky and buggy when first rolled out
  • In order to add new features, some of the older but still useful features are sidelined or hidden
  • When filtering reports, presets can be saved which is excellent but they remain on the local computer rather than being applicable on all machines henceforth
Brightpearl is excellent for businesses with less than 1000 customers or suppliers, beyond that it can feel a little unwieldy. Raising and updating sales and purchases is extremely simple with brightpearl.

Brightpearl used for B2B

We use brightpearl across our organisation, for stock management, creating purchase orders, order management, account management, and accounts. Pre brightpearl we were running accounts and stock management on two separate systems which is far from ideal.

Being a B2B importer/distributor who offers a drop shipping service, we actually use brightpearl completely differently to 99% of users I would imagine.

It links to our order management/route planning software called STREAM, the two go together like hand in glove.
  • Keeping track of stock at our 3 warehouses - the low invertory report makes ordering to each warehouse a breeze.
  • The function that permits you to import/edit products/customers/suppliers via CSV is particularily well developed and very flexible, works very well.
  • The reporting functions are very useful to our business.
  • We find the lack of ability to only assign a particular order to the single delivery depot quite limiting in our line of business. You should be able to assign each product line on an order to a different depot or it is not possible to deliver different parts of the order from different locations simultaneously.
  • We think Brightpearl should develop a B2B version, a chopped down version with some areas beefed up to accommodate.
  • There is a bug that has been around since we started using brightpearl which has never been fixed but reported a couple of times. When updating an order by reseting the price list, if there is a bundle product all the prices revert to zero - not very helpful!
Right now it's great at stock management. Order management and reporting are great strengths.

The accounts staff did not like it to begin with as [they were] so used to Sage. Now they think it's okay but still very different from Sage. It did take awhile to get used to, though big improvements have been made in recent updates.

Brightpearl has been great for our small start up company since it is so flexible which is important to a start up. When we are trying to figure out our customers and as we onboard new ones it helps to be able to customize to each customer's requirements. Brightpearl is also very user friendly and the reporting functions are very important as well.
  • Flexible in documentation format
  • Ability for a new user to learn quickly
  • brightpearl's support system is valuable
  • It is so easy to revise so users can make mistakes easily but they can be fixed
  • No outbound shipping docs
  • A lot of changes
brightpearl has been a great tool for reporting uses and also customizing invoices for international shipments for a number of our customers. It has been really easy to train new users on the different modules on brightpearl and we look forward to utilizing it in the future with our new products.

We use Brightpearl (BP) across our whole organization for sales, finances, manufacturing and inventory management. It mostly addresses our inventory management issues. It's easy to see what's in stock and ready to ship versus what's not.
  • PO management is handled very will with BP. It's possible to clone previous POs so you don't have to keep typing in all the information again. It's also easy to see what's already been received.
  • Inventory is similar to the PO management; it's easy to see what's in stock and ready to ship, as well as what's on PO, and what's already allocated to sales orders.
  • Sales orders are fantastic. At a glance you can see if it's able to be shipped, or if it's been partially shipped already. The fulfillment process is simple, and it integrates seamlessly with ShipStation.
  • The first frustrating part about BP is that you can only receive one invoice per PO. We often receive up to 20 different shipments per PO, with a different invoice attached to each. I have no way of entering these invoices. I have to wait until everything's been received and then I can enter in one single large invoice, and it's really frustrating.
  • We've been having issues with the accounting side of BP. Our financial reports are changing from one day to the next, and we haven't figured out why. Support hasn't been able to figure out why either. Along with that, the financial reports are completely unpresentable. Our CPAs take the information out of BP and put them into a readable Excel file.
  • Assemblies are a problem in BP as well. We have SKUs that require up to 30 different parts. We have to use an outside app to build our assemblies in. Usually it works fine, but if the connection is lost in the middle of the build, our inventory is completely messed up.
It has the potential to be a very robust system. It needs some work in a few areas before it could really be helpful. It wouldn't be an appropriate program if you don't have any inventory; it would just be overkill. But for anyone else, it would work amazingly well with a few tweaks.

