We serve 26 companies (2 control groups). All companies use Ultipro's Time Management and Onboarding services and the payroll department uses Core as well as trains all managers on just what they need to use. UltiPro has saved us a tremendous amount of time in everything payroll and benefit related. It is very user friendly and even our most technically challenged managers are having a lot of success and positive feedback. The tours throughout the product are very useful when you just need a little reminder on how to do anything.
  • Frees up managers' time to interact more with customers and other employees.
  • The report writer is in plain English and has also saved the payroll department a lot of time as well as giving us the ability to quickly respond to outside requests for information.
  • We would like to have our actual quarterly and year end returns sooner. Right now we receive the returns approximately 5 weeks after the quarter has ended.
  • Sometimes when a person is rehired there are issues with their account being reactivated and we will have to send it in to support to fix the background.
Ultipro is well suited for large companies and any company that has union contracts or any type of complicated payroll. It is very customizable so it will do well with any industry. Companies that are growing would also find this software most appealing as it can quickly adjust to the growth.

We use UltiPro for our employee management, ranging from onboarding, Core, BI, and payroll. It is currently used by our HR and payroll department.
  • Has great BI capabilities.
  • The different modules feeding in to Core and BI. As of now, the onboarding module does not have a BI package to pull reports.
  • Ability to update history and have it feed to all the data in the system, not just stored in the history table.
  • Better support for BI. If I need help to build or modify a report, I shouldn't have to request a job order to get help.
  • Global functionality. The system lacks support of global companies which is crucial for our company.
  • Ability for mid market to have the back office function to make edits vs having to through a change request.
I think UltiPro is well suited if you're in a company that doesn't need a whole lot of customization and functionalities.

  • It provides a simplified web-based solution that is more user-friendly than back office.
  • It's fairly configurable, and we can make it fit our company's unique needs.
  • It does not have a robust future-dating capability.
I think UltiPro is best for mid-size companies who have several locations and hierarchy levels. I think it may be overkill for a smaller organization.

UltiPro was first implemented to resolve our payroll and HR streamlining process. It is utilized throughout the organization. Current modules in place are the Core/Payroll product, Recruitment & Onboarding, and now Benefits Administration this year. One of our key initiatives as a company is to be paperless, UltiPro is onboard and steering us in that direction. UltiPro has begun to solve the disconnect between payroll and HR functions and making items more streamlined. Reporting and BI has been a huge improvement; giving our employees the data they need to do their jobs. Our employees now have online accessibility to their data, that for us was huge.
  • BI Reports - 2 modules query and report studio. One is a bit robust than the other but very user friendly. Love the options available to export.
  • Account Manager & Cases - great response times when issues, questions, or something arises needing additional UltiPro help.
  • Flexibility to make the software our own. We were able to customize many things but still keeping UltiPro key formats in place. Look and feel is more [like] our culture.
  • Customization or Configuration of pages and titles.
  • The ability to make certain fields "required".
  • Certain "fixes" are only available via your account manager and in a software (back-office referenced) unavailable to most clients.

UltiPro is used within the HR department, as the HRIS system, for payroll and for the benefits open enrollment process. It is used across the whole organization in the context of time management and as a communication vehicle. The major business problem it addresses is that it provides a single focal point in terms of gathering and disseminating information across and throughout the entire organization. Our company has employees dispersed across the country; it is not always easy to get everyone on the "same page". Through the use of employee webinars and the UltiPro system, we have dramatically improved our efficiency, accuracy and time to completion in such areas as Time Management, Open Enrollment and Life Events such as new hires, change in status etc.
  • Great payroll system. Allows you to manage the function in-house instead of being at the mercy of external vendors. The same can be said of the benefits enrollment module.
  • It is very user friendly. From employees using it to complete their time management or change personal data, to power users who configure modules, the system is intuitive, and easy to use.
  • The customer service is fantastic. We have several dedicated reps who always make themselves available when needed and often proactively check in. The tech support and training classes are great too. Support given during initial implementation was second to none.
  • The one area where I would like to see easier usage would be in the area of report writing. I say this having very little hands on experience with generating reports; I may feel differently if I used it more often or took a class.
I have spoken to several potential customers who were considering purchase and implementation; my main mantra is that it is a great system, best in class in my opinion. I do advise people that if they are interested in the system, that it is a hands on, participatory process; you are not paying Ultimate Software to do it all for you. Success will require providing resources to implementing and maintaining the system. So if there is a company with limited resources who is not able to dedicate ample personnel to an implementation, they can hire consultants to do so, but will need to ensure they train people accordingly.

