It is used across our whole organization, it is fully rolled out on an internal internet server system so that any member of the James Latham timber plc company can easily use it. It is all linked so that managers and the accounts team, can easily access and approve any claims.

  • Can be tricky to fill forms in correctly.
  • Too much info sometimes.
Webexpenses is very well suited for its current use. it is easy to upload both small and large claims, and approval is both quick and straight forward for management to do. sometimes it can be awkward to work out exactly where you are in the claim process, especially when trying to add receipts.

Webexpenses is good for the use on the mobile phone for inputting claims and also attaching photo receipts. I use this service at least once monthly. I do not like that you have to wait for a previous claim to be approved and paid until you can put a new claim in. I also do not like that it can look like a claim has gone through but you still have to click submit which has confused some of the staff members when making a claim. Otherwise it is a great tool to keep track of our petty cash float to ensure we have plenty of change and no cash is going missing. It is an easy product to use once you understand it and there are plenty of help guides if there is anything you are unsure of. I would recommend the use of webexpenses in a business workplace such as a veterinary practice where I work.

  • Mobile use not very good for putting multiple claims in under different categories as will not bring down the drop down boxes easily. Then need to use the desktop.
  • Having to wait for a previous claim to be approved and then paid before put another claim in. Can be slow if claim is not approved quickly. Although this is actually a head office staffing problem that it takes so long and so not the fault of the programee really.
Good for a staff member to put in petrol claims as webexpenses can work out the milage for the staff member and also the rate of pay for travel. Also good for other claims such as staff treats, catering etc... Easy to use once you understand the programme but I don't like that you have to click submit twice to put the claim through for approval. I like that it keeps track of the petty cash tin float for me, so that I can make sure there is no discrepancies and that I can easily track a time frame for when it went missing etc.. I would recommend using webexpenses to use in a business.

As the company has grown its size from tens to hundreds and thousands the whole package has scaled to meet the growing requirement. The development of the product has been great over the years and the mobile app was a massive move forward for the field engineers to upload receipts there without the need to store receipts

All employees use Webexpenses for their day to day management of business expenses. Over the month this results in a complete infantry of the expenditures . This saves Saving without having to send in receipts and paperwork at the end of the month. Just a simple click and your done. You can add notes if necessary.

  • Some items say overspend for the category but it does not recognize it may be 2 or 3 Nights subsistence.
  • I would like to see a box that tells me how much I have spent as I go along.
Being easy to use is probably the best recommendation I can give this product. The great customer support is the second and thirdly it saves me a lot of time every month. I scan receipts daily and add any information required and then at the end of the month, it's ready to submit.

We use it for monthly car mileage claims and general office expenses. Webexpenses keeps everything all in one place and documented easily for ease of accounting and audit purposes. The app is very convenient to me able to keep on top of any claims needed and quickly. All works well.

Webexpenses is being used by the whole organisation I work for. It is easy to use and keep up to date with costs for your relevant cost centre. Submission is straightforward. All expenses costs are kept in one place and easy to navigate through and refer back to if necessary.

  • The link between the app and website is not always straightforward.
  • Adding a new mileage claim can be unnecessarily time consuming.
  • The steps when submitting claim, etc. are easy when it has been done a few times, at first it does not feel intuitive.
It is easy to use when you have used it a few times, at first it does not always feel logical. The steps to add a new mileage claim can be long-winded. Adding receipts, etc. could be slicker. On the whole, it is fairly straightforward and efficient both from a claimant and approver point of view.

Across a team of field-based surveyors - this is our core business, so effectively it is used across the whole organisation. The team used to collect paper receipts and post them in once a month. This means receipts are submitted via the system.
  • Plots different cost codes.
  • You can upload on a daily basis and then it is quicker at the end of each month.
  • You can separate cash and credit card into different claims.
  • It adds everything up!! Simple but necessary!
  • The photos snap to square - would be better if they stayed portrait as you have to keep retaking.
  • When we signed up we were told that there would be integration with our credit card receipts but this hasn't been possible - we are with HSbC bank.
  • I find it confusing between taking photos for each item or loading them up first.
All seems OK to me. I don't have experience of other platforms however if you are going on business travel it would be good if you could group things under one overarching title to have to repeat info time and again.

Used for monthly expense reports and payments. Enables staff to enter expense receipts for any payments made for work purposes. As the company has a lot of remote staff, they are able to use the system to claim back mileage which is automatically calculated based on number of miles completed.

I find the system Well suited for internal expense payments especially as many staff are remote based and may not have regular access to laptops which makes the phone app highly beneficial. Can not envisage it being appropriate for external use however this is mainly due to the fact that we are currently using an internal system that addresses all of our needs for client payments.

Across the whole organisation, it addresses ease of uploading expenses and managing them. I haven't yet found any faults so far.

The ability to automate approval flows for expenses. The previous manual system was not ideal as we had to rely on manual processes to push expenses through. With the automated reminders set in web expenses, we're able to ensure all expenses are submitted before the pay cut off being run.

