We used to use a manual system of employees completing manual forms then e-mailing them to Line Managers for approval then e-mailing them to Finance. We had problems with expenses being submitted late and being lost, and Finance had no record of them until the time of payment. An online system solves all of these problems and gives greater control and transparency.
  • Approvals are much quicker.
  • Employees can complete claims as they travel.
  • Employees receive payment much quicker.
  • There are so many configurable options that it is sometimes hard to find what is needed.
Webexpenses links directly to Xero and so as soon as a claim is approved it is transferred and is ready to pay. There is no need to check and recheck data and all of the information is held within Xero as well as within WebExpenses. Receipts are also held electronically, so we no longer need to retain boxes of receipts!

In our Organization, we use Webexpenses as a tool to process employee expense claims. Being an Admin user, I use Webexpenses to verify claims submitted by employees and approve them to proceed with the release of payment. I also use it to submit my own expense claims. Webexpenses is very user-friendly and helps process claims faster.

  • One stop solution to any Organization to manage their employee expenses.
  • Has an option to configure to your ERP so that it is easily exported and accounted for.
  • Separate tabs for Self and Admin accounts instead of changing accounts.

It takes very little time to submit your claim and hence it saves time. You can track your claim status anytime.

I think my business had issues collating around 40-50 people's monthly expenses with a spreadsheet that we used. We had only 1 person in the accounts looking after the expense accounts procedure. Finding Webexpenses was truly a revelation for this, as it made all the external staff more accountable for the expense procedure themselves.

When traveling around in day-to-day work, being able to take photos of receipts is a godsend. You can just take photos of the receipts and throw them away as they are captured. Could be better maybe if it was linked to your card for expenses where tap and go is used especially on trains and underground this is relevant

Webexpenses is not very user-friendly, in my opinion, but gets the job done. The app has issues with freezing, according to some of my work colleagues. They say sometimes the app crashes and the receipts need to be uploaded twice. I personally haven't experienced this problem.

Webexpenses makes the claim process easy. It does take a while for the customer care team to get back to queries, I've found. As an experienced user, I know exactly where the tools are and how to submit my expense claims, so I do not waste time. If you know your way around the user interface, you will have no trouble. Webexpenses is an efficient and effective tool.

We use Webexpenses for expense reports. For instance, if we have a team event or order team swag, we upload the invoice there to get it reimbursed by the finance team. We likely use it for another type of invoices as well, but I personally haven't. It's very easy to include all the information, and bills in one place.

Well suited: it is quite easy to use as it only has one purpose. It has all the documents and data in one place. It's easy to backtrack on where your invoice is sitting right now, what's the status etc. Not so well suited: if you want an easy-to-use user interface.

Uses webexpenses to submit expense reports and to approve my team's expense reports. Very easy use since the last update and the ability to download the app on the phone, take a picture of the receipt and it pre fill information on the expense sheet directly.

As a user, I find the interface easy to use/interpret. I enter my expenses on a monthly basis. When entering expenses I rarely experience any issues.

Webexpenses helps us to organise our expenses through linking to our company credit cards and allowing us to calculate and reimburse for private mileage. The system also allows us to ensure we are adhering to policies. The system also allows us to file and store receipts in a more organised way than we used to.

We used to have an old-fashioned way of printing out expenses along with receipts and Webexpenses allowed me as a user to constantly keep this up to date by taking photos of my receipts and uploading on the go and reducing the amount of time in one lump where I have to sit and do expenses. It also means we are less likely to lose receipts and our record-keeping is therefore more accurate.

Webexpenses is used for mileage tracking and day-to-day expenses within our business. Mostly I used it for mileage tracking. It is easy to use from any web browser and via the free provided AppStore app. Our finance staff also use it to process payments to staff on a monthly basis.
  • It's a simple interface to use.
  • It requires little or no training.
  • Adding routes is easy, plus adjusting them is easy.
  • The phone app could do with a GPS "where am I?" button, so you can track routes via GPS.
  • The route tracking doesn't always take the most sensible path.
  • The web site seems to have gotten slower over the last couple of months.
In a world where people tend to be physically separate and working from different locations, the ability not to have to store, or transport a litany of receipts into the finance department's offices makes field teams and staff much more agile. Likewise, expenses can now be entered and claimed on to go, whether on a train, in the dentist's waiting room, or halfway up a mountain.

I use Webexpenses to claim travel and out-of-office expenses. It is easy to use and claims can be completed via a mobile phone APP. I create a claim on the app and central finance process it and I get reimbursed for the work-related expenditure.

I use Webexpenses to monitor my company mileage. The software allows the company to accurately monitor expense uses and remove the risk of error when using a manual system.

Claim training/travel fees and other expenses very easily and quick to use. Less paperwork involved, easily managed, can claim and approve click of a button, easy to attach pictures/files, good for managers because you can use the application literally within minutes and process claims. Very handy and time-efficient tool.