Being used across the whole organization. Besides HR data, we are using payroll, Employee Self Service, recruitment, onboarding, etc. Ultipro is our source of truth for other systems as well. This has helped us automate and streamline our processes.
  • Reporting. Cognos has proven to be a great tool that allows the user to build reports to fit our business needs.
  • Core record. The data that is housed on the core record is user friendly and easy to read.
  • Too many "snap on" modules/products. Recruitment has it's own security and set up rules. It doesn't flow well with the Ultipro user experience.
  • Too many quirks to work around. Instead of modifying the systems behavior, we typically find ourselves having to redo a process to accommodate the system.
Not well suited for strong systems-oriented companies. Geared more toward companies who don't have the capabilities to run their own system, however, many steps above ADP.

UltiPro is used by everyone at VEKA. Our HR department uses UltiPro daily while our employees use it periodically for reviews, open enrollment, to look at pays, etc. UltiPro has so many solutions for our company and has streamlined a number of processes. Having access to so much information and the ability to analyze the data has been wonderful. We haven't even scratched the surface of what this product can do, but continue to dig deeper and roll out more modules periodically.
  • UltiPro is wonderful for open enrollment. Last year we conducted our first on-line open enrollment and it was very successful due to the ease of use. We have a large population of employees who aren't very comfortable with computers, but UltiPro is so user friendly that it put everyone at ease.
  • The BI portion of UltiPro has tons of reports already created that anyone can use. It is also fairly easy to create your own custom reports once you understand how the system works.
  • Managing employee benefits is very easy with UltiPro and making changes is quick and simple.
  • I understand that UltiPro is an online tool but I would like to be able to talk to someone more easily when I have an issue. I don't like having to go out to the Customer Success portal and typing in my issue. Sometimes it is hard to articulate what is happening.
  • I love that there is so much information available for reporting, but sometimes it is hard to locate the field you are trying to input in the report.
  • In Recruitment, I still haven't figured out how to print the applicant information is a way that makes it easy for the hiring mangers to use.
I think the tool would be very helpful for any company. I cannot imagine a scenario where UltiPro wouldn't be a huge help to a company.

We currently use UltiPro for HR, Payroll, Benefits, Open Enrollment, Performance Management, Recruiting, On Boarding, Talent Management and UTM (Ultimate Time Management). We use UltiPro across our entire organization to pay all of our employees, we also pay our retirees their pension payments from our DB plan.

We've only been LIVE since October 2014 but no major business problems encountered yet.

  • We use the PTO request feature within UTM to manage our employees' PTO and their remaining PTO balances after they have schedule/planned PTO days throughout the year.
  • Payroll processing model is simple and straight forward, easy to change individual check (earnings and benefit deductions) information in the middle of the pay cycle, you don't have to reject the entire payroll and start over.
  • The reporting writing tool/capability within BI (Business Intelligence) is fantastic.
  • Could improve on importing various earnings and benefit deduction "time clock" imports, making it easier to attach or delete items during the pay cycle.
  • Resetting "prior year" settings (i.e. accumulators, goal limits, etc..) is somewhat hard to understand and complex for various tax groups.
  • UTM has gotten better with the past couple of upgrades but there are still some things that could/should be easier to do in UTM.

Crafton Tull uses the UltiPro Core for human resources and payroll. We also utilize the Recruitment and Onboarding [modules]. We use the service company wide as a self service [tool] for the employees. We use a third party software for timekeeping and export the values to UltiPro for payroll processing. This works well for our organization.
  • BI reporting is great tool that provides robust reporting. It is easy to learn and makes creating reports more efficient and effective.
  • Self Service for employees. Employees appreciate the ability to review their information without having to come to HR. We have six office locations across two states, this allows for quicker services and the employees get exactly what they want.
  • Onboarding has made our benefit enrollment and document completion efficient. This process allows the employee and the firm to work seamlessly on the transitioning.
  • Limited user configurations. Allow users more access to setup pages.
  • Implementation was not a smooth process when setting up benefits. More time needs to be taken with customers that have unique conditions. Calculations were wrong and we had to fix ourselves.
  • In recruitment, notify hiring managers when applicants apply. Most software companies already have this feature. I was surprised that UltiPro was behind on this process and robust in most all other areas.
UltiPro is a great fit for many organizations. During the implementation utilize the strengths of the computer literates and provide more hands on for the beginners. It's easy to identify between the two by asking.