At our organization, Brightpearl is being used to track customer invoices by our department. It is a great software for order management, customer management, and inventory management. It is just used by our department, but I suppose it could be used across the whole organization where it is needed. The business problems that it addresses includes an easy way for us to track invoices, orders and customers.
  • Brightpearl handles customer information well and has everything organized and clear to see.
  • Communication and support from Brightpearl is top notch. They are always looking to improve and seek feedback regarding their product. If there are any issues that need to be resolved, the company is quick to assist.
  • Easy, friendly controls and search functions. Software is easy to use and responsive.
  • Currently, there are only three allowed current sign ins for our company, and it apparently would cost our organization more money if we were to purchase access for other users. There are times where I need to go in and complete some work, but cannot because there are three other users already in. I understand why it would cost more for more users, however.
Brightpearl is well suited for tracking customer information and being a great database for this information.

Brightpearl is used by the whole organization to run day to day operations - from purchase orders, sales orders, to connecting orders, etc.
  • Ability to filter through products. Many filters to chose from.
  • The feed of recent sales and purchases.
  • Brightpearl lacks the ability to filter through available on hand products from a specific warehouse.
  • Lacks the ability to change goods out note.
Brightpearl is well suited for individuals who use Amazon services. I personally like how brightpearl automatically connects your products to skus listed on Amazon.

Brightpearl was being used mainly for our online sales as a platform for order preparation and fulfillment. The entire organization used it and it was very helpful in managing our orders from our online website. Once we ventured into the wholesale space, it was very tedious and laborious to use.
  • Handles most website platforms well for order receipt and fulfillment.
  • Reporting for certain applications, mainly channel selection, is very simple.
  • Nice dashboard.
  • Not great for wholesale applications as order entry and management are clunky.
  • Could have clearer reporting capabilities.
  • Does not support over 100 line items in an order.
Rating above highly depends on use. Great for small start up businesses with online sales applications.

We use Brightpearl to manage inventory. It helps us to complete [orders] and ensure that all products ordered arrive in the warehouse and allows us to take notes on any issues we have. Our whole organization uses it.
  • Tech support is great on Brightpearl. When you submit a ticket you get a response back quickly and a solution quickly as well.
  • Being able to add notes to purchase orders is an incredibly important feature that we use daily.
  • Changing the status of POs is another great feature!
  • It is way too easy to mistakenly receive an entire PO at once. You need to clear the values first or the whole PO will be received. They should start the receiving page off at zero and have a selection to add units to the whole PO instead.
  • At times in the day, Brightpearl slows down a lot and it slows the work down as well.
  • I would love to see more advanced reporting. Like being able to see how many units a user went through in a day.
Brightpearl is perfectly suited for a warehouse setting. We are able to easily process large quantities of product efficiently on this platform. It has helped us a lot since the start of our company and it is valued.

We use it in all departments. We use it to order and receive inventory.
  • Easy to add new products and add a lot of data about the product.
  • It is very easy to receive inventory and track how many of each item have been ordered.
  • I also like how easy it is to see how many POs we have placed for a particular item. They can be searched back as far as needed.
  • I think there is room to improve the ease of logging into Brightpearl. An account ID needs to be entered each time before logging in with a user id and password. I think it is an unneeded step.
Brightpearl is a good product but I think should be reviewed on a per company basis to make sure that the application fits the needs of the company.

Brightpearl is being used to allow us real-time accurate inventory across bookstores at multiple campuses. This allows to ensure that we only order what is needed and that we use what we have at all facilities to reduce the number of orders needed. It also allows us to easily transfer products from location to location with a trail to show accurate inventory counts.
  • Inventory Management
  • Checks and Balances
  • History of Sales
  • User Interface
  • Setup Management
  • Documentation
Brightpearl is well suited for larger, multiple location sales. Smaller locations probably won't need it.

Brightpearl is used as a customer management system as well as for stock management. It is used for processing sales, and storing customer and account information. Brightpearl does a good job and covers the basics of everything you require. Versatile use - across a sales team accounts team and warehouse team.
  • Stock control and management
  • Integration with website
  • Ability to amend and adjust different features.
  • Better product filter options by different attributes and by quantities available/in stock.
  • Ability to export a sales order to an Excel spreadsheet like when a product report is run
  • To drag and drop files rather than uploading
  • Sales price/pricelist option to work as a % of the cost price instead of sale price
It's good for stock management inventory.