Mobile not the best. Easy and fast to use, manage claims easily by date, approve claims click of a button, less paperwork and less time consuming. Webexpenses are used for allowance claims at Wise (formerly TransferWise) such as lunch, daily travel allowance, work from home kit purchase, etc. I found this application very useful and friendly user. Furthermore, the timeframe that I got my allowance was quite short and I will definitely recommend this to any company that has offered employee allowance to use this app.

Webexpenses consolidates expense claims, tracks and records all approvals and authorisations which makes it very easy to monitor, track and confirm all claims made. I can see how long it takes for the approvers to acknowledge my claims which gives me peace of mind over the whole process and ensures that my claims are paid back to me in a timely manner.

To submit expenses each month in an easy and straightforward way. The app also allows me to submit expenses on the go when I am visiting customers or colleagues. My colleagues use Webexpenses not only for travel expenses but also for benefits provided by the company on a contribution basis.

My department uses it to upload our day-to-day expenses. Very easy to use via desktop or using the App. Love the audit trail and record keeping. I can also authorize when I'm not in the office with the APP, so when I'm away I can keep on top of the expenses request. Every one of my staff has a user, which comes at no extra cost. Simple setup and no training needed, it is one of the more simple apps to use. When it comes to reconciling, you can download using a PDF or spreadsheet. Overall it does everything I need to manage my department expenses.

Use WebExpenses to request repayment for work expenses on my personal card
  • It is clear on what tickets are open
  • It uses pretty colours
  • The fields are completely unclear about what information is needed.
  • There is little clarification on confusing fields
  • Attaching a receipt is too complicated a process
  • Overall, the tool is unwieldy and overly complicated.
I haven't used it very much, but what I have used would make me run to search for a different tool. From my experience, it is too complicated, unnecessarily so, for a person to do something as simple as requesting money back from an employer. You have to remember that most people using it are not accountants or financial specialists. You should make it more appropriate for the ordinary user.

Webexpenses is being used across the business to provide a single platform for expenses. Allows online access for remote staff either through web browsers or mobile apps for IOS and android. The platform allows cloud management of receipts. The travel module uses postcode and addresses for easier input of claimed mileage. Return journeys are easily added.

Well suited as it provides different categories for expenses. The views readily show in action and submitted claims. The export function allows information for tax relief claims to the HMRC to be readily supported. The claim function is not intuitive, and the tutorials are needed for first-time use. The tutorials do not explain in enough detail the flow-through of the process.

We use this tool for our corporate card expense tracking and for expense reporting on the people using their personal card and requiring reimbursement.
  • imports credit card transactions from our corporate card program without issue
  • allows for easy set up of new users
  • is a very intuitive, easy to learn tool
  • has a very responsive support and customer service team
  • Set up and configuration was thorough, and they were able to work through our unique issues, such as custom segments in NetSuite.
  • It is a very inexpensive product. Well worth the cost.
  • The invoicing component would not work with NetSuite and a single entity. We had to abandon that piece.
  • Sometime strange things happen with the data. We changed the required number of approvers and it reassigned approvers to each user - most of which were incorrect.
If you can automate the importing of credit card transactions and automate the importing of expense reports and invoices into your ERP, it will be very functional.

We use Webexpenses on the website and with cell phones. The claims are turned in quicker and the employee is reimbursed a lot sooner than the way we're turning in the expense reports.
  • Easy to use.
  • take a picture of your receipt and upload it. You don't have to save paper receipts anymore.
  • I just noticed that the Webexpenses app will read your receipt and auto-populate the fields-great.
  • We can track the expenditures better with Webexpenses.
  • At the moment, I don't see where we are having any issues.
I use Webexpenses claims to turn in the Petty Cash distributions. This helps track the petty cash as well as saves the receipts, so I can shred the paper receipt.

I mainly use Webexpenses to claim my work expenses for my travels and work-related costs. It has been very easy to claim all my expenses in one place with a smooth interface that's easy to use and also easy to keep track of all my previous claims and the status of each of them.

Webexpenses is best suited for quick easy invoice processing, keeping track of all the claims, and segmentise different expenses. The claim process can be quite lengthy, so a feature to club different expenses into one will be a great addition. Rather than each expense as a different claim, we can merge one entire trip into one.

I use Webexpenses to claim my expenses. It is good but only when I know how to use it and upload claims. I had to ask my colleagues about the entire process. There should be training on that. The second thing, which I thought could be improved is that there should be a mail notification on when the payment will be processed or is done.

Webexpenses is well suited to see the process of your claim and the approval stages as well. Scenario when Webexpenses is less appropriate - Initially, when I logged in I had difficulty uploading documents. I was completely clueless about the process. Sometimes it takes a long time to log in. By when the claim will be reimbursed should also be there.