We use UltiPro to manage our employee population using core functionality. It is the system of record for earnings deduction and taxes.
  • Core payroll processing. The process is smooth, with most processing automated.
  • Managing taxes. Tax reporting is clear and comprehensive. There are many report views to help identify and resolve issues.
  • Employee self-service. Employees are able to do many payroll tasks themselves, including viewing/printing pay statements and W-2s.
  • Reports in Excel are very, VERY difficult to use. They are essentially just the print reports in an Excel file. Numbers do not calculate like numbers. Columns often shift with each new page. Amount for tax code are displayed on two lines.
  • Tax recon generates errors that the system should recognize are invalid.
  • The system does not allow a second manual check to be posted if the first one was previously posted.
  • The system should support FLSA required functionality such as overtime lookback.

The whole US organization uses UltiPro. It is currently used for payroll, time and HR. We plan to use recruiting once R14 is updated to post to multiple sites.
  • Payroll is a strength.
  • Reporting is a strength.
  • The hand off from implementation to live was a bit weak.
  • PTO used for exempt staff is an issue. separate non-exempt from exempt to allow it to not run with payroll.
  • R14 updated needed.
Need strong payroll people. ADP does so much more for payroll and we need to do it now, so if you don't have strong people, you will suffer like we did.

At my current company, we use UltiPro for the majority of our Human Resources functions. We use it to maintain employee's electronic records, manage time sheets and time off requests, aid in our recruitment, enroll in benefits, and run reports. I would say we use UltiPro the most within the Human Resources department, but other departments are required to use it as well. For instance, everyone uses it to clock in and out of their shift. It is also used to track a lot of the required trainings and certifications.
  • UltiPro has a great support system. There have been a few times we have had to put in a ticket and they always respond in a timely manner. Plus, they are always kind and willing to help.
  • UltiPro is very user friendly. When I used ADP Workforce now, I used to get lost on the site and couldn't find what I was looking for. UltiPro is very clearly laid out to make it easier on the user.
  • Ultimate software offers a lot of free trainings which allow you to become more familiar with the system and how to best use its programs. This was huge for me when I first started at my company and had no prior experience with UltiPro.
  • There are a few little quirks that I would love to see worked out of UltiPro. For example, the Business Intelligence piece really only works when you use it in Internet Explorer, this is less than ideal because we typically use Google Chrome for everything else.
  • When either completing or approving a life event, the enrollment wizard may randomly minimize. It will give no warning, nor is there an explanation. This confuses employees all the time because it makes them think it closed completely and so then they go in and start a new one.
  • It is also a tad annoying how we, human resources, cannot delete life events that are in progress. As a result of the issue aforementioned, we can have 6 life events in progress for one employee and have no way to delete those ones that are void.
Overall, I believe that UltiPro is the best system I have ever had the chance to interact with. It does a great job at serving multiple purposes with one system, in comparison to having one for recruitment, one for time management, an HRIS, and something for benefit enrollments. The report writers are extremely helpful as well. It was always daunting to create a report in ADP because it almost never turned out to be what you actually needed, between Business Intelligence and the Standard Reports in UltiPro, this is hardly ever an issue. This system is great for our large company (1000+ employees), if your company is on the smaller side, then something as inclusive as UltiPro may not be the most appropriate for you.

UltiPro is truly an all-encompassing invaluable HR partner that every company should use. I have been part of other organizations that struggle with implementing other HCM tools only to continuously be met with hurdles which impact their successful implementation. Every company who is challenged with getting clean data in a multiple location company should take the time to visit Ultimate Software solutions.

It is being used by the organization as a whole. We are a 24-7 business and it is able to address all the different shifts and different types of industries.
  • They definitely put their customers first.
  • Being a newer user, every time I need help, I am able to get assistance very promptly, either through email or a phone call.
  • UltiUniversity is a great tool. You can usually find a quick answer to most questions.
  • Being a new user, I would really like to see more of opportunities for the training classes. Most classes are cycled through only once a quarter.
I am still learning all the functionality of the product. The more I learn about the product and all the uses, the more excited I am about the possibilities.

We currently use UltiPro for time management, core (HR, payroll) and onboarding. It is being used as a self service option throughout the entire organization from associates, to managers and Human Resources.

We currently use Ultipro - Business/Employee Module. It is our central gateway into personal (pay, benefits, & historical data) , company, and recruitment information. This system is used company wide. It allows us to use important reporting features on the Admin side. At the user/employee level it serves as a 1 stop shop and provides them access to the company profile and records.
  • The system is very user friendly. The dashboard is very easy to understand. By hoovering over a tab, you can see every topic that would fall under it. The system allow you to search for information and data entry is very simple. This is important because users want to be able to get information on their own without needing to call the HR dept or another support person, if possible. Ultipro allows that user the ease and access to their information.
  • Users have the ability to easily update their own information in the system, review benefits information, access to other historical data such as previous check stubs, job history, and performance reviews. This is important to users because it gives them control over updating their information and records with admin approving in the back of the house.
  • Actually, I am a fan of the system and have used it with 2 companies. It is really about the module you get for your organization and making sure it fits your needs. With several to choose from, companies will be able to find one that meets their particular core needs.