We use BP to create PO, receive items in the warehouse and in our accounting department. It allows us to track the amount of items purchased in a day and received in a day. Our accounting department runs reports daily to then pay the bills. We also use it as a weekly tracker to know know how many employees to staff in the warehouse with how much was purchased the week prior.
  • Creates POs
  • Tracks POs
  • Being able to change POs once they are reconciled
  • Purchase Credits
  • Being a bit faster
BP is great to create POs and to receive POs. We think that it could be a bit more beefed up in the accounting department; we used to be able to make changes to POs once they were reconciled although now we are unable to do that which can be frustrating at times.

We use brightpearl to manage all of our products, through location, stock upload and scanning/checking software. We also use it for inventory count, exchanges and purchase orders. Sometimes the software will have a problem and it is extremely hard to get in touch with the actual company to resolve the issue. It would be nice to have customer support through the phone without having to pay a large fee.
  • Great to use as a scanning software through Boxora.
  • Very thorough, you can see when a packing slip has been printed or if a package is being packed.
  • Purchase orders are great to keep track of the product you bought and how many are left to sell.
  • You can send your vendors an invoice easily.
  • I would like to be able to delete a product, so that it doesn't stay in my system forever.
  • It would be nice if one was able to upload a picture to every product. So every time one pulls up a product that person can see what they are looking for.
  • To be able to log in to the same user with out being kicked off in the other location. One cannot go into a page if another user is currently using it.

I have used Brightpearl with 3 different clients, only 1 of which is a current user. At the time of selecting Brightpearl, it appeared to be the only fully-integrated system for small businesses - i.e. the only system where you could manage marketing, sales, inventory and accounting all on the same database. Over the last few years Brightpearl has deliberately focused the product on multi-channel retailers (i.e. internet and physical stores). The biggest single benefit is the integrated nature of the system.
  • Integrated system - marketing, sales, purchasing, inventory and accounting are all working on the same database
  • Can deal with complex product ranges, seasons, sales channels and so on
  • Strong links to the most popular ecommerce platforms
  • Compared to Xero, Brightpearl's accounting functionality is weak. Accounting and related functions are cumbersome for non-financial staff to work with
  • If you need to "assemble" your products - i.e. build up a product from a group of inputs - Brightpearl can only deal with this at a rudimentary level and then some of the usability starts to weaken
  • They are focused on e-commerce businesses, and yet it's taken 5 or more years to enable running bank accounts in anything other than local currency
Brightpearl is only appropriate for e-commerce-type businesses, primarily retail, but could serve some wholesalers too.
You need to have some good technical support for implementation - ideally someone who is looking after your website and can also manage Brightpearl. Planning the structure of your product set is critical.

Used by client across their business - I am responsible for supporting integration with ecommerce platform(s).
  • Integrates across a variety of sales channels both cloud based and office based and in multiple currencies
  • Presents fine grained reporting across channels
  • Cloud based so very accessible from any connected location
  • Technical support is atrocious. Currently have an ongoing problem with order integration from a multi currency ecommerce platform. Now three weeks in and no solution. Emails to tech support not answered, frequently need to chase for a response, responses seek more data but when this is provided quickly there is no further response.
I would be reluctant to recommend anyone using it unless they have a well researched need that is not met by ANY other system

Brightpearl is our main stock inventory system and CRM management tool. It is used throughout all departments from quoting for various clients to allocating and monitoring stock levels. It doubles nicely as a place to keep comments on customers' orders to ensure they receive a high level of personal service.
  • Ease of use
  • Single pain view
  • Stock tracking
  • Defined customer fields
  • Search tool
  • Email add in when quoting
  • Review structure when sending quotes
We use Brightpearl to keep accounts within the organisation up to date with personalised comments to ensure that take over or temporary management is easy and still gives a picture of where the customer is in the sales process.

We use Brightpearl for receiving orders from BigCommerce, entering orders to create PO's, issuing PO's, A/P, A/R, Inventory etc. We have 3 current users.

