What is Zapier?

The Zapier Automation Platform is a platform designed to integrate data between web applications. Zapier automates the communication between apps by relying on “Triggers” within apps to catalyze pre-arranged actions, such as data formatting, and transfers of data between apps. The program featured pre-designed connections for more than 1,500 apps. It is scaled for small to mid-sized businesses and features a free version with limited connector complexity and quantities.

Zapier's goal is to enable automation for any process, allowing users to visualize and build advanced workflows with custom logic, conditions, and filters, with no code needed. Some features include:

We've used it for a range of applications from simple syncing of activities, leads or data between two systems to building more advanced processes, like round robin distributions. One frequent use is for triggering Slack notifications from different systems that don't already have integrations with Slack, or who's integrations don't do exactly what we want.
Less appropriate cases, are where the only available trigger events fire off frequently, eg a salesforce activity, where we might have tens of thousands per day - you can easily filter the zap at the second step, but it quickly chew through usage limits.

It's appropriate whenever you take a number of actions every time X happens.

For example, you get a new client and you have to send them an email, set a meeting, create a folder for their project, etc. You could create a google form for new projects, input the info, and have a zap that sets up all of those other steps for you automagically.

Zapier is well suited for saving time with mundane data entry between software and other systems used to manage contact information and communications. We can save hundreds of dollars per month with time saved from integrating multiple systems with Zapier for businesses with 10 employees or less and even more time for businesses that have more team members or employees. It also simplifies and increases profitability for us when we use Zapier in our marketing campaigns for our clients.

The only reason I don't give it a 10/10 recommendation is that as easy as Zapier is to use, it does require SOME technical understanding. So, there are some colleagues who are not technical at all, and I don't recommend it to them, unless they are willing to invest a bit of time, or have someone to help.

Zapier is ideal for every company that doesn't have a full-scale IT Dept with the ability (or time) to write custom programming for integration between software. It's not really cost effective if you are building most of your own solutions in-house and writing them custom, to begin with though.

No situation comes to mind where Zapier isn't appropriate, unless of course you're using tools that haven't integrated with Zapier yet.

If your business needs to automate nearly any kind of process, consider Zapier. The free tier still allows for the creation of Zaps with hundreds of different apps, and the paid tiers unlock thousands of other possibilities with premium apps like Salesforce and GetResponse. From lead creation to email notifications to Slack messages and so much more, Zapier could be a life saver for companies looking to spend less time doing menial tasks.

While I feel that anyone could benefit from Zapier, we used it as a cost-cutting measure. There are other direct integrations that will work much better with Salesforce, Marketo, Hubspot, etc, but those all come at a premium, which is fine for larger companies. For the rest of us, you really can't beat the simplicity and functionality of Zapier's offering.

Zapier is great for connecting forms to email platforms, running actions in response to emails, automating tasks, sending data to multiple places, giving you shortcuts to otherwise complex solutions. It's not got all products though, however it uses some generic abilities such as webhooks to make it versatile. There's not much you can not do. Sometimes you might need to make a LOT of zaps to achieve what you want. But you can achieve it.

Zapier is all about automation. It doesn't matter if you have a simple or a complicated task, Zapier can and will automate it. Some of the examples [of how] we have used it have been: using Zapier to transfer contact information from one service to another (from an email marketing tool to CRM, from Twitter to spreadsheet, etc), check the tasks on Trello and send notifications to Slack (e.g. check the tasks that are under "Completed" list and send daily update notifications to a specific Slack channel).

Zapier is best suited for small to medium size businesses and startups, who do not have the technical capacity to create the product integrations internally. Using Zapier also requires that the organization is flexible and agile enough, to allow the integrations to be created in the first place.

Any marketing, sales or operations team could greatly benefit from using Zapier, given that they are technically-savvy to the level which gives them the confidence to play around with Zapier and take advantage of its full power and capabilities.

For anyone who is currently utilizing Google Apps and/or additional enterprise SaaS apps, it is a must have for organizing and creating simple and auditable workflows. It is not well suited for fat client app integration and is definitely more suited for SaaS enterprise environments where cloud operations are the primary strategy.

Zapier is a tool used for automation purposes. I can imagine this tool is extremely complicated and has a lot of intelligent humans who are constantly working to make it better. Sadly, when we used Zapier it was constantly causing our company to lose quality leads.

Zapier is ideal for internet entrepreneurs and/or automation power users who want a comprehensive tool and service for automating their monotonous tasks. Zapier is IFTTT on steroids and then some.

Zapier isn't really worth the cost if you're just using it to automate really basic things – IFTTT can do a lot, and is free. But if you're looking to link professional services and apps, and have granular control over each service's API data points, then Zapier is what you want.

Zapier is a great tool to use in connection with automating data movement between two services. We have utilized this in numerous ways: to send data from one service (Formstack) to another service (Basecamp). This allowed us to create an automated workflow that one of my staff didn't have to touch. I have also seen how repetitive tasks have been removed from a staff member's plate and automated, thus freeing them to do something that only they could do.

Zapier is perfect if you want to aggregate data into one location. This is especially true if other users in your organization don't have access to the systems that Zapier can connect to. It eliminates the need to constantly log into systems, check reports, download them and email results to others. It has provided greater visibility into some of our internal processes and increased our efficiency.

Zapier is best suited for businesses, although power-users may enjoy some of the consumer integrations available, i.e. Alexa and Wemo. Lately, there seems to be a lot of focus on lead generation and marketing platforms, which is nice, but I'd like to see more enterprise apps like NetSuite and Active Directory supported.

Most times that there is a need to connect to online applications to coordinate activity or get information between them, Zapier is the first solution I try. The ease of setting it up and testing it means that I can try it and see if it will work very quickly. Most times that I hear about people taking information that is emailed from one system and copying it into another I cringe for a moment, then check to see if it could be done in Zapier.