1. I think you need to know what functions of the system you will be needing immediately and making sure that that particular functionality is a part of the package and can function the way your organization needs it to function.
2. Make sure that if you will be using it for payroll, that the reports the system provides can produce what you need it to. Particularly with delivering reports on OT costs. The system does lack this.
3. Have a good idea and time-frame for integration of the system to avoid hiccups that will disrupt employee pay and accuracy. Stay on your Ultipro rep and customer service to make it seamless.

We us Ultipro across our whole company, the problem we have is trying to get our increase uploaded correctly and the allocations aren't the best.
  • Processing payroll, I love it because there is little chance for error unless you are processing bonuses and stock at the same time.
  • I can do as many uploads as I need to whenever I want in the processing of the payroll, which means I can check other things that I have completed and go back once I receive all the pieces I need from other departments, I just love it.
  • The time management piece is getting better.
  • Allocation needs improvement and the upload of allocations does as well.
  • Some areas of time management needs improvement, like being able to change the approval once it has been approved you should not be able to do this.
The one thing I would like to be able to do it start my payroll whenever I want, not once everything has been entered.

We implemented UltiPRO on the 1st payroll of 3rd quarter 2015. We are currently using the Payroll, Time Management and the HR modules, however we have purchased the full package and plan to implement the Open Enrollment in early 2016 and the Performance Module in 2016. We have only 3 employees within the HR/Payroll department so we are limited as to what we can implement at a time to make sure that everything is working/set-up correctly. The whole company has access to the system, and the employee experience has been great. The employees have access at any time to submit time-off request, view their information and update personal data as needed.
  • The employee experience with UltiPro is fantastic. Less data entry for the HR department and employees have access to their information at all times.
  • The payroll module is very smooth - payroll on our prior system took over 2 days to process, we now can process payroll for around 500 employee's in about 6 hours. The process is well documented and runs effortlessly.
  • Customer service is the best in the business. I have worked with many payroll systems for more years that I want to admit and UltiPro has the best customer service that I have ever experienced.
  • Setting up new domains for employment taxes is not available for the user to update. This should be a collaborative effort.
  • Checks/Direct Deposit notices are printed in a certain format - we don't have room on the checks to provide more detailed information to our employees - they need to log onto the system to see all of their benefits/deductions.
I have worked in multiple industries, both public, private and education - UltiPro would work well for all scenarios.

We use UltiPro at all levels for payroll and HR activities including time cards and benefit enrollment as well as all the payroll activities including payroll tax filings.
  • Keep us up-to-date on the latest changes that affect our payroll (e.g. IRS Notice that just came out in regards to the ACA requirements).
  • Provide plenty of standard reports to use in our everyday business life.
  • Business Intelligence Reporting is fairly easy to use and is able to satisfy most of our needs for reporting and record keeping purposes.
  • Usually they get back to us when we submit a case in a very timely manner through the customer service portal.
  • Webcasts are usually very helpful and professionally done.
  • Sometimes communication happens after the fact when something has already been implemented or updated in your system.
  • There is a change in the account manager on our account on a regular basis.
Our payroll issues are fairly simplistic in nature; possibly a more complicated situation would be harder to implement on a large scale. Certainly a mid-market company like ourselves has fit their mold and structure very well.

UltiPro is being used by HR and payroll and is set up for employee self service. We are just now implementing onboarding, life events and talent.
  • Robust reporting capabilities.
  • Good user community and knowledge base.
  • Easy end user experience.
  • Easier administrator use.
  • Customer support has been a little challenging. Reps seem to want to close tickets out vs. making sure they've truly solved the problem.
  • There is so much information/training available that it's difficult to know where to look for resources needed.
UltiPro is better suited for companies without complex payroll, multiple shifts, differentials, etc.

UltiPro is being used by the whole business. It helps to streamline employee information and processes.
  • Benefits Enrollment is a simple module to use. Post all elections on specified date.
  • Able to track review information, see where a review is in process, move reviews as needed.
  • Workflow and Life Events allows employees to update information.
  • Concentrate on HR functions.
  • Allow more configurability within the systems, such as Performance Management.
Ultimate is stronger on the payroll side. It has HR functions but they are not as strong as they should be. It's hard to recommend that it is great for an HR department.