  • ecommerce orders via BigCommerce captures data correctly.
  • Prevents duplication of data entry on our side.
  • Customer support is not available. Very slow to respond. For example, I submitted a ticket 197057 9/1. The ticket has not been addressed even though it was entered with status High. Today I issued another ticket 197749 with reference to 1907057 from 9/1 that has not been addressed.
  • Sales tax integration with Avalara Avatax not available.
  • Lack of training when we were set up. BP people were busy and in a hurry.
  • I have hired an outside accounting firm to assist me with BP issues because I am unable to get assistance from Brightpearl customer service.
I am very dissatisfied with Brightpearl and cannot think of an example where Brightpearl is well suited.

Brightpearl is used across the organization as our primary ERP system; to track customers and sales, track and maintain inventory including purchasing and cost of goods sold (COGS), as well as our primary accounting system.
  • It's a complete package. No heavy lifting required for straightforward sales, inventory tracking, and light accounting.
  • I've had fine experiences with customer support. High importance issues are dealt with within a day. All my issues have been resolved.
  • Brightpearl is easy to manipulate. It's simple to add in account codes as well as customers and vendors.
  • There seem to be a lot of quirks in the system. For example, when editing a journal, Brightpearl will drop the tax date of the entry and it has to manually be re-added. I've had expense codes for bills revert back to the default COGS code when saving.
  • For accounting it's not as intuitive as other software such as QuickBooks. Some things, such as payroll journal entries, have to be manually entered rather than having the accrue and reverse functions pre-built in.
  • The CRM function is not robust. It fails at accurately tracking customer touches, and for B2B models, Brightpearl alone can't capture all the information needed.
Completely depends on the business model. If it's someone who needs light lifting across all departments of the business, I would highly recommend it. For a larger business that has multiple departments (Finance Department, Sales Department, Operations Department, etc.) this system is [not] well suited and I would recommend against it.

We currently use Brightpearl for marketing, sales, manufacturing, purchasing, inventory management and shipping. It is widely used across our whole organization as a daily tool to complete all necessary tasks to generate new customers and sales. From start to finish of an order process Birghtpearl does a very efficient job of delivering a quote made by sales team member into an order produced by a client services representative. Those orders are then given to the production or warehouse team to be produced or shipped out if the product is already on hand. The strengths I see in Brightpearl is the seamless transition from stage to stage in the order process. Being able to pick and allocate material from on hand stock, and then have the remaining material either set on back order or purchased for creation from Vendor as a drop shipment is something that is very helpful. We do see sometimes that on the inventory side of things not being able to edit quantities into fractional amounts is something that is a negative, as we have a lot bulk material that is measured in weights.
  • Organizing Client Information.
  • Key component to a successful marketing campaign
  • Simplify the order process
  • Inventory management.
  • Purchasing.
  • Filtering for orders.
It is very appropriate for use in gathering and keeping a detailed list of client information for future orders and current orders. It is also suited for taking that information and generating a list of customers to include in a marketing campaign. I would suggest brightpearl would be less appropriate for a business that has a very small list of clients, and deals mainly with loose bulk material.

BrightPearl helps in simplifying order processing. Inventory management is very helpful within Brightpearl. Combined order notes helps everyone be on the same page. Having the ability to email a customer within their order is a bonus. Seeing the orders moving through the process without having a physical paper trail is helping to reduce waste. Being able to upload pictures onto an order is a big plus.
  • With multiple representatives looking into a customer's order, we can each leave notes and basically all be on the same page.
  • Being able to talk with support or put in a ticket through email is great.
  • Seeing your inventory levels as you sell the product to a customer enables you to inform them of any delays up front.
  • Having tracking numbers automatically added to a customer's order is refreshing.
  • Email could be set to each user and not have to tick your own email.
  • Once a shipment is shipped, you cannot mark it as unshipped. Being able to mark a shipment as not shipped after a wrong order was marked as shipped, under the wrong number, would be great.
  • Having BrightPearl recheck orders pulled from Big Commerce would help the missing orders
Overall this is a great system. There are scenarios that exist only after being dipped into the scenario a few times where we can find a better solution than Brightpearl offers at the current time. [But] most scenarios are pretty basic and fall under the easy flow resolution department. I would definitely recommend BrightPearl.