Very well suited to scenarios where there are lots of expenses being lodged, with multiple approvers and time sensitivity. If an organization has a very simple process, with singular approvers and rare expenses being submitted, it may not be worth the time/money to implement and maintain the system, especially if a compatible finance syhstem is not used.

We use Webexpenses to manage the whole company's expenses. employees submit their own expenses to the system, which is then verified by their direct manager and submitted to finance for payment. This is all handled in the system, so managers can keep track of their staff and their expenses.

I use webexpence to keep track of my work expenses on a monthly basis. It allows me to keep better organized my milage and receipts from business related lunches and dinners. An added benefit is the software auto calculates the milage when you enter the address and can be manually override if you need to account for more miles. The software is also used to keep track of tolls and business office supplies.

  • Somewhat not user friendly when navigating between expenses.
Webexpense is well suited if you like to keep track in real time your milage and business expenses. In my case, I normally add the milage the day of and at the end of the month, I add the rest of my business expenses. The other expenses can be added same day though if desired. I don't think it is well suited in auto calculating your milage. The software requires you to use their calculator for milage, but if you make extra stops, then it is difficult to add them. To overcome this annoyance, I go through the steps to auto calculate my miles, then manually change them to the correct value.

Webexpenses is being used across our whole UK business for people who incur personal expenses during business. It is very quick and efficient to process my business expenses and it solves the problem of being able to process expenses 'on the go'. The phone app is great and probably the best way to load photos of my receipts by selecting them directly from my photo album.

  • Sometimes the system crashes, although that may be down to network at times.
  • The loading of receipts takes a bit of getting used to due to the various options.
  • More expense categories (although this may be down to organization preferences).
  • Occasionally the expenses are out of sync with the business server and I lose all the receipts loaded. This is rare but has happened.
Webexpenses is a great tool for updating business expenses on a frequent basis for reimbursement. It is useful 'on the go' via a mobile app, photographs of receipts can be taken and uploaded from your phone album or simply screenshots of digital receipts to save on waste. You can update expenses as they are incurred and save them before submitting (i.e. you can go away and come back to it later).

Webexpenses is used by my organization to manage claimable expenses. It is being used across the whole company in order to, and the problem of, accounting for individual claims. It can be used by any employee that may need to claim back any costs the company cover.
  • Simplifies the claiming process

  • You are able to scan receipts as physical proof
  • You can receive email alerts and push notifications when a claim has been actioned
  • Accessibility options - visual options e.g. text size/color

  • A "quick claim" function, based on your most common previous claims
When claiming back professional fees, it has been really well suited. I just upload a copy of my e-mailed invoice, which I can do through the mobile app, submit it and my employer is made aware of the claim instantly, it's great! Added to the fact that it is a really convenient tool! Gone are the days where you'd have to collect your receipts and have shoeboxes stuffed full of them - just a simple picture on your smartphone and voilà!

Webexpenses is being used by everyone at the Pernod Ricard UK organization that needs access to regular business expenses. This is mainly applicable to the commercial team but is also used across other departments. Webexpenses saves time by allowing expenses to be done 'on the go' and is particularly beneficial to our field based employees as it cuts down on admin time leaving more time to spend with customers.

I use Webexpenses for my day to day running of expenses. It makes it very easy for me now. It keeps track of my receipts as well.

Still using Webexpenses and it gets better over time for keeping long term records etc.
  • Speeds up my claims.
  • Keeps a record of the past expenses.
  • Always ready mobile or PC.
  • Don't like the auto route map feature...when you go a different way than it wants it's very painful.
  • A receipt for fuel could cover more than one mileage claim...doesn't currently allow this.

I use Webexpenses to submit monthly business expenses that I claim back from my employer.

  • Easy to view claim history
  • The phone app will sometimes freeze or crash whilst entering details. Resolving this would be helpful.
  • Webexpenses doesn't allow you to enter details in constant upper case in the ios app
As soon as I have a receipt I can automatically submit a claim via the phone app saving time and the possibility of losing the receipt. Would work even better when submitting business mileage if it had the ability to calculate the mileage from postcodes entered.

Webexpenses is used regularly on a monthly basis to claim expenses that have occurred via the business. I am under the illusion that the whole company uses this software across our three main parts of the business and the different departments that lie within those areas. Webexpenses is efficient in allowing all teams to claim their expenses in an easy to navigate and understand way.

  • Route planner on app needs more work, could be better.
  • App often crashes, loosing all of the data you have inputted.
  • Hints and tips explaining features may be useful for users that haven't used the software before.
It's really well suited for logging your expenses on the go via the app, giving you the opportunity to take a picture of all receipts and add them via the app meaning you no longer have the faff of getting photos off your phone to then log them online via the web version of the software.

I use Webexpenses everyday to track my mileage using multiple billing codes. I also use Webexpenses to track my expenses while with specific clients as I build repour taking them out to do fun things. I do enjoy the ease Webexpenses has made it to submit receipts for reimbursement. I have never experienced a glitch or issue using Webexpenses.
